  10. SmartTracker Inventory 3.0
  11. --------------------------
  12. SmartTracker Inventory contains a number of features designed to help you 
  13. quickly organize and catalog your personal/office possessions.  Keep a 
  14. record of your belongings for insurance purposes, to help calculate your
  15. net worth, or to simply be able to locate your personal property.  The 
  16. following notes will illustrate SmartTracker Inventory's flexibility and
  17. variety of features designed to allow maximum customization and ease of
  18. use.  Equipped with the Borland Database Engine, SmartTracker Inventory
  19. is both fast and powerful.
  20.  
  21. Inventory Viewer
  22. ----------------
  23. SmartTracker Inventory features a scrollable Viewer, similar in appearance 
  24. to a spreadsheet layout, which lists the database elements.  Configure the 
  25. viewer to your personal preference by clicking on NAVIGATE/VIEWER.  Select 
  26. only those database items that you want to see in the viewer.  Specify the 
  27. order in which they appear and designate the space to allocate to each 
  28. element.  Expand or shrink the number of items in the viewer by adjusting 
  29. the font size.

  31. New features include the ability to edit data directly from the viewer, 
  32. complete with pull down list boxes and check boxes in a 3-D format.  Change
  33. colors in the viewer or add grid lines to suit personal tastes.   All field
  34. names may be renamed to your liking and will be reflected in the Inventory 
  35. Viewer as well as throughout the entire program.  All data is now loaded 
  36. into the viewer at once.  Speed buttons are available to move you to the 
  37. beginning or the end of the database.
  38.  
  39. Inventory Input (Edit) Window 
  40. -----------------------------
  41. Enter a multitude of information about your personal/office possessions in 
  42. a simple, straight-forward fashion.  Check out the RECORDS/ADD menu item or
  43. the speed button.  The input (edit) window is comprised of four tabs.  In 
  44. the first tab you may record the following information : Item, Brand, Model,
  45. Serial Number, ID Marks, Description, Category, Location, and Owner.

  47. The second tab asks for Quantity, Item Cost, Current Value, and Replacement
  48. Cost.  Input the dollar values for Item Cost, Current Value and Replacement
  49. Cost on a per item basis.  If you have more than one of a particular item, 
  50. the costs and values will automatically be adjusted by the number of units.
  51. You'll see both the per unit values and the expanded values.
  52.  
  53. The third tab has a check box to mark if the item has a warranty.  If so, 
  54. there are fields to record Warranty Expiration Date and Warranty Notes.  
  55. This tab also includes fields to record Purchase Date and Where Purchased.

  57. The fourth tab contains four user definable fields to use as one sees fit. 
  58.  
  59. If you have similar items to input, save time by using the copy function
  60. (click on EDIT/COPY from the main window) to copy your original entry and 
  61. then edit the few fields that need changing.  The Clear Button allows you 
  62. to clear the input fields and sets all values to the initial default values. 
  63. By clicking EDIT/DELETE from the main window you may delete an entry.  
  64.  
  65. Several fields have drop down list boxes that contain a list of all previous 
  66. entries.  This makes repetitive entries a snap by just choosing a value.  You
  67. can now browse the database while in the input window.
  68.  
  69. The standard windows clipboard copy and paste functions are now available 
  70. for all fields. 
  71.  
  72. Searches
  73. --------
  74. SmartTracker Inventory contains powerful search facilities.  The Search
  75. Window allows you to enter specific search criteria to locate a set of 
  76. items.  You may select to search on one field or multiple fields.  
  77. Alternatively, you may choose to search for different items in the same 
  78. field, such as looking for all Sony, GE and Maytag brands.   You can 
  79. search for numeric and date values, locating items less than, greater
  80. than, less than "x" but greater than "y", or equal to the number or 
  81. date entered.  For example, you can readily find items purchased after
  82. June 22, 1994 or find all items with a purchase price of between $100 
  83. and $250.  All matching search items will be placed into the Inventory
  84. Viewer.  Check out NAVIGATE/ SEARCH from the main menu.

  86. The Search and Replace function allows you to replace all occurrences of
  87. a field value with another value.  Simply enter the data to search for 
  88. and type in the replacement text.  Optionally have the program confirm 
  89. the replacement before it occurs.  Click on TOOLS/ SEARCH & REPLACE from
  90. the main menu.
  91.  
  92. SmartTracker Inventory can assist you in locating records by searching on
  93. one field.   Find this from the main menu, NAVIGATE/LOCATE.  Choose a field,
  94. specify if the search value is case sensitive and an exact or partial match.
  95. Next, type in the value you are looking for.  The first record found 
  96. matching the criteria supplied will be highlighted in the Main Window
  97. Viewer.   Click on "LOCATE NEXT" to find the next record matching the
  98. criteria given.

  100. Sorting
  101. -------
  102. You can choose the order in which your data is displayed and used throughout
  103. the program.  You can choose any field to sort on as the primary sort.  
  104. SmartTracker Inventory now allows you to perform second, third and fourth 
  105. level sorts.  If an identical field exists in the primary sort, then the 
  106. items are sorted by the secondary sort, and so on, through the fourth sort.
  107. Check out the OPTIONS/SORT ORDER menu item.
  108.  
  109. Data will be displayed in the Main Window Viewer based on the sort order
  110. defined.  Reports and Exporting Data also rely on the sort order.
  111.   
  112. Backing Up Data
  113. ---------------
  114. SmartTracker Inventory offers a built in mechanism for backing up files
  115. used by the program.  Select FILE/BACK UP DATA from the menu list. You 
  116. may choose to back up three different types of data.  These are the actual
  117. data files, maintainable lists and user defined reports.  Simply select 
  118. what you would like to back up, then choose the drive and directory where
  119. the data is to be saved.   Click the "Start Backup" button to begin the 
  120. operation.

