Each Group file can hold an unlimited number of entries, although the speed will suffer if there are a large number. The top line shows a counter of the highlighted task and the total number of tasks in the Group, and also the current date and time. The name of the Group is shown at the bottom and can be changed with Update Group details.
Use the Tools : View Preferences and General Preferences options to configure the program operation to your needs. Use the Categories menu functions to set up relevant Project and Type categories (see the separate Help items).

The program has extensive pen support and both screens have the 4 Toolbar buttons set to the most often-used functions for that screen. There will also be a scroll bar if appropriate, and if there is more than one Group or Archive then buttons will appear in the top left of the screen to mimic the action of the cursors.
Also, in the main screen tapping an entry will select it, and then a second tap will carry out a further action which can be specified via the 'General preferences' menu. (Options available at the moment are Strikeout, Archive, Update & In progress)
Finally, tapping anywhere around the other parts of the screen will bring up an appropriate dialog. Rather than just list them I suggest you experiment in each screen and see what happens, although note that tapping on the header bar in the Date, Priority or Category areas will sort the tasks on that field.
Two separate categories are available for assigning tasks against. Use them as you wish but typically Projects would be for major sub-divisions or assignments, and Type for the task activities. Categories apply across all Task Groups.
Use the Categories menu option to Enter Project and Type Categories. These can later be Updated (renamed) or Deleted.
Define the Project or Type titles themselves using the Terminology option in General Preferences. Titles are Group specific.
If you don't wish to use either of the categories, or display them on screen, they can be individually disabled in View Preferences : Display.

Several schemes are available for defining the priority of ToDos. Set up the preferred system in General Preferences, which can be different for each group.
Manual Priorities can be different for each Task Group, with the choice of:
numeric '1-2-3...', up to 9 levels
alphabetic 'A-B-C...', up to 9 levels
simple 'Hi-Med-Lo'
NB: 1, A and Hi are the highest priorities.
The priority of tasks can then be changed on screen using just the numeric or alphabetic keys (e.g. use 2, B or M as appropriate to the priority system to set the second highest priority).
The Auto Priority system lets the program increase the priority of tasks automatically as the Due Date approaches, and the task becomes more urgent. Define the number of days previous to the Due Date when:
low priority tasks become medium
medium priority tasks become high
When entering a New Task or Updating existing tasks, select the required priority in the dialog. This can be either:
the alpha/numeric priority from the scheme set up for the Group
'Auto' to enable the automatic changing of task priorities
'None' to make the task unprioritised if you want it there just as a reminder.
To update any task attributes select a Task and use Ctrl+U or Tab or tap on the Update Task button in the Toolbar. Make any necessary changes.
Note that the original entry date (and time/duration, if displayed) of the task is also shown in the Update dialog.

In addition there are advanced options to Enter Last Task again Ctrl+G or to Copy an existing task Ctrl+Y or enter a pre-defined Default Task Ctrl+J (Use Ctrl+Shift+I to define up to 20 commonly used Tasks for each group).
Note that if a task marked as a repeat is completed and struckout, you will be given the option to re-enable it with a new Due Date.
In the Entry dialog:
- add a Description of up to 100 characters
- select if it should be 'undated', or set a Due Date
- set a Priority value or 'None' for an 'unprioritised' task, or 'Auto' to use the auto-priority system
- assign Project and Type categories, or use 'New' to create a new category.
And as necessary add an:
- Extended Description (Text)
- Alarm
- Repeat
- Links to other files
- Add to an Agenda
Note that the shortcut function Ctrl+V will allow you to Paste text previously copied (Ctrl+C) from other applications into the Description and Extended Description fields.
Remove tasks if in error or not required with Ctrl+D or Delete. Note that these will be lost forever and not archived.
The date and time of the task is automatically recorded on entry unless you have selected 'Durat2

