Report Writer : Demonstration Disc
Report Writer is an application designed to enable teachers to write
reports quickly and easily, while retaining full control over
each individual pupil's reporting requirements.
It does this by allowing access to the National Curriculum Statements and
supporting sentences and phrases quickly and easily. Any statement
or supporting material in any subject and at any level can be accessed in
two or three mouse clicks. Once the statement appears on screen it may be
entered anywhere into the report you are writing by a further mouse click.
Alternatively it may be altered before sending. It may also be saved
directly, or in altered form into your own personal bank of statements
which may then be accessed in the same efficient way. You can also directly
enter your own sentences and phrases into your personal data banks which
you may build upon, edit and delete, thus creating an invaluable store of
easily accessible information at your finger tips each time you need to
record or report.

Report Writer features:
1) a complete bank of statements for each Attainment Target for
every subject in Key stages 1, 2, 3 and 4 for all National Curriculum
subjects
2) a bank of statements supporting each of the above banks of data
3)) a bank of statements combining both of the above banks
4) an extra bank of eighty user created or edited statements for each
attainment target of each subject
5) a bank of 240 user defined statements for RE
6) a bank of 240 user defined statements for Personal and Social Education
7) a bank of 160 user defined phrases
8) a bank of 160 user defined words

This demonstration version contains Speaking and Listening statements and
supporting advice for Key Stages One and Two only. These may be accessed,
edited and entered into your report. User lists may not be created in this
demo version.
Some options in this demonstration version have been greyed out and disabled.
Sufficient data and operations are available to demonstrate the power and
potential of the full version of Report Writer.

How to use this Demonstration Version
It is assumed that you are writing a report in a Word Processor or
Desk Top Publisher (Edit, Impression, Ovation, Style etc).
Open the DTP or Word Processor window and position it so that it uses
about the top half of the screen. This is your report document.
Click SELECT in your report document to ensure the CARET is present.
The CARET is a short, thin red, vertical line. Report Writer sends any
text to wherever the CARET lies.
Load Report Writer by double clicking on !Reports.
Also double click on !RepData. !RepData resembles a filing
cabinet and is on the same disc.
This informs Report Writer where to look for the statements.
!RepData may be copied on to your hard disc for faster access.
If you do this double click on the newly copied filing cabinet to tell
Report Writer to look on the hard disc for the data.
Click on the Report Writer icon on the icon bar. A long narrow window will
appear with 'Report Writer' in the title bar. This is the Report Writer
Main Window.
This window is roughly divided into a top and bottom half.
The following briefly explains each row in turn.

Top row working from left to right:
'he', 'him' and 'his' are words you will probably use quite a lot when
writing your reports. Each word may be sent to your report by a mouse click.
Make sure the CARET is visible in your report document
NB any word, phrase or statement will be sent to your report PLUS ONE SPACE.
If the pupil is female these words change to the feminine form. (Not
available on this demo)
's' in a box - add to a word to make plural.
Use the back arrow first to remove the extra space sent with the last
data.
'can' - a frequently used word. Send with a click.
comma and full stop - send with a click. Use back arrow first to remove
extra space sent with the previous click.
NB sending the full stop alerts Report Writer that this is probably
the end of a sentence. CAPS (far right) lights up and the next statement
sent will begin with a capital letter. Deselecting CAPS with a click
prevents this.
Back arrow - use to delete to the left.
Right arrow - moves one space to the right.
Subjects - click for the subjects menu (see Subjects Menu below).
'is able to', 'and', 'or' and 'but' - regularly used words. Click to send.
CAPS - If selected forces the next offering to be headed with a capital
letter. Automatically deselects after sending.
'P' access the phrases banks. SELECT pulls in bank 1, ADJUST pulls bank 2.
Scroll arrow (up) - scrolls the data banks up. Clicking ADJUST moves up
to the the next statement beginning with an asterisk, ie with most subjects
this will mean up to the next level.

Bottom row working from left to right:
The NAME box. In this demonstration version the name 'Peter' is fixed.
On the full version this box allows the pupil's name and sex to be chosen.
If the pupil is female then words like 'he' and 'him' which appear in the
statements will change to 'she' and 'her' when sent to the report.
apostrophe s - use back arrow before sending.
'cannot yet' send with a click.
down arrow - moves down a line. Different DTPs and processors react
differently. MENU over the down arrow and click the choice that works
correctly with your DTP or word processor.
'is not yet able to' - click to send.
The Date Box - a variety of options is available in the full version of
Report Writer. Click to send. MENU for options.
The next yellow box is the Level Indicator. It contains the number one when
Report Writer is loaded. Clicking SELECT moves the number up one, ADJUST
decrements. When a bank of statements is selected it arrives on screen at
whatever level has been selected in this box. This version allows up to
level five to be selected.
'W' access the words banks. SELECT pulls up bank 1, ADJUST pulls bank 2.
Scroll arrow (down) - scrolls the data banks up. Clicking ADJUST moves
down to the the next statement beginning with an asterisk, ie with most
subjects his will be down to the next level.
Certain subjects (eg Music and PE) are not presented in 'Level form'.

Subjects Menu
Click SELECT in the green Subject Box to cause the Subjects Menu to appear.
Each subject has an arrow leading off to the right. Only English operates
in this version. Drag the mouse off to the right of English. The Subjects
Menu will disappear and will be replaced by the English Screen.

The English Screen
Only AT1: Speaking and Listening is functional in this version.
Clicking SELECT on AT will cause only the AT statements to appear
(at whatever level was set in the Level Indicator). The scroll arrows
(far right on Report Writer Main Screen move the statements up and down.
ADJUST causes them to jump up or down a to the next asterisk or level.
The English Screen may be accessed by clicking on the green Subjects Box
and moving off to the right of English or clicking MENU over the statements.
Clicking SELECT on Support will cause only the support statements to appear
(at whatever level was set in the level indicator). The scroll arrows
move the statements up and down. ADJUST causes them to jump up or down a
level.
Clicking SELECT on AT & Support will cause both the AT and support
statements to appear (at whatever level was set in the level indicator).
The scroll arrows move the statements up and down. ADJUST causes them to
jump up or down a level.
Clicking SELECT on User allows access to your own bank of statements on
the full version of Report Writer. These are the statements you may have
added directly or may be exact or modified version of the AT or Support
material. These User banks may be developed as you write your reports
and saved for future use.

Sending a Statement to your Report
Click on the green Subjects Box, move the arrow up to English and
follow off to the right. Click on AT, Support or AT & Support in the English
Window which appears. The appropriate statement bank will be at
whatever level is shown in the Level Indicator. Five yellow lines
with blue or black text will appear.
Scroll up and down using the scroll arrows until the statement you wish
to use appears on screen.
Clicking SELECT on the statement will send it directly to wherever the
CARET (thin red vertical line caused by clicking SELECT) lies in your report.
Lines beginning with an asterisk (* Level 1) will be ignored.
Lines containing a square bracket (]) will send data one space after the
bracket. This is useful if you choose to design your own statement banks.
It helps you code and sort your user defined statements.
Clicking ADJUST will send a statement to the Editor.
Click SELECT in the Editor and delete or add to modify.
Click ADJUST in either of the blue bands to send your edited statement
to your report. The complete version of Report Writer allows such
statements to be added directly to your User Banks.

Phrases and Words
The P and W (far right) allows access to Phrase and Word Banks.
SELECT pulls up Bank 1, ADJUST grabs Bank 2. Words and Phrases may be
sent to your report with a click. ADJUST allows editing.
Saving your own banks of Words and Phrases is available in the
full version of Report Writer.