  122. Another alternative for backing up data files is to use the Export and
  123. Import commands.  You may export your entire data and then import it. 
  124. You may wish to do this if your database is so large that it cannot be
  125. backed up onto a floppy disk.  An ASCII Delimited Export File will 
  126. normally take considerably less space than the actual database file.
  127.  
  128. Multiple Databases
  129. ------------------
  130. SmartTracker Inventory will support virtually an unlimited number of
  131. databases, basically confined by your hard disk space.  When restarting
  132. the program, the last database used is automatically loaded.  The 
  133. previous five databases open will be displayed at the bottom of the
  134. FILE menu command.  The name of the currently opened database is 
  135. always shown in the caption bar of the Main Window.  
  136.  
  137. Customization
  138. -------------
  139. Practically all aspects of the program can be configured and customized
  140. to the user's own preferences.  All font styles (on screen and reports)
  141. can be changed.  This allows support for foreign languages, as some 
  142. languages require special fonts and characters.  Field names may also
  143. be renamed to ones own preference or to provide foreign language 
  144. equivalents.  The screen colors are all completely changeable to one's
  145. own tastes.

  147. You may choose from three options for screen navigation, the use of
  148. speed buttons, lettered buttons or none at all.  Other options include
  149. determining screen size, date and numeric formats, and making changes 
  150. to the viewer and reports as described previously.  Select OPTIONS from
  151. the Main Window.
  152.  
  153. Networking
  154. ----------
  155. SmartTracker Inventory will support usage over a network.   Multiple users
  156. may have the same database open simultaneously and all may make updates to
  157. the database.  If a change is made by one person, that change will show up
  158. for the other users after they have "Refreshed" the database.  Refreshing 
  159. is accomplished by clicking the REFRESH speed button or by scrolling the 
  160. Main Window Viewer.
  161.  
  162. Export/Import Functions
  163. -----------------------
  164. You may choose to export your data to an ASCII Delimited File or to a
  165. Dbase Compatible File.  Select RECORDS/EXPORT from the menu items.  You
  166. can rearrange the order in which the fields are exported for each record.
  167. Just highlight the field you want to change the order on and use the "UP"
  168. and "DOWN" buttons to move it anywhere in the list.  The "DEFAULT" button
  169. will set the field order back to the program default order.  If a search 
  170. is currently active, you may optionally export just the data that is 
  171. available as a result of the search.  You may still export the entire
  172. database even if a search is currently active.
  173.  
  174. Similarly you may import data from an ASCII Delimited File or a Dbase
  175. Compatible File.  Check out RECORDS/IMPORT from the main menu.  You can
  176. align the fields that are to be imported with the database fields of the
  177. program.  Line up the fields however you like using the "UP" and "DOWN" 
  178. buttons in the Field Alignment area.  If you wish to ignore one of the 
  179. import fields (not have it imported) then set the corresponding "USE" 
  180. area to "NO".  Setting this to "YES" means the field will be used for 
  181. importing.
  182.  
  183. Reports
  184. -------
  185. SmartTracker Inventory comes with eight pre-defined reports for immediate
  186. use.  These layouts may be copied, modified, used or deleted.  Look at 
  187. NAVIGATE/REPORTS to see all reporting options.
  188.  
  189. Design your own report layouts.  Practically  every aspect of the report
  190. process is user configurable.  Select reports with widths of  90, 120 or
  191. 150 characters.  You may choose different fonts for the report titles, 
  192. column headers, report body and footnotes.  Select any font that has been
  193. loaded onto your computer.   Up to three report headers may be assigned 
  194. to appear at the top of each page, to use for name, address, phone number
  195. or for whatever seems appropriate.

  197. You can select only those fields you would like to print on the report.
  198. Choose the width of the fields and the order in which the fields appear. 
  199.  
  200. The reports may be grouped into sections based on the primary sort order
  201. or on the primary and secondary sort order .  Column Headers, horizontal
  202. and vertical lines are optional for some report layouts (those in a 
  203. spreadsheet style).  Set the top, bottom, and side margins to your own
  204. specifications. Also optionally include the current date at the bottom
  205. of each page.

  207. The reports may be viewed on screen before printing.  Send the report to 
  208. the printer or an ASCII text file to save on disk.  Print one page, a range
  209. of pages or the entire report.                          
  210.  
  211. Three options are available to make submitting reports to your insurance
  212. company more convenient.  At the bottom of each page you may have your 
  213. insurance company and policy number listed.  At the end of the report a
  214. line is added stating that to the best of  your knowledge the inventory
  215. list is correct as of the date printed.  A place to sign your name is 
  216. provided along with your printed name.
  217.  
  218. System Requirements
  219. -------------------
  220. SmartTracker Inventory is available in both 16 bit (Windows 3.1) and 
  221. 32 bit (Windows 95/NT) versions.  Requires a minium of 4MB Ram, 5MB of
  222. disk space and a VGA Monitor
