PROGRAM SUMMARY and HISTORY
QESSUMRY 6.1 is a program to summarize data from bulletin
board questionnaires developed for RBBS-PC. The program will
ignore questions requiring a text response, provided individual
the questions are named as outlined below. It will also skip
questions for which there have been no responses, as sometimes
occurs when the questionnaire follows different paths depending
on answers to previous questions.
QESSUMRY 6.1 will tally the number of responses for multiple
choice and yes/no questions, and will calculate a response
percentage for each choice. The basic tally and percentage can
be output to a ASCII (Text) File, a Printer, or to a Delimited
Data File for use with database programs.
QESSUMRY 6.1 can also create a special text file (Question
and Answer Summary) which integrates the actual questions from
the questionnaire .DEF file with the response summaries, along
with an indication of "correct" answers to questions, if
appropriate. QESSUMRY 6.1 provides the additional ability to
incorporate explanations of "correct" answers to questions,
either through keyboard input of from a data file.
From the summary files created by the program, QESSUMRY 6.1
can generate a statistical report of Users' "correct" response
rate, both individually and as a group. QESSUMRY 6.1 can also
create individual text messages to each responding user, detail-
ing the user's response statistics, for incorporation into RBBS-
PC messages (Response Messages to Users).
. . . . .
QESSUMRY started as QESTALLY, which was released in Febru-
ary, 1988. Some users requested improvements to the program to
make it more versatile in output. The delimited data file output
was immediately added, but before the revision was released, we
noted a need to integrate the actual questions from the <file-
name>.DEF file with the answer summaries. This creates a bulle-
tin which shows the reader the question, the correct answer, and
the summary of responses. The revision was major enough to
warrant renaming the program, and thus QESSUMRY was born.
QESSUMRY 6.1 - 3 - February 22, 1991

NEW FEATURES IN QESSUMRY 6.1
* QESSUMRY now automatically generates a User Response Statis-
tics file every time the (R)esponse Messages to Users option
is taken. This ensures that the <filename>.URS file is
current.
* QESSUMRY checks the questionnaire data file for possible
errors and writes the line number of the error to a file.
* Minor corrections to the file location error system.
EXAMPLES & FILE EXTENSION SUMMARY
Throughout this documentation, we will refer to several
types of files. Examples of all files, except the .DAT (data)
file, are listed in the appendices. We have used an actual
questionnaire called TRIVIA.DEF. This questionnaire represents
the most complex type, one with "correct" answers and explana-
tions of why those answers are correct.
The following file extensions are used at various times by
QESSUMRY 6.1. All extensions are preceded by the questionnaire
filename, which is designated in the documentation as <filename>.
The <filename> may be any one to eight (1 - 8) character name
valid with MS-DOS, but must be the same for all questionnaire
files.
<filename>.ANS File containing "correct" answers to ques-
tions. Optional file - if it is not available,
QESSUMRY will prompt for responses. [Created by
sysop following guidelines below or may be created
automatically by QESSUMRY]
<filename>.DAT Data file output by RBBS, containing each
respondent's name and answers to questions. [Cre-
ated by RBBS - Sysop must supply the data file
name during the creation of <filename>.DEF]
NOTE: This file MUST be present for QESSUMRY 6.1
to work.
QESSUMRY 6.1 - 4 - February 22, 1991
Documentation
<filename>.DEF Questionnaire definition file. This must be
created as specified in the RBBS-PC documentation.
[Must be created by the sysop]
<filename>.DIR Used in QESSUMRY 5.0 but discontinued in this
version.
<filename>.DTA File containing total number of responses to
each question and the number of responses to each
option for each question. Data is delimited by
commas for use with database programs. [Created
by QESSUMRY]
<filename>.ERR File containing possible answer errors and
associated line numbers encountered in the <file-
name>.DAT file. [Created by QESSUMRY]
<filename>.EXP File containing explanations for questions.
