  1. TITLE:   Merge Variable Name Does Not Display

  5. PROBLEM: 
  6. Certain merge field names in a merge data file do not display when inserted 
  7. into a document or a 0 displays instead of a field name.
  8.  
  9. SOLUTION: 
  10.  
  11. Merge field names which are spelled the same as macro language commands do not 
  12. display when first inserted into a document or a 0 may display instead of the 
  13. field name.  If a merge field name is the same as a power field function, the 
  14. value of the power field or an error message associated with the power field 
  15. if the power field is improperly formed will display where the merge field is 
  16. inserted.  For example, if you insert a merge field named NumWords, a number 
  17. representing the number of words in the displayed document will appear at the 
  18. location of the merge field.  NOTE: This is a display problem when viewing the 
  19. merge document.  Performing a merge will merge the records from the data file 
  20. into the document and overwrite any text that displays where the merge field 
  21. is located.

  23. If you need to see where such field names are located in a document, display 
  24. power fields by choosing View / Show Power Fields.  A more permanent way to 
  25. display the merge field names, however, is to change the field name in the 
  26. data file and insert the new field name into your document.  IMPORTANT: It is 
  27. advisable to change any merge field name that has the same spelling as a power 
  28. field function.  If a power field with the same name exists elsewhere in the 
  29. merge document, the power field value will change to the value of the merge 
  30. field as each record is merged.  For example, if you have a merge field named 
  31. NumPages and have included a power field function for NumPages in the 
  32. document, the NumPages power field will have the value of the NumPages merge 
  33. field as records are merged instead of the correct number of pages in the 
  34. merge document.

  36. HOW TO CHANGE MERGE DATA FILE FIELD NAMES

  38.  1. Open the Ami Pro data file or the description file for an external data 
  39.     file.
  40.  2. Select (shade) a field name which does not display correctly when inserted 
  41.     into a document.
  42.  3. Type a new name for the data field.  The new name should not be spelled 
  43.     the same as a macro command or a power field function.  If the macro 
  44.     documentation has been installed, you can see macro command names by 
  45.     choosing Help / Macro Doc.  You can see power field function names by 
  46.     choosing Edit / Power Field / Insert.  Scroll through the Fields list box 
  47.     to view the function names.  Choose Cancel to close the dialog box.
  48.  4. Repeat steps 1 through 3 for any field name which needs to be changed.
  49.  5. Choose File / Save to save the field name changes in the document.

  51. NOTE: If you are using a DIF file with LABEL names in the header of the DIF 
  52. file, you will need to recreate the DIF file in the originating application.

  54. HOW TO INSERT THE NEW FIELD NAMES INTO A DOCUMENT
  55.  
  56.  1. Open the document in which you are inserting the field names.
  57.  2. Choose View / Show Power Fields.
  58.  3. All of the merge field names now display.
  59.  4. Select (shade) the first field name which needs to be replaced.  Make sure 
  60.     you shade the beginning and ending brackets surrounding the field name 
  61.     (for example, in the field name <NOTES> you would need to shade the word 
  62.     NOTES and the surrounding <> brackets).
  63.  5. Choose Edit / Cut.  Specify Yes to the prompt "There is a field in the 
  64.     selection to be deleted.  Would you like to continue?".
  65.  6. Repeat steps 1 through 5 until all field names that will be replaced have 
  66.     been removed.
  67.  7. Choose View / Hide Power Fields.
  68.  8. Position the insertion point where a field name needs to be inserted.
  69.  9. Choose Edit / Insert / Merge Field.
  70. 10. Select the first field name which should be inserted and choose Insert.
  71. 11. Position the insertion point where the next field name should be 
  72.     inserted.
  73. 12. Select the desired field name and choose Insert.
  74. 13. Repeat steps 11-12 for each field name that needs to be replaced.
  75. 14. Choose Cancel to close the Insert Merge Field dialog box when all field 
  76.     names have been replaced.
  77. 15. Choose File / Save to save the changes.
