Introduction
------------
Personal Ancestral File (PAF) provides many types of reports but
none of them are really suitable for sharing the data with family
members or preparing the material for publication.
How many times have you printed out a stack of family group
sheets to send to a family member who is interested in your work?
Aside from the fact that this is a lot of paper to look at, it is
difficult for the reader to grasp what the family line looks like
and where he fits in.
I kept hoping that someone would write a program to produce a
Register style report. I can't tell you how many times I've
gotten a phone call from my parents saying "send the ARBAUGH
stuff to Lena" or "Herbert's grandson wants a copy of what you
have on the BENNETTs". I also wanted something I could carry with
me on research trips.
Other genealogy programs provide this type of report. I exported
a sample of my data to a GEDCOM file and imported that file to
both Roots III (COMMSOFT) and Brother's Keeper (John Steed) and
printed the report. Both programs did a fine job with the basic
event data but I discovered that neither program honored the
formatting of the notes. PAF doesn't distinguish between soft
returns and hard returns, so each note is separated from the next
one by a blank line. Both Roots III and Brother's Keeper
eliminated these blank lines and ran them all together into one
big paragraph, which looked terrible.
I finally concluded that the only way I was going to get a report
that looked the way I wanted it was to write the program myself.
PAFAbility was the result.

What is PAFAbility?
-------------------
PAFAbility is an accessory program for users of PAF. PAFAbility
reads the Family Record (FR) data files to produce a descendants
report using the Record (also known as Modified Register) System
numbering. The user has the option of creating a single line
report (listing the descendants of one individual) or a multiple
line report (listing the descendants of each end-of-line ancestor
of a specified individual).
What is the modified Register style?
------------------------------------
Many of the genealogies we see in books and journals use the
Register or modified Register format to present the information.
The Register style was devised for use in The New England
Historical and Genealogical Register and has been in use since
1870. This style presents the material in an organized, easily
understood format.
The Record System, sometimes called the Modified Register System,
is a modified version of the "Register" or "New England System".
Its use was pioneered by The New York Genealogical and
Biographical Record. It is also used in the National Genealogical
Society Quarterly.
Although there are several differences between the Register and
Record styles, the primary difference is the numbering system. In
the Register system only children whose lines are continued are
assigned an arabic number. In the Record system every child is
assigned an arabic number whether or not the line is continued.
PAFAbility uses the Record system numbering. The report created
by PAFAbility differs from the standard in that no distinction is
made between male and female descendant lines (both are carried
to their conclusion) and only the name of a child is shown if the
child's line is continued.

How to read the PAFAbility Report
---------------------------------
In the list of children of an individual, each child is assigned
a small case Roman numeral (i, ii, etc.) to indicate birth order.
Each individual is also assigned a unique Arabic numeral (1, 2,
etc) which precedes the birth-order number. If a child has
descendants, then just the name is shown and a plus sign (+) is
placed next to the Arabic number to indicate that the line is
continued later in the report.
To illustrate:

The index to the report lists the unique Arabic number assigned
to the individual. If the number is followed by an "S", then the
individual is the spouse of the person with that number (spouses
are not given unique numbers). Then the individual's name is
listed and the page(s) where he can be found. In this version of
PAFAbility, women are listed by their maiden names only.

Writing, Style Guide for The New England Historical and
Genealogical Register with Suggestions for Genealogical Books" by
Margaret F. Costello and Jane Fletcher Fiske. This booklet is
available from The New England Historic Genealogical Society, 101
Newbury St., Boston, MA 02116. Please contact the society for
information about the cost of the booklet.
The Record System as used by The National Genealogical Society
Quarterly (NGSQ) is described in "Numbering Your Genealogy: Sound
and Simple Systems" by Joan Ferris Curran in the NGSQ, Vol. 79,
No. 3, Sept. 1991. This article has also been published in
booklet form and is available for purchase from the NGS, 4527
17th St. N., Arlington, VA 22207-2399.
Installation
------------
PAFAbility is distributed in compressed format using LHA by
Haruyasu Yoshizaki. The INSTALL.BAT file will decompress the
files and copy them to your working disk drive. If you are
installing the files to a hard drive, a directory called
"\PAFABL20" will be created. The installation process makes no
changes to the AUTOEXEC.BAT or CONFIG.SYS files.
You may install the files manually to the directory of your
choice if you prefer.