This may include explanations of "correct" ans-
wers, or definition of "most right" responses to
opinion polls. Optional file. [Created by sysop
following guidelines below, or may be created
automatically by QESSUMRY]
<filename>.MSG File containing individual personal messages
to users regarding their score on a questionnaire
utilizing "correct" answers. This file may be
merged into an RBBS message file using a utility
such as Darwin Collins SMLMESS. <filename>.URS
must be present for this file to be created.
[Created by QESSUMRY]
<filename>.SUM File created from the Summarize (Q)uestions &
Answers option of QESSUMRY. Contains the text of
questions from the <filename>.DEF file and the
answer summary for each question. Can also con-
tain a "correct" answer indicator and explanation
for each question. [Created by QESSUMRY]
QESSUMRY 6.1 - 5 - February 22, 1991
Documentation
<filename>.TXT File containing a summary of each question,
the number of responses to each option, and the
percentage of respondents choosing each option.
[Created by QESSUMRY]
<filename>.URS File containing each respondent user's name,
percentage of correct answers, a listing of ques-
tions to which the respondent gave incorrect an-
swers, a detail of the number and percentage of
responders who selected the "correct" answer to
each question, and identifies the top scoring user
or users. <filename>.ANS must be present and
properly created for this file to be created.
[Created by QESSUMRY]
QESSUMRY.PRM The Message Security parameter file for the
(R)esponse Messages to Users option. This is a
single line ASCII file containing a number repre-
senting the default security level for messages to
users. The entry is a single number without
quotes or other markings. If this file is not
present on the default drive\subdirectory, QES-
SUMRY 6.1 will assign a message security level of
5 to the messages.
DEFINING THE QUESTIONS
The RBBS-PC questionnaire is developed according to the
directions in the RBBS-PC documentation. Each questionnaire is
named with a filename of up to eight characters with a mandatory
extension of .DEF. Questionnaires which will be summarized with
QESSUMRY 6.1 must follow these guidelines:
1. The data file where the questionnaire responses are
recorded MUST have an extension of .DAT. The Questions
& Answers and User Response Statistics options of
QESSUMRY 6.1 require that both the .DAT and .DEF files
have the same file name. If used, the answer file must
also have the same filename.
Therefore, the data file for TRIVIA.DEF (the ques-
tionnaire) would have a data file named TRIVIA.DAT
and an optional answer file named TRIVIA.ANS.
QESSUMRY 6.1 - 6 - February 22, 1991
Documentation
2. Multiple choice and yes/no questions MUST be desig-
nated by the label "QUESTION", followed by a one or two
digit question number. It is preferable, but not
necessary, that single-digit question numbers by pre-
ceded by a zero. According to the questionnaire devel-
opment criteria for RBBS-PC, labels are indicated by a
colon (:).
Therefore, multiple choice question number 2 would
be labeled :QUESTION2 or :QUESTION02
To avoid conflicts, questions requiring general
text input or those included for general "house-
keeping" should have a label other than "QUES-
TIONxx". See Examples.
3. QESSUMRY 6.1 will summarize up to 25 multiple-
choice or yes/no questions per questionnaire, each with
up to 8 choices. Multiple choice responses must be in
the range A-H. QESSUMRY 6.1 is not case-sensitive to
responses, so both upper and lower case responses are
acceptable. Yes/no questions must have the "yes"
response listed first. (Responses must be Y/N - True/-
False or T/F responses are not supported by QESSUMRY.)
4. For all functions of QESSUMRY 6.1 to work properly,
the response line (the one preceded with a "?") should
be separate from the question itself. Although this is
not mandatory, if you design questions using the single
question/response line, the (Q)uestion & Answer Summary
option will not pick up the question.
?Do you own an IBM PC (Y/N)
would be better written as:
*Do you own an IBM PC
?Enter Y or N
Response lines should have the valid responses
listed. The last character should be either the high-
est response letter or, in the case of yes/no questions
the close-parenthesis is acceptable.
QESSUMRY 6.1 - 7 - February 22, 1991
Documentation
A proper response line for a 5 answer multiple
choice would be:
?Enter A, B, C, D or E
Proper response lines for a yes/no question would
be:
?Enter Y or N
or
?Enter (Y/N)
See Appendix A for a sample <filename>.DEF file.
