CLIENT CONNECTION, JR.
USER MANUAL
To install: Put the disk in drive A and type: "INSTALL A: C:". The installa-
tion program creates a CCJR directory on your C drive and extracts the program
files for you. To run the program in the future, type "CCJR" while in the
CCJR directory. To install from b drive type "INSTALL B: C:".
If you are trying to run the program in windows and are having a problem with
memory use the ccjr.pif file contained in the CCJR directory.
The program will ask you to enter your user name. Use this same name each time
you start the program. Skip the security code by pressing the ENTER key. (For
information on entering your own security code see the registration information
at the end of this manual.)
The opening screen has three selections for quick start:
D atabase in Use : Phone
M odem : Not In Use
R eview Appointments
If you press D you may change the current database in use.
Do not press M to change the accessibility of the modem until you enter the
correct information in - UTILITIES, Modem Information.
If you press R the program prints out a list of all people in the current
database whose next contact date is today.
To go to the main menu, press ENTER and the following screen appears:

The Client Records area is highlighted. To see some sample client records
press ENTER now. The screen that follows will appear. You can have up to
30,000 clients per database.

Enter the name into each of the name slots. When finished press enter and you
are moved to the next slot. You may also use the up and down arrow keys to
move from field to field. After you enter the last name the program
automatically enters that name into the "Look Up:" field. You may change this
if you so choose. Note the help information at the bottom of the screen. Use
these keys to move directly to area of the screen desired.
SORT CODES are codes that you choose for sorting clients later in the program.
Keep a list of these codes near your computer.
INTERESTS are created in the Utilities section of the program. "Your Choice"
is replaced with whatever you choose to enter in Utilities. You may then enter
codes in the box to further define your clients. As an example, you are a pet
store and you are keeping track of prospective clients wanting animals. Number
one, your choice is changed to "Dogs desired". You would then have another
list with 48 possibilities (a-z, A-Z) for dog types. Keep your list near your
computer.

REMARKS - when you are in this field you may push the <END> key to input the
current day's date. You may enter up to 35,000 bytes of remarks in this area.
When you are finished entering the client information press the F1 key to save.
A new client data screen will appear.
SORTING
Select: M AKE SORTED LIST OF CLIENTS
This selection allows you to create a subset of your client database by using
one or more of the various fields within the record as sort criteria. You can
then use these lists to: a)create mailing labels, b)merge with letter
templates, or c)phone as a group.
Once you've made the selection you are then shown all fields which exist in
each client record - Fields for Sorting. Each field has a number. Below the
list - Field Selection <1-31> __ - is displayed with the cursor in the entry
point. Put in the number which corresponds to the first field you want to use.
Let's try this: Choose field 11 - City - as the field you want to sort. Next
the phrase "City relationship _" appears and below that is:
E quals, B etween, L ess than, G reater than, or N ot equal to
What we want to see is which of our clients live in Seattle, so we want to sort
the field City to see which record's City field "E quals" Seattle. Type E.
The phrase "City equal to ______" appears below the fields. Type in "Seattle."
We are next able to add other criteria to this. The phrase "A nd, O r,
F inished _" appears underneath "1 City equal to Seattle". Think of this in
terms of a further qualification of your search. If you want everyone on
Seattle who wants Dogs you would use "A nd". If you wanted everyone in Seattle
who wanted Dogs OR Cats, you would put in AND Dogs OR Cats. For now we will
use only the "1 City equal to Seattle" criteria. Choose "F inished." The
program allows us to make changes before we make the sort. If no changes are
needed answer N. The following box appears:

If you choose "S equence of Record Numbers" the program allows you to search
through either the entire database or choose which record numbers you wish to
sort. Next you choose whether to order the search by zip code, name, or any of
the fields you chose before. If you answer No to ordering, the program creates
the sorted list in record number order.
You can also sort on the current sorted list or return to the Main Menu.

REPORTS allow you to get an overview of information you are keeping on clients.
You use Print Options to put information from your client database into a
report format. This formatted information can be printed either to the screen,
the printer, or a text file to be used in another document.

A Regular Format printout is a single line of information on each person in
your database showing the record number, full name, organization, and City,
State, Zip. You choose the records you want to include in the report. Your
options are: S equence of record numbers or C urrent sort list.
A Special Format printout is a multi-line display of most information in a
client record. Each record is divided by a dotted line. Here also you choose
the records you wish to have in the report.
Change Regular Output Format allows you to change the single line report format
that comes with the program. You may change the one report in this selection.
The Modify Special Output Format selection gives you the following screen:

Using this section of the program you can create new report formats (Add),
change existing formats (Modify/Review), remove report formats you are no
longer using (Delete), or look at the report layout and format (Print). When
creating a report you may bring information from any field in a client record
into a report.

The LABLES option allows you to create mailing labels or ASCII files which you
can merge with labels or letters outside of CCJR. Choosing this selection
brings up the following:

Choosing the Print Labels selection brings up the current "label fields"
selected plus a box containing a list of all fields. You may Add, Change, or
Delete fields to the label. Each field takes up one line. If you do not wish
to change the current selection type F(inished) and the following appears:

Use Merge File makes use of an data file you create using either the Label Text
File or the Text File for Letters portion of the last menu. Think of these as
saved sort lists. If you choose Record Number Sequence you tell the program
which record numbers you want to use to create the labels. Current Sort List
is just that. For now use Record Number Sequence.
Next the label layout/options menu appears:

We recommend that you print out your labels on blank paper first and see how
they line up with your label stock. Note: Most label stock we know of is 6
lines per label. The width will change with the number of labels per page.
The margins specified in items 4, 5, and 6 are the columns in which the label
will begin printing when they are three across and 26 columns wide. Choose 0
to continue. Make sure that you have paper in the printer.