System Requirements
-------------------
o Computer with IBM-DOS or MS-DOS operating system, version
3.0 or higher
o 640K memory
o hard disk
o Personal Ancestral File data files
o Optional: Expanded memory, mouse, printer
PAFAbility runs on all classes of MS-DOS compatible computers.
If expanded memory is available, it will be used to hold the
NAME2.DAT file and part of the index data so that the maximum
amount of conventional memory is available for the program's use.
The program supports Epson compatible dot matrix printers,
Hewlett Packard LaserJet compatible printers, and provides an
option for no printer codes to be used.

Navigating the screens
----------------------
If you use Windows, then you already know how to use PAFAbility.
Most of the screens in PAFAbility work the same way as Windows.
The Main Menu
-------------
The PAFAbility Main Menu is a menu bar across the top of the
screen. Options may be selected in several ways:
o Position the mouse cursor on the desired option and click
the left mouse button.
o If no drop down menus are showing, press the highlighted
letter of the desired option, i.e., F for File.
o If a drop down menu is showing, press Alt and the
highlighted letter of the desired option, i.e., Alt-F for
File.
To exit PAFAbility:
o Select File/Quit (the Quit option on the File menu).
o Press Esc.
o Click the right mouse button.
Dialog Boxes
------------
The screens where you set the option values are called dialog
boxes. Dialog boxes are made up of one or more of the following
items which are called controls:

Radio Button A cluster or group of radio buttons represent
mutually exclusive values for a program option. In
other words, only one item in a radio button
cluster may be active at a particular time. For
example, the option for selecting the Type size
for a report is a radio button cluster containing
two values, Pica and Compressed.
Check Box A check box cluster contains 1 to many items, any
number of which may be active at the same time.
For example, the Contents option on the
Options/Index screen is a check box cluster
containing two items, Dot Leaders and Include
Birth/Death. You may choose to have neither option
active, only one of them active, or both of them
active.
Text Box Text boxes are data entry fields. For example, the
fields on the Individual Search screen where you
enter the data you want to search for are text
boxes.
Pushbutton Pushbuttons are used to select actions. Most
dialog boxes have an "Ok" pushbutton. Many dialog
boxes simply present a message to the user. In
this case, the Ok button just says you're through
looking at the message. On an option screen, the
Ok button means to save any changes you made to
the options on that screen. The "Cancel" button is
the "I changed my mind" key and means ignore any
changes that were made.
You may move the cursor from one control to another in several
ways:
o Press TAB to move from one control to the next. Use
Shift-Tab to move to the previous control. When you use this
method, the selected options in the control do not change.
You must use the TAB key or mouse to select pushbuttons
which don't have highlighted shortcut keys (such as Cancel
and Help).

o Press the highlighted letter of the desired control, radio
button option, or check box option or Alt-<highlighted
letter> to move the cursor to that item. If the cursor is in
a text box, then you must use Alt-<highlighted letter>. When
you use this method to move to an option setting, then that
option is either selected (for a radio button or non-
selected check box) or unselected (for a previously selected
check box option).
o Move the mouse cursor to the desired selection and press the
left mouse button.
When you press the Enter key when a dialog box is active, the
selected pushbutton is activated. Normally, the Ok pushbutton is
the default.
Getting Help
------------
Online help
-----------
The first place to go when you need help is this document and the
context sensitive online help that is built into PAFAbility.
Press F1 or click the mouse on the Help option on the PAFAbility
main menu to invoke the online help system. Context sensitive
help means that the help screen that pertains to the currently
selected menu item or dialog box option will be shown.
The online help system contains hypertext links which allow you
to jump to related topics. To jump to a related topic, move the
cursor to the desired subject and press Enter or click on it with
the mouse. The help text for the newly selected topic will
appear.
Press Alt-F1 to return to the previous topic.
If you press F1 while you are looking at a help screen, an index
of help topics will appear. Select the desired topic.
Press Esc when you are finished looking at the online help.