RUNNING THE PROGRAM
QESSUMRY 6.1 is a stand-alone executable program. It must
exist on the same drive/subdirectory as the questionnaire data
file. If you wish to use the Questions & Answers option, the
<filename>.DEF file for the questionnaire must also exist on the
same drive/subdirectory. Additionally, <filename> in <file-
name>.DAT and <filename>.DEF files must be identical.
Open Files:
QESSUMRY 6.1 may have as many as seven (7) files open at any
given time.
Variation 1:
To start the program, type QESSUMRY at the DOS prompt.
QESSUMRY 6.1 will display its intro logo and ask for the name of
the questionnaire data file. You may enter either the filename
alone, or with the extension of .DAT. If the filename is entered
without an extension, QESSUMRY 6.1 will append .DAT to the
filename.
If you are creating more than one output, QESSUMRY 6.1 will
display the questionnaire in use, after the first pass. To
continue to use the same questionnaire for additional outputs,
just press {ENTER}. To change questionnaires, enter the new
QESSUMRY 6.1 - 8 - February 22, 1991
Documentation
questionnaire data file name. To exit QESSUMRY 6.1, enter "X" as
the data file name and press {ENTER}.
You will then be asked whether you want the output routed to
a Database file, Text file, Printer or whether you want to
Summarize the Questionnaire, print User Response Statistics, or
create individual Response Messages to Users. The default is to
print to a text file. See OUTPUT OPTIONS.
Variation 2:
QESSUMRY 6.1 may also be started by placing the output
selection and/or filename on the command line. The order of file
name and output selection is not important; either can be first.
Data entered on the command line is not case sensitive. Two
criteria are important however:
1. The output selection is one letter preceded by either
"-" or "/". Thus, valid output selections are: -A, -D,
-P, -Q, -R, -U (/A, /D, /P, /Q, /R, /U). (X is also a
valid output selection, but since it terminates the
program, it probably would not be used on the command
line.)
2. The data file name must NOT have an extension. QES-
SUMRY 6.1 will automatically append .DAT to the file-
name entered on the command line.
Example: C:> QESSUMRY -D 300BAUD will output the tally of
responses to 300BAUD.DAT to a delimited data file
called 300BAUD.DTA.
C:> QESSUMRY /p upload will output the tally of
responses to
UPLOAD.DAT to the printer.
C:> QESSUMRY upload -P will also output the tally of
responses to UPLOAD.DAT to the printer. (Command line
parameters of filename and output specification may be
in either order)
NOTE: If either parameter is omitted from the command line,
QESSUMRY 6.1 will prompt for the missing information. It is not
necessary to put either parameter on the command line - QESSUMRY
6.1 will prompt for both.
QESSUMRY 6.1 - 9 - February 22, 1991
Documentation
Errors During Execution:
Significant errors encountered in the execution of QESSUMRY
6.1 are written to a file called QESSUMRY.ERR on the default
drive/subdirectory. This file contain the date and time the
error was encountered as well as a brief explanation of the
error.
QESSUMRY is designed to summarize single-character answers
to either Yes/No or multiple choice questions. If QESSUMRY
encounters an answer longer than a single character, it will
display an error message and write the error to a file called
<filename>.ERR. The form of the error message is:
Possible Error in <filename>.DAT data on 00-00-19xx @ 00:00:00
for answer to QUESTION # : DD at Line Number ##
where:
<filename>.DAT is the questionnaire data file
00-00-19xx is the date the error was encountered
00:00:00 is the time the error was encountered
QUESTION # is the question number with an erroneous
answer
DD is the actual answer string encountered
in the data file
Line Number ## is the physical line number of the data
file where the error was encountered.
This is useful for editing the data file
using EDLIN or other text editor.