Because we choose Record Number Sequence the program now asks us which records
we wish to create labels for. For sake of example type in "1-5" and press the
ENTER key. Your labels will now print out. Once they are done you are
returned to the LABELS MAIN MENU.
When you choose either L abel Text File or T ext File for Letters you create an
ASCII comma delimited file for use either outside of CCJR or with the label
maker in this section. When using Label Text File you create this file using
the label creation format. When you use Text File for Letters you use the
letter merge file creation method to select your fields and the sequence in
the final output. Both formats create the same identical type of file.
WORD PROCESSING : LETTER
This portion of the program allows you to create letters and other documents
with built-in field markers that will pull data from a client record when
merged. You can also merge one letter with a single client. When you choose
WORD PROCESSING : LETTER from the main menu the following screen appears:

Most features in this section are fairly obvious. A few notes will help you to
maximize the use of these features. You may make any document from scratch
with Create, however, if you want to develop your own letter with merge codes
in it, we recommend you use the Modify/Review a Letter option. This will allow
you to take our DEMO letter and change it to suit your needs.
Print out a copy of this letter DEMO using the Print a Letter feature. Notice
the numbers with slashes on either side. These are the fields. You may print
out a complete list of fields by using the List of Variables option. One of
the fields that shows up on your copy of the file DEMO is \0\. Putting this
field anywhere in a document will give you the current date. In the letter it
would be used to print the date that the letter was actually printed.
Another advantage of creating your new letter using the Modify/Review feature
of the program is that you can use the DEMO file to create a new file without
changing the DEMO file. When you finish creating the new letter, press F1.
The program asks if you want to save the document, and, then asks if you want
to change the name of the document. Answer Yes to the save question and Yes to
the change the name question. You are asked to type in a new name. Type
SAMPLE, press ENTER, and a new document is created.

The Word Processing Options section of the program is also where you merge
documents with data. You have two options: Name List Merge and Selected Client
Merge. In Name List Merge you use either a previously sorted list or a
selected list of record numbers to create multiple letters. You may print to
the screen or to your printer. You create a single letter with Selected Client
Merge specifying the client by either record number or name.
One of the fields in the client record is Salutation. In the DEMO letter the
salutation field is placed right after the "Dear". This field is intended to
hold a less formal name than the name in the first name field in the client
record. With the Variable Salutation Selection we allow you to have
substitutions for this field. Please check this option and make a selection.
DATABASE OPERATIONS
If you make this selection from the main menu the following appears:

With this option you create new databases and expand the number of clients you
can have in your database. You are allowed to have up to 30,000 clients in a
single database. The Expand feature also allows you to change the sort
criteria in Review/Modify Record. The program will either look up clients by
last name or organization. You may change your selection here. Choose Expand
Client Database. Confirm you want to expand. The next selection is:
Search Code : 1 - Unchanged, 2 - Last Name, 3 - Organization _
You then make the change (or not) at this selection. You may change the
selection without having added any more members to your database. You are
asked next to enter the size of your database.
After you have created another database the Database Operations menu will
appear like this:

You are now allowed to Transfer Records Between Databases or Delete databases.

Global Operations allows you to change or delete groups of records or fields.
Making this selection brings up the following:

You may delete records using either a sorted list or by selecting certain
records numbers for deletion. To modify data within a group of records choose
"Modify selected field within group." You may modify the following fields:
Interest(s), Sort Code(s), Date Next/Last Contact. You choose the field to
modify and then select either certain record numbers or a sorted list.

Next Contact Date Default selection allows you to specify the default in days
between the current date and the next time you will contact a client. When in
the Client Record you choose either the F7 key which will select this option or
set a different date.
Change Database Files allows you to change from one database to the next. The
program chooses the current database automatically on some options. For
example when you are transferring records from one database to another.
External File Transfer allows you to import ASCII comma delimited, or fixed
length records into the current database. You must copy the file with the data
into the same directory as the program (CCJR) first. You must know how many
fields and the type of field in each record before you begin. Follow the
directions from the screen to import.
Modem Information allows you to change the following:
1. Number of rings before hangup (using auto-dial)
2. Baud Rate (300 or 1200)
3. Communications Port (1 or 2)

Screen Colors allows you to change the look of your program vis-a-vis the
colors displayed. Save a copy of the original colors before messing with this.
Interests allows you to change the Interests fields in the Client Record.
Think about this so that you can maximize the use of this area. Remember when
you change this it changes all Interests fields in the current database. Be
sure to press F2 when finished to save changes.
Phone Access Codes allows you to put in special dialing codes that your company
may use to get to outside lines. It also allows you to enter your credit card
number for easy access.
When you look up a client under Client Record Modify/Review and there are
multiple clients with the same last name as an example, the program displays
the options to choose from by either name or organization. You choose which
here.
