- A few tips on getting the most out of GOVDOX...

- o If you have several databases, give the one you use most often
- a name that sorts first in the list of your databases...that
- will cause that database to display first in your selection
- pick-list and can be activated by simply pressing RETURN
- (or hitting escape). You can specify a database on the
- command line, if desired: e.g., C:\GOVDOX>GD DEMO [return]
- would load the demo database as the program started.

- o Be sure to put a hyphen between multi-word terms used in
- the keyword field. GOVDOX considers anything with a
- space on either side of it a 'word' when indexing and
- will index up to four (4) 'words' in the keyword field.

- o Data is stored in UPPER CASE in the various GOVDOX index files,
- but you may use any case when entering search requests. Your
- input is converted to upper case before comparison with the
- index is made.

- o When doing data entry (adding or editing), pressing F1 will
- show you the various keystrokes that GOVDOX supports. Press
- F3 to reveal the text associated with the various location
- and media type display codes.

- o Note that when you search without using an indexed
- field, GOVDOX will first scan the entire database and
- note the matching records. You will then see the matches
- and be able to move quickly between them.

- o Backups? There are a couple of ways to back up a GOVDOX
- database. First, be aware that a GIX file (created using
- option G on the Export Menu) can serve as a backup. Create
- the GIX file then copy it to a diskette or tape. If you
- need to restore the backed-up data, just create an empty
- (new) database using GOVDOX, then import the GIX file
- into it.

- As an alternative, you can use the LHA program that was
- put on your disk when you installed GOVDOX. To use LHA,
- issue the following command at the DOS prompt:

- LHA A GOVDOX.LZH GOVDOX.DAT GOVDOX.IX [return]
-
- This command would create an LZH archive file named
- GOVDOX.LZH...which would contain in compressed form
- the files GOVDOX.DAT and GOVDOX.IX. You should find
- that an LZH archive will use 60% less space than the
- associated DAT and IX files would require.

- To decompress an LZH archive file, issue the
- following command:

- LHA E GOVDOX [return]
-
- This command would "Expand" an archive file named
- GOVDOX.LZH (the LZH extension is assumed by LHA if
- you omit it as we've done above). When LHA is finished
- processing, you'll find GOVDOX.DAT and GOVDOX.IX have
- been decompressed.

- You can name your LZH archive file any valid DOS filename
- (e.g., 8 characters). As a rule, we suggest you name
- the LZH file the same name as your database--makes
- it easier to later figure out which files are contained
- in the archive.

- Type LHA at the DOS prompt to see a summary of all valid
- LHA commands.