OUTPUT OPTIONS
[A]SCII File
The default output option is to a text file with the name
<filename>.TXT. This will create an ASCII text file on the
default drive/subdirectory containing the number of responses and
a percentage breakdown of each response. (In previous versions,
this option was labeled "Text [F]ile", and the output was to a
file with the extension ".FIL". This has been changed to provide
more uniformity with other available questionnaire programs.)
QESSUMRY 6.1 - 10 - February 22, 1991
Documentation
(D)elimited Data File
If you select this option, QESSUMRY 6.1 will direct its
output to a file called <filename>.DTA. There will be one text
line for each question in the questionnaire. The file format is:
1) The word "QUESTION" followed by the question number
2) the total number of responses to that question
3-10) the number of responses to each choice A-H. If
the question is a yes/no, "Y" responses will be in
field 3 and "N" responses in field 4. Fields are
delimited by commas.
NOTE: This output is NOT of itself in any particular
database format. It is merely in the delimited format which can
be imported by various database programs.
(P)rinter
If you select Printer, QESSUMRY 6.1 will direct its output
to your default printer. This output will be in the same form as
the text file output, but will be formatted to break properly on
11 inch paper.
(Q)uestions & Answers
If you select Questions & Answers, QESSUMRY 6.1 will tally
the responses, as it does with the other options, and output the
results to a text file named <filename>.SUM. In its basic output
form, QESSUMRY 6.1 will print each question (those defined by the
:QUESTION label), followed by a summary of the responses for that
question. You will have the options of supplying "correct"
answers for the questions and/or to provide explanations for the
questions and answers.
Supplying "Correct" Answers
QESSUMRY 6.1 will check for the existence of a file called
<filename>.ANS. This is the answer file for those questionnaires
where there is a "correct" answer for each question. If this
file is located on the default drive/sub-directory, QESSUMRY 6.1
will insert the correct answers into the output file.
QESSUMRY 6.1 - 11 - February 22, 1991
Documentation
The answer file may have correct answers on one line,
delimited by commas, or may have each answer on a separate line.
NOTE: It is your responsibility to ensure that there are the
proper number of answers for the number of questions in the
questionnaire. QESSUMRY 6.1 will terminate abnormally if there
are too few answers in the <filename>.ANS file for the number of
questions. Valid entries for the <filename>.ANS file are Y, N,
or A-H. Entries are not case-sensitive. If you use the automat-
ic .ANS file creation option, explained in the next paragraph,
the proper file format will be created.
If no <filename>.ANS file exists, you will be asked if you
wish to provide "correct" answers to the questions. If the
questionnaire is of the general survey type where there is no
"right" answer to the question, press "N". If you do wish to
provide "correct" answers, such as to a knowledge questionnaire,
press "Y". You will then be asked if you wish to have answers
written to an .ANS file. If you respond "Y", QESSUMRY 6.1 will
create an .ANS file for the questionnaire from the answers you
input on the screen. QESSUMRY 6.1 will then display each ques-
tion in the questionnaire and prompt you for the correct answer.
In this form, only a one character response is accepted, but the
responses are not case-sensitive.
See appendix B for a sample answer file.
Supplying an Explanation to Questions
QESSUMRY 6.1 will check for the existence of an explanation
file - <filename>.EXP. If <filename>.EXP does not exist, you
will be asked if you wish to supply an explanation for the
questions.
If <filename>.EXP does not exist, you will be presented with
a format for entering the explanations after the display of each
question. Explanations must not be longer than 10 lines of 72
characters each. NOTE: Lines longer than 72 characters will be
truncated to 72 characters in length. The format indicates the
proper length. To end the explanation entry, press {ENTER} on a
blank line.
To skip an explanation for any individual question, press
{ENTER} on the first line of the explanation entry format.
QESSUMRY 6.1 - 12 - February 22, 1991
Documentation
Format of <filename>.EXP
Explanations may be provided through the use of an explana-
tion file, named <filename>.EXP. It is critical that the <file-
name>.EXP file follow the proper format. The first explanation
must start of the first line of the file, and explanations may be
no longer than 10 lines. (Line length may be up to 79 charac-
ters, unlike the on-line entry which are limited to 72 charac-
ters.)