Getting Started
---------------
WARNING: This program has the potential to print hundreds of
pages. You may wish to send the report to a disk file and look
at the output before sending it to the printer. This is done
through the Print/Set Dest menu item.
The first time you use PAFAbility, use the "Show Options" item on
the Options menu to see the default settings. Use the PgUp/PgDn
keys to scroll through the list. Use the appropriate menu
selections to change any settings you need to change. After you
have set the options to the desired settings, use the "Save
options" item on the Options menu to save these settings to a
disk file.
Starting the PAFAbility Program
-------------------------------
To start the PAFAbility program, do the following:
Step 1: Move to the directory that contains the PAFABLTY.EXE
file.
If you used the install batch file to install
PAFAbility on your hard drive, then type "CD \PAFABL20"
at the DOS prompt and press the ENTER key.
If you modified your AUTOEXEC.BAT file to include the
PAFAbility directory in your PATH statement, then you
do not need to move to the PAFAbility directory before
starting the program.
Step 2: With the DOS prompt displayed on the screen, type
PAFABLTY and press <Enter>.
The PAFAbility program title screen will appear.
Step 3: Press <Enter> to remove the About PAFAbility screen and
make the PAFAbility Main Menu active.

File Menu
---------
The FILE Menu includes items to:
o Set Data Path
This item is used to specify the location of the PAF Data
files. A file selection dialog box will pop up when you
select this menu item. The cursor is automatically placed in
the file name text box. If the directory displayed on the
screen contains the PAF files you wish to use for the
report, press the TAB key twice to move the cursor to the OK
button; then press ENTER to select the displayed directory.
If you wish to select a different directory, you may type
the name of the directory you wish to select in the file
name box. Or, you may move the cursor to the directory list
box and select a directory or drive for display.
Don't forget to save your configuration file before quitting
PAFAbility. See the section on Options/Save Options.
o DOS shell
Select this item if you need to temporarily go to DOS to
execute a DOS command. When you are finished with DOS, type
EXIT and press ENTER to return to PAFAbility.
o Quit
Select this item when you are finished using PAFAbility.

Report Menu
-----------
The Report menu includes items to:
o Modified Register
This item generates the modified Register format report. The
current options and configuration settings are used to
format the report. You will be prompted to select the
individual on whom to base the report.
o Print cover sheet
This item prints a 1 page explanation sheet about the
modified Register report. The patron name and address is
extracted from the NAMADD2.DAT file and printed on the
explanation sheet.
The explanation page can only be sent to the printer. The
text for this page is in the file HOW2READ.TXT.

Options Menu
------------
Options/Report Selection
------------------------
The Report Selection item on the Options menu brings up a dialog
box that allows you to set options for:
o Single or Cascading Report
Enter "S" if you want to create a single line report that
shows the descendants of a specified individual. If you enter
"S", you will be asked to identify the individual whose
descendants you want to list. For example, if I wanted to
create a report of all descendants of John Bennett, I would
enter "270" which is his RIN in the RIN field. If I didn't
know his RIN, then I could leave the RIN field blank and enter
the name I wanted to search for. The name search is position
sensitive - that is, what you enter in Given name 1 will only
attempt to match against given name 1 in the PAF records; it
will not be matched against given name 2 or given name 3.
Enter "C" if you want to create a chart for each end-of-line
ancestor for a specified individual. If you enter "C", you
will be asked to identify the base individual to use for the
cascading chart. For example, my RIN is 3. To create a report
that contains a descendants chart for each of my end-of-line
ancestors, I would enter "3" in response to this question. If
I wanted to create a report of just my father's side of the
family, I would enter "1" which is his RIN.

o Limit number of generations
This option applies only to the single line report. If you
selected a single line report, you can limit the report to the
number of generations you want shown on the report. For
example, you may have an inquiry from someone with whom you
share a common ancestor but your lines part company at the
third generation. If your correspondent is not interested in
all the descendants of the common ancestor, you might want to
use this option to create a report only for the generations
you share with the other person.
o Direct line only
This option applies only to the cascading report. If you
selected a cascading report, you can limit the report to
follow only the ancestors of the individual upon whom the
report is based. I have a great deal of data in my database on
the collateral lines. However, my cousin is probably only
interested in her ancestors. Therefore, when I create a report
for her, I turn this option on, so that only the descendants
of her direct ancestors are shown. All of the children of
each ancestor are listed, but only the line of the ancestral
child is followed - the lines of the other children are not
included. For example, my ancestor John Bennett had 13
children. If the direct line only option is not selected, then
all the descendants of each of the 13 children are listed on
the report. However, if the direct line only option is
specified, all 13 children are listed along with their
spouses. Only the children of William Jacob Bennett, John's
third child who is my ancestor are shown. The children of
William's twelve siblings are not shown.

