■ INTRODUCTION
DAYO Payroll provides a system for the computation of payroll for
businesses of any size. DAYO Payroll contains many features and functions
not normally found in any PC payroll application. Some of DAYO payroll's
features include: Multiuser, unlimited employees, Weekly, BiWeekly, and/or
Monthly payrolls, quarterly, year to date (YTD), and current summary
databases, databases are dBase IV (tm) compatible, Automatic payroll posting
& computation, vacation maintenance, sick pay/days maintenance, check
printing, multiple states, standard or fixed state tax, standard or fixed
federal tax, SDI tax, overtime & premium hourly wages, up to 8 deductions,
exempt/non-exempt deductions, view reports on screen, printer setup &
drivers, and over 34+ configurable options. Reports include the following:

■ REQUIREMENTS ***
IBM or Compatible CPU
640K memory
* DOS 3.3 or above
Hard Disk
■ SETUP
To setup DAYO PAYROLL, run the SETUP program found on the Menu, Update
& Conversion, and/or the Installation diskettes. This program will decompress
the payroll files onto your hard disk into directory: \DAYOPAY. When you run
DAYO Payroll for the first time, it will create all the database, index, and
configuration files it requires for operation. Type and enter 'DAYOPAY' at
the DOS prompt to run the program.
*** Your CONFIG.SYS file must have the buffers set to a minimum of 10, and
your files must have a MINIMUM setting of 55! Failure to edit the CONFIG.SYS
file is the #1 cause for DAYO installation problems! A CONFIG.SYS file is
created if there is a problem detected, in the directory that this DAYO
module is being run in. You may copy this file into your root/boot drive.
Refer to your DOS manual for more information on the CONFIG.SYS file!

■ MAIN MENU
The main menu displays the options on the left side of the screen. On
the bottom left is displayed the key payroll databases with their sizes and
number of records. The employee database (PAY.DBF) contains the information
on each of your employees. The payroll database (PAYROLL.DBF) contains year
to date (YTD) payroll records (one per check). The payroll history database
(PAYHIST.DBF) contains previous year payroll records.

Browse/Edit/Maintain your Employee Records
To select/enter any of the main menu options, use the arrow keys to
highlight the desired one and press enter/return.
■ NAME/PASSWORDS
Upon entering a main menu option for the first time, you will be
presented with a prompt asking for your name or your password if using DAYO
passwords. Something (anything) must be entered at the name prompt. The
exact spelling (case sensitive) of passwords must be provided.

■ EMPLOYEES BROWSE
The first main menu option is the employee browse screen. From this
browse screen you can view, edit, enter weekly hours and general maintenance
on your employee payroll (and personnel) records. Only 1 employee is
displayed at a time on the screen. Use the arrow keys (or FIND keys) to move
to other employee records.
Key employee/payroll information is displayed onto the screen.
*** Note, the employee record is rather large, containing at least 150
fields! Use the left/right arrow keys to view the entire record.
You can edit at any time by simply typing in the change.

■ COMPUTE PAYROLL
This option takes the information you entered in the Employee Browse
(ie: number of hours worked, vacation pay, other...) and computes the pay
per employee based on the configuration values and the employee rates and
settings. Note, running this option does not perform any posting, but does
overwrite the information in the CURRENT fields (they start with 'CURR_').
The payroll is based on the values of the following fields found in each
employee record:
RATE - Pay rate per hour
PAYPERIOD - Pay type, ie: 'W'eekly, 'B'iweekly, 'M'onthly
REG_HOURS - Number of regular hours worked
OT_HOURS - Number of overtime hours worked
P_HOURS - Number of premium hours worked
OTHER - Amount of miscellaneous pay
SICK_PAY - Amount of sick pay
VAC_PAY - Amount of vacation pay
DEDUCTxAMT - 1 thru 8 deduction amounts
When this routine is run, pay is computed based on the employee's rate
of pay and the hours he worked. This total plus the sick pay, vacation pay,
and other pay minus the deductions and taxes equals the employee's gross pay.
The Payroll Equations:
Regular Pay = RATE * REG_HOURS
Overtime Pay = RATE * OT_HOURS * Overtime Factor
Premium Pay = RATE * P_HOURS * Premium Factor
Gross Pay = Regular Pay + Overtime Pay + Premium Pay
Net Pay = (Regular Pay + Overtime Pay + Premium Pay + Other Pay +
Sick Pay + Vacation Pay ) - ( Federal Taxes + FICA Tax +
Medicare + State Tax + SDI Tax + Deductions )
At each pay period, the hours each employee worked must be inputed/placed
into the following fields; REG_HOURS (regular hours), OT_HOURS (overtime
hours), and P_HOURS (premium hours). The regular hours are multipled by the
employee's RATE to get the regular pay amount. Overtime and premium hours are
multiplied by the RATE and factors maintained in the configuration menu. If
any sick pay is due, place it in the field SICK_PAY. Vacation pay is placed
into the field VAC_PAY. If the employee is receiving any miscellaneous pay
(ie: bonus), place the amount in the OTHER field. These values will determine
the gross wages for the employee for the current period.