Explanations are delimited by a percent character (%) in the
first position of a line. The remainder of a limit line may be
used for comments.
Questions for which no explanation is desired must still be
accounted for in the file, and the file must end with a percent
character (%). NOTE: There will be the same number of percent
characters in the first column as there are questions. See
appendix C for a sample explanation file.
If no <filename>.EXP file exists on the default drive\sub-
directory and you have indicated that you wish to provide expla-
nations, QESSUMRY 6.1 will ask if you wish to create <file-
name>.EXP. If you do, QESSUMRY 6.1 will write the explanation
entered on the screen to <filename>.EXP for future use.
See Appendix F for a sample question & answer summary file.
(U)ser Response Statistics
When a questionnaire has "correct" answers, the sysop or
users may want to know how many questions each user answered
correctly, which questions the user missed, and what the success
rate for each question was. This option creates such a summary,
output to a file called <filename>.URS. The summary will also
identify the top scoring user or users. For this option to
function properly, <filename>.ANS must be present on the default
drive\subdirectory.
See Appendix G for a sample user response file.
QESSUMRY 6.1 - 13 - February 22, 1991
Documentation
(R)esponse Messages to Users
Using the <filename>.URS file created by QESSUMRY 6.1, the
program can create a merge file with individual personalized
messages to users. These messages include the same statistics
that are present in <filename>.URS, but each message includes the
statistics on an individual user. Each message, when imported to
an RBBS message file, will be private to the user regarding his
or her individual score on the questionnaire.
When the (R) option is selected from the menu, QESSUMRY 6.1
will first automatically execute the (U) option, ensuring that a
current <filename>.URS file is present. QESSUMRY 6.1 will then
ask for a Leader Line to be placed in each individual message.
This Leader Line is used to indicate which questionnaire the
response statistics are for. If {Enter} is pressed at the
beginning of this prompt, QESSUMRY 6.1 will place the following
message into each individual response file:
On the <filename> Questionnaire:
Kill Message
QESSUMRY 6.1 will ask if you would like to add a Kill
Message to the output messages. The default response in "yes".
If the Kill Message is selected, QESSUMRY 6.1 will add the
message
Please delete (kill) this message after you have reviewed it.
to the end of each user message.
Security Level of Messages
When QESSUMRY 6.1 is started, it will look for a file called
QESSUMRY.PRM on the default drive\subdirectory. This file
contains the message security level to apply to messages created
by the (R) option. If this file is not located, QESSUMRY 6.1
will assign a security level of 5 to each message.
QESSUMRY 6.1 - 14 - February 22, 1991
Documentation
Merging the Messages into RBBS-PC
To create individual RBBS messages from the <filename>.MSG
file, a merge utility such as Darwin Collins' SMLMESS program is
required. It is the Sysop's responsibility to determine that
sufficient space exists in the message file to accomodate the
imported messages.
OVERWRITING OUTPUT FILES
<filename>.TXT, <filename>.DTA, <filename>.MSG, <file-
name>.SUM, and <filename>.URS files will be over-written each
time their option is selected.
EXPLANATION OF APPENDICES
The following appendices present examples of the files
discussed in this documentation. For clarity, the actual file is
separated from any discussion by 10 dots, centered on the page.

Appendix C - Sample Explanation File
TRIVIA.EXP
This is an example of an explanation file, used when there
are "correct" answers for questions, and you wish to explain why
an answer is correct.
NOTE that there is no percent mark starting the file, but
that each explanation is separated by a percent mark. The name
and number of the
question follow questions 2 & 3, showing that the limit line may
be used as a reference line for comments. This is eliminated in
question 4 to show that comments are not required, although the
limit character (%) is. Explanations are no longer than 10 lines
each, and do not contain blank lines.
NOTE also that, although no explanation is provided for
question 5, its position is still maintained by a limit mark, and
that the file ends with a limit mark. See Appendix F for the
sample summary output file to see what this produces.
