- !PENNIES ACCOUNT TYPES
- ======================
-
- !Pennies uses named ACCOUNTS to store money, and TRANSACTIONS to
- move money between or within accounts. To cater for different types of
- account !Pennies has a variety of account TYPES. These are described
- here.
-
- !Pennies uses 5 basic types of money handling account some of which
- have sub-types. In addition there are a number of other 'accounts'
- which provide more facilities but which are not used for storing money
- data (for example INDEX accounts which store index linking information
- such as RPI). The account types are fixed but the manner in which
- transactions are evaluated can be set by the user through the use of
- FUNCTIONS which alter the calculations within the account. DEFAULT
- functions are set automatically for all accounts so the user does not
- have to take any action in this respect for all normal accounts.
-
- The basic account types are:
-
- ***CASH-all accounts that have a flow of money into and out of them
- such as bank, credit card, building society accounts etc.
-
- ***INVEST-all accounts that primarily store money. Sub-divided into:
-
- *Shares -all share accounts
-
- *Units -all unit trust type accounts
-
- *Bonds -where money is used to buy a fixed investment
-
- *Rest -any other investment such as PEPs
-
- ***INSURE-all insurance policy accounts. Sub-divided into:
-
- *Life -all life insurance policies including with-profits and
- endowment types
-
- *Material-all policies which cover other assets
-
- ***PAY-where the money comes from to pay for the rest of the accounts!
- This type has a further sub-account type which can be used in
- addition:
-
- *Source -this is for expenses/allowances type pay which then
- contributes to other pay accounts only. It can be useful
- to log this in a separate account for analysis purpose.
-
- ***SPEND-this is where all the money goes! Accounts can be set up for
- any spending category, typically things like petrol,
- electricity and mortgages etc.
-
- In some cases an account may fit into more than one category, all
- facilites are available on all accounts and only by using the
- application will you be able to tell which account type is best for
- your circumstances.
-
- The basic form of data entry to !Pennies is through TRANSACTIONS which
- are all entered through a TRANSACTION form which is similar for all
- accounts but which adjusts itself for different account types. Each
- ACCOUNT type has associated with it a set of common TRANSACTION TYPES
- which basically take money away from one account and add it to
- another. The user can also create other transaction names which are
- then added to the types available to that account type.
-
- Accounts are created from within transactions and are then added to
- the menu structure from which all accounts are selected within
- !Pennies. More help is available within the NEW ACCOUNT facility which
- you have to use in creating an account.
-
- OTHER ACCOUNT TYPES
-
- FIXED accounts - the 'Fixed:" entry on the Accounts menus leads to 5
- accounts which are generated internally by !Pennies as the result of
- other functions. They are accessible for display and use in a similar
- manner to normal accounts. There are 5 Fixed accounts:
-
- *Find account - this is an account created using the extended FIND
- facility, it is treated as an ARCHIVE account for display purposes,
- but entries can be edited and deleted.
-
- *Indexlink account - this is an account created by using the INDEX
- facility to indexlink an account, it is treated as an ARCHIVE account
- for display purposes, but entries can be edited and deleted.
-
-
- *Budget account - this is an account created using the BUDGET facility
- from within a normal account, it is treated as an ARCHIVE account for
- display purposes, but entries can be edited and deleted. New entries
- can also be made using the TRANSACTION form but only whilst the
- account is being displayed
-
-
- *Sum account - this account contains the result of the last SUM
- computation performed from the SUM procedure.
-
- *CalcAcct - this account contains the account generated by the last
- Calculator Make Account option. It is used for evaluation of savings
- and loans. It is treated as an ARCHIVE account for display
- purposes, but entries can be edited and deleted. New entries can also
- be made using the TRANSACTION form but only whilst the account is
- being displayed
-
-
- INDEX accounts - these are accounts holding index data in the form of
- dates and indexes. They are used with normal accounts to create an
- INDEXLINK file. (An RPI INDEX account is provided)
-
- ARCHIVE accounts - are normal accounts that are no longer required for
- routine access. They can be displayed by dragging to the SEE ACCOUNT
- icon on the main toolbar. They retain all their data and attributes
- but entries cannot be edited or deleted. Further help in the ARCHIVE
- window. Accounts archived by !Pennies will be Squashed, when required
- !Pennies will unSquash them automatically.
-
- ANALYSIS accounts - these are created within the Budget process and
- are stored inside a separate Analysis directory. They resemble the
- Standing orders file list.