o Numbering System
o Record system numbering is the default. People are numbered
sequentially in the order of appearance on the report.
o RIN: You may choose to have the RIN used as the person's
number on the report.
o ID: If you have a unique numbering system that you use the
ID field for, you may wish to have the ID number used as the
person's number on the report. If this numbering is selected
and the person has no ID, there will be no number shown on
the report.
Options/Notes
-------------
o Type of notes to print
This option refers to how much text from the NOTES2.DAT file
should be included in the report. Enter "A" to include all
notes in the report. Enter "F" to include only Family Group
Sheet notes, i.e., those notes which are flagged with "!".
Enter "O" to ignore the notes file.
Note: This version of PAFAbility does not print notes that are
stored in text files. It assumes the notes are in the
NOTES2.DAT file. If you keep the notes in separate text
files, use the GIE program to export your data to a GEDCOM
file and then import that file to a temporary FR database.
You need the June 1990 version of PAF V2.2 or the PAFNOTES
utility from Commsoft to be able to convert your notes from
text files to the internal PAF format.
o Blank line between notes
PAF puts a blank line between notes on its reports. If this
option is selected, PAFAbility will also print notes this way.
If this option is not selected, then the notes will not be
separated by a blank line. Turning this option off will save
paper.

Options/Name format
-------------------
o Capitalize surname
When this option is selected, all surnames will be
capitalized. When this option is not selected, surnames will
be printed in mixed case.
o Abbreviate titles
When this option is on, certain titles (in the Title field of
the individual's name) will be abbreviated. For example,
Captain will be printed as Capt. Please use the online help
for a complete list of titles and their abbreviations.
o Include RIN
If this option is selected, the RIN will be printed as part of
the name in the body of the report. For example: Barbara Ann
Bennett (R:3). If this option is not selected, then only the
name will appear.
o Include ID
If this option is selected, the ID field will be printed as
part of the name in the body of the report. For example:
Barbara Ann Bennett (ID:1XYZ15). If this option is not
selected, then only the name will appear.

Options/Place Format

o Preposition
Press "A" to use "at" before place names. Ex: ... born at
Mattoon, IL.
Press "I" to use "in" before place names. Ex: ... born in
Mattoon, IL.
Press "O" to use no preposition before place names. Ex: ...
born Mattoon, IL.
o Abbreviate State/Country
If this option is selected, then place name levels 3 or 4 will
be abbreviated. For US States the standard two character
abbreviation is used. For countries the abbreviations
specified by the Genealogical Research Directory are used.
Refer to the online help for a complete list of abbreviations
and exceptions to the standard abbreviations.
Options/Date Format
-------------------
o Use prepositions
If this option is selected, then "on" or "in" will be used
before dates when appropriate. Ex: ... born on 6 Feb 1951;
married Sep 1983; died in 1991.
If this option is not selected, then only the date will be
printed on the report. Ex: ... born 6 Feb 1951.

Options/Page Format

o Paper size
Press "8" to format the report for 8 1/2" x 11" paper.
Press "A" to format the report for A4 paper.
o Type size
Press "P" to select Pica size type (10 characters per inch).
Press "C" to select compressed print (17 characters per inch).
o Include time in header
If this option is selected, the time of day will be printed in
the header on each page of the report.
o New page for each generation
If this option is selected, there will be a page break between
generations. This would have the effect of creating a chapter
for each generation. However, be aware that this can cause a
significant increase in the number of total pages printed. Do
not select this option if you wish to save paper.
o How many spaces do you want?
The numbers in the left and right margin fields specify how
many spaces wide each margin will be. If you change from
compressed print to pica, be sure to change the margin
settings accordingly. The default margins are set for
compressed printing.