Federal income tax is computed based on the Federal Tax Table accessed in
the configuration menu. This computed federal income tax can also be adjusted
by a factor (ie: pay 10% more than the computed rate...). If the field
FED_FACTOR (in the employee record of the database PAY.DBF) has a positive
value, the value will be multiplied with the computed federal tax to produce
a new and adjusted federal income tax. Also available is a Fixed Federal Tax
which (if used) is the value contained in the field FED_FIX in the employee's
record.
FICA tax is computed based on a factor or percentage rate. The default
rate for FICA is maintained in the configuration menu. Like the FICA tax,
as of 1991, Medicare is deducted similarly.
The State income rate is the value of the field STATE_RATE. Note, the
field STATE_TAX must contain the state abbreviation code for the employee or
the tax will not be computed... If so desired, a fixed State tax can be used
by placing a positive value in the field STATE_FIX.
The State insurance rate (SDI) is maintained in the configuration menu.
The field USE_SDI in the employee database (PAY.DBF) must be set to true
(.T.) if SDI tax is to be withheld.
Deductions (up to 8 per employee) are maintained for each employee in the
fields that start with 'DEDUCT'. Each deduction is made at each pay period.
The maintenance of each deduction requires the inputting of the deduction
name into the field DEDUCTx ( where 'x' is a number 1 - 8). The amount of
the deduction (per pay period) is inputted into the field (DEDUCTxAMT). If
the deduction is to be tax exempt, you will need to mark the DEDUCTxX field
as FALSE (.F.); the default is to classify all deductions as exempt (.T).
The deduction balance (total amount to be collected) is placed into the field
DEDUCTxBAL. Note, this balance field will be reduced by the DEDUCTxAMT value
each payroll period. No more maintenance will be required for deductions...
Each payroll period is keyed upon a pay date. This date is usually fixed,
(ie, the last or first day of the week). Insure you have the correct date
before starting!

■ POST PAYROLL & PRINT CHECKS
This is the third main menu option, and the final set in the processing
of a payroll. Run this routine when satisfied with the current payroll values
as set with the PAYROLL routine and employee browse editing.
This routine takes the values in the current fields (those that start
with 'CURR_') and posts them to the quarterly and yearly fields. Payroll
records (check records) are also created in the database PAYROLL.DBF.

This routine was provided to aid the 'fight to stop the cutting down of
trees in the world' by offering you the option to view your reports on your
screen. The only limitation is on the size of the report. No reports can be
viewed if they are over 32,000 bytes. (Just kidding about those trees...)
Due to compiler problems (handling of memory), this routine tends to
'hang' your computer. It is not recommended you use this option if your
machine is performing multitasking programs.

- Select the DELIMITED option if you are appending from a delimited ASCII
file. Delimited files contain records in which the fields are separated by
commas, and its character fields contained in double quotes...
- If you select a Standard Append, you will then be prompted to enter the name
of the database you wish to get the data from. If you selected the SDF or
DELIMITED options, then enter the file name containing the data to be

- Create a new database. This routine lets you create entirely new database
structures. At the FIELD_NAME field, enter a unique field name. At the
FIELD_TYPE field, enter a 'C' for character, 'N' for numeric, 'D' for Date,

■ MODIFY DATABASE
- Change the fields/structure of a database. You can add new fields, delete
fields, change the length and type of field in any of the databases. At the
FIELD_NAME field, enter a unique field name. At the FIELD_TYPE field, enter
a 'C' for character, 'N' for numeric, 'D' for Date, 'L' for logical or 'M'
for memofield. At the FIELD_LEN field, enter the size/length of the
character and/or numeric field. At the FIELD_DEC field, enter the number of
decimals for the numeric field.

■ DAYO PAYROLL MAINTENANCE & QUIRKS
- On occasion (maybe an under statement), index files will get corrupted,
especially on networks. To 'fix' a corrupted index requires that everyone
'get out of' the DAYO databases, and then perform a reindexing (actually a
recreation of the indexes). The reindex is accomplished by running the DAYO
PAYROLL program with a parameter of 'INDEX' (or using DAYOX).
ie:

- If you are on a multiuser network, you must 'flag' (change file attributes)
of all files to make them sharable, readable and writable. Note that the
command/program 'flag' may be called by a different name on your network.
ie:
E:\>FLAG *.NTX SRW
or just to be safe, go ahead and flag all files in the DAYO directory:
E:\>FLAG *.* SRW
- Indexes are recreated once every day. This is automatically performed by the
first user to run DAYO PAYROLL. This process will take more time as your
files get larger. This process should take place daily, but you can run it
at night with a batch file that waits until after midnight (ie: DAYO Clock),
or a with most scheduling programs. All other users and computers must be
out of the databases, or the procedure will not occur properly. Remember to
'flag' the files sharable, readable and writable.
- Backups of your data and configuration files should take place daily! You
have no doubt heard many scare stories. They are all true! The key files
that need to be backed up all have the extension of .DBF, and .CFG. The
.DBF files are your databases. The .CFG file(s) contain your configuration
information (as seen in the Configuration module).
- If you are on a network, it is NOT recommended that you use dBase III+ with
the databases. It may write an end of file marker not always recognized by
DAYO. Appending additional records to the database after this point often
leads/creates a 'bad record' in the database.
- If you must use dBase (tm) with DAYO PAYROLL, and you are on a PC based
network/LAN, be sure to SET EXCLUSIVE OFF before you open ANY databases.
This will allow the opened databases to be shared, and more importantly,
prevent a user (or all users!) from 'crashing'!
- If the SIMPLE EDITOR tends to 'hang' your CPU, even on small files, then
do not use it... Hope to fix this 'feature' with the next upgrade...