o How many blank lines do you want?
The numbers in the top and bottom margin fields determine how
many blank lines should be left at the top and bottom of each
page of the report.
The "between text and hdr/ftr/subhdr" number specifies how
many blank lines there should be after the header lines and
before the body of the report; how many blank lines there
should be between the body of the report and the footer lines;
and how many blank lines should separate text from the
generation number subheaders.
Options/Index
-------------
o Format
The index can be printed in a one or two column format. A one
column index will use twice as much paper as a two column
index. If the report you're printing is only one or two pages,
you may not want to create an index.
Press "O" to select a one column index.
Press "T" to select a two column index.
Press "N" to omit the index.
o Dot leaders
If this option is selected, the space between the individual's
name and the page numbers will be filled with periods. For
example, Barbara Bennett ............. 3
o Include Birth/death
If this option is selected, then birth and death years will be
included in the index. Ex: John Bennett (1798-1882) 1

Options/Miscellaneous

o Abbreviate event tags
If this option is selected, then the names of events will be
abbreviated appropriately. Refer to the online help for
complete examples. If this option is not selected, then event
names will be spelled out.
o Include MRIN in marriage data
This option corresponds to the "include RIN" option on the
Name Format screen. If this option is selected, the MRIN will
be shown with the date and place as part of the marriage data.
o Do not load name file into memory
A record from the name file must be read for each piece of the
name field and each level of place name. When the name file is
read into memory and accessed there instead of being read from
the disk, reports take less time to create because accessing
data in memory is much faster than accessing data on a disk
drive. But, in some cases, there just isn't enough memory
available to keep the name file in memory and still run the
program. This option should only be selected if you are
having a problem with memory shortages. When this option is
selected, the name file will not be loaded into memory.
Options/Save Options

You may want to use different combinations of options for
different purposes. This item lets you save all current
settings (not just those set on the Options menu items) to a
file. You may save as many option files as you want.

This item allows you to retrieve settings that you previously
saved.
Options/Show Options
--------------------
This item shows a scrollable list of all the options in the
program and their current settings. If you wish to change any
of the settings, you must do so through the appropriate menu
selection.
Print Menu

Print/Set Dest
--------------
This option allows you to send the report to the printer or to
a disk file. If you select a disk file, a file dialog box
pops up to allow you to select the file name for the report.
Print/Printer
-------------
This option determines which, if any, printer codes are
included in the report. Enter "D" if you have an Epson
compatible dot matrix computer. Enter "L" if you are using a
Hewlett Packard compatible laser printer. Enter "N" if you
have an incompatible printer or don't want to include printer
codes in the report.

Print/Options

o Reset Printer
If this option is selected, the codes to reset the printer to
its power on defaults will be sent at the end of the report.
If you have chosen to send the report directly to the printer,
then you should select this option.
If you chose to send the report to a disk file with the
intention of printing your report on both sides of the paper,
then you should NOT select this option. If the printer reset
code is included in the disk report, it may cause undesirable
results when you try to print alternate pages.
o Port
Press "1" if your printer is attached to LPT1.
Press "2" if your printer is attached to LPT2.
Press "3" if your printer is attached to LPT3.
This option has no effect if the report is being written to
disk.
PAFAbility cannot print to a printer attached to a serial
port. If you have a serial printer, then you must send the
report to a disk file and print the report outside PAFAbility.

What's it doing?
----------------
After you've selected the individual to base the report on, the
program reads the data and writes the report. A page counter
reporting the progress is displayed on the screen. An index entry
for each individual named in the report is built.
After all the descendants' information is printed, the index
entries are reformatted and sorted. The message "Sorting index"
appears on the screen. If there is not enough memory to sort all
the names at the same time, temporary disk files will be used. If
there is not enough free disk space for the sort work files, the
program will fail. Unfortunately, there is no way to calculate
how much disk space will be needed.
After the index entries are sorted, the index is printed. A page
counter reporting the progress is displayed on the screen. If
nothing went wrong during the creation of the report, a message
box saying "Program successfully completed" is displayed.
Random thoughts on data entry
-----------------------------
Field use
The program assumes, as does PAF, that each field contains
what it was intended to contain. That is, the surname field
contains a surname; the title field contains a title; etc.
If you've done as many people have and used fields in ways
they weren't intended - I enter (twin) in the title field to
indicate multiple births - then the report output may not
make sense.
Names
Names that don't follow the expected pattern, such as
"William the Conqueror", will probably not appear in the
index as one would like. How it will be sorted depends upon
what was entered in the surname field. I don't know of a
solution for this problem, since existing versions of PAF
don't provide well for this type of name.

Notes
I have not always been consistent in the way I entered data
in the notes file. I quit using the FGS Note indicator back
when version 2 of PAF was released because I figured I
always wanted all my notes printed. However, that's not
appropriate for my purposes with this report. I've decided
to enter any biographical narrative text as the first FGS
note(s) for an individual. The next FGS note is: "Sources
for <individual's name>:". This note is followed by the FGS
notes containing the source citations for the data. Each
source citation is followed by the data extracted from that
source. This data is NOT marked as an FGS note. Here's an
example:

north of Jewett, Ohio, owned in 1946 by Ira Arbaugh (gson of
Adam's brother, John). Adam received a meager education in
the Orr School. Rev. Benjamin Pope, Lutheran minister

Marriages
PAF assumes that a liaison that produces children is a
marriage. Since PAF provides no way to indicate otherwise,
that assumption is also used in this program.
HOW2READ.TXT file
-----------------
A file named HOW2READ.TXT is included in the PAFAbility
distribution package. This file is a one-page explanation of how
to read the report. You may wish to print this file and include
it with reports that you send to others. You may print the
explanation page from PAFAbility using the Report/Print Cover
Sheet menu item, or you may use the DOS COPY or PRINT command or
some other program to print the file.
PRINTALT program
----------------
My PAF database currently contains over 6000 individuals. A
report for my mother's side of the family is about 800 pages. In
order to save paper, I wanted to print on both sides of the
paper. None of the public domain or shareware programs I have
tried have worked successfully for me. So, I wrote a program
called PRINTALT which is included in the distribution packet.
PRINTALT reads the disk file containing the report and prints the
odd pages. It then prompts the user to turn the paper over and
prints the even pages. PRINTALT is what one of my coworkers
calls a "hurry up quick" or others call "quick & dirty". It is a
no frills program. It works for me but I don't guarantee that it
will work for you. I would not expect it to work on any file
other than the report created by PAFAbility.
If your word processor is capable of printing alternate pages, I
recommend you use it for this purpose.

Printing the report with a word processor
-----------------------------------------
If you wish to print the report using a word processor, you must
set the word processor to agree with the margins, type size, and
lines per inch settings you used in PAFAbility. If the word
processor settings don't match what you used to create the
report, it will not print correctly.
The report is designed for a mono-spaced font such as Courier.
Use of a proportional spaced font will produce unexpected
results.
Printing the report on an unsupported printer
---------------------------------------------
If you captured the report to disk and chose "no printer" because
your printer is not supported by the program, then you must send
the proper control codes to your printer before attempting to
print the report. You must set the printer to be compatible with
the type size settings you used in PAFAbility. If you chose Pica
print, then you must set the printer to 10 characters per inch
and 6 lines per inch. If you chose compressed print, then you
must set the printer to 17 characters per inch and 8 lines per
inch.
Purchase Agreement

Registered users may install and use this program on more than
one computer as long as only one copy is in use at any given
time.

The person using the software bears all risk as to the quality

The Shareware Concept
---------------------
PAFAbility is distributed as shareware. Shareware is commercial
software distributed in an unconventional manner. Microcomputers
copy information very easily. Instead of trying to frustrate
this through copy protection, shareware takes advantage of it to
reach as many users as possible at the lowest cost. Anyone may
copy a shareware program and distribute it to whomever they
desire, provided they do not charge a fee or alter it.
Shareware isn't free. Serious shareware is as polished as any
conventional commercial product, and represents just as much
programming effort. If you use it regularly, the authors expect
compensation.
However, unlike conventional distribution, shareware allows you
to evaluate the product before you decide to purchase it. The
price is often lower, as well, because there are no advertising,
packaging, or distribution costs.
But it can only work with your support. If you are still using a
shareware product after a couple of weeks, then it is obviously
worth something to you, and you should register it.