Repeats and Alarms can optionally be set on tasks with the buttons in the New Task or Update Task dialogs. The single attribute key 'R' (for Repeat) also works on existing tasks.
Set the Repeat with:
a period (daily, weekly, monthly, annually or last day in month)
an interval
eg: setting Weekly and 2 would offer to re-enter the task for 2 weeks after the original Due Date when it is completed.
Set a reminder Alarm with:
the time
days previous to the Due Date
the required alarm sound.
Up to 8 alarms can be set - they will be passed to and handled by the built-in Time application.
Tasks with Repeats and Alarms are identified with symbols in the A and R columns. The symbols themselves are configurable from View Preferences.
Use 'single key switching' (if enabled in View Preferences) to modify tasks on screen. Various modifier keys can be used:
W/O changes Due Date by days +/-
Q/P changes Due Date by weeks +/-
T changes Due Date to 'today'
1-9, A-I, HML change the Priority
0 makes a task 'unprioritised'
R toggles the Repeat on/off
S flags a task as 'in progress'
(optionally in italic or bold)
N Sets the task to undated

If you have a similar task that you repeatedly enter, and the only difference is the date or priority, then set it up as a Default Entry from Shift+Ctrl+I.
Select Add entry, give it a recognisable name, fill in all the normal details that will never change, and save it.
When you want to use it in an Task Group, simply press <Shift+Enter> and select its name.
Note that Default Entries only relate to the Group in which they were created.
The sorting method can be different for each Task Group. Use Ctrl+S to set up to 2 heirarchical levels of sorting (Ascending or Descending) of tasks on the fields:

Tasks will have primary sorting on the 1st field, then subsorted by the 2nd. By tapping on the column header you can force a primary sort on that column.

The Rebuild Files option does some cleaning up of all the files. It compresses them, refreshes the Category titles, resets the internal pointers and rebuilds the indices. So use this option after you have Updated/Deleted a Category name, or whenever you think something is not quite right with the data files.

As you actually complete your tasks, 'Strike' them out from the list with Shift+Ctrl+X or the Toolbar button, and then archive them periodically as a permanent record.
'Tag' multiple tasks using the Shift+Up or Shift+Down Arrow, when they are marked with a symbol next to the description.
There are several options for removing tasks from the active ToDo list, in which All tasks, the Single highlighted task, the tasks marked as Strikeout or Tagged can be actioned:
Delete Ctrl+D or Delete
The tasks are completely removed from the Group with no record. Any repeat is NOT enabled.
Remove Shift+Ctrl+G option
Tasks are completely removed with no record, but any repeat IS enabled.
Strike Out Shift+Ctrl+X
Allows a Completion Date to be set. Tasks have their date and description text 'struck out', are moved to the top of the screen as a record. Any repeat IS enabled.
Note that a struckout task can be reinstated as a due task by using Shift+Ctrl+X on it again.
Archive Shift+Ctrl+G
Tasks are moved to a separate archive file for permanent record. The Due Date or Completion Date is kept, and any repeat IS enabled.
Alternatively, by setting the Completed Tasks option in View Preferences : Display to 'Archive', the Archive Shift+Ctrl+G or Strikeout Shift+Ctrl+X functions will directly archive tasks when completed.

This history screen allows you to view completed tasks previously archived from the Task Group screen. Use Ctrl+W or the Toolbar button to view the archives. Depending on your Preference setting this will either open the 'last used', a default named file, the archive related to a Task Group as defined by the Link option in Group Details, or allow 'select on entry'.
One or many archive files can be created as required. The File menu has options to Create New, Delete, Rename and Open Archive files.
As with the main Task Group screen, Preferences are available to set the Display, Priority and Terminology for each archive if you want them to match their 'parent' Task Group.
From the Tools menu you have the usual Filter and Sort options, while from the Edit menu tasks can be Unarchived (put back into a Task Group) with Ctrl+U, and you can Reset Start Date with Ctrl+W if the Archive file becomes too large.
As usual, Ctrl+T will switch the Toolbar, Ctrl+M will Zoom the font size, and Print will produce a hardcopy listing.

The Task Group and the Archive screens, with or without any filters applied, can be printed using serial or parallel printers, or through the PC.
Use 'Page setup' to define the page size, header, footer, margins etc.
Use 'Print setup' to select the printer model.
Use 'Print preview' to see a preview with its own menu of options.

Updating Tasks3
The PARX column identifies the attributes set for each task : Priority, Alarm, Repeat and eXtended description. The symbols used are configurable from View Preferences.
Undated or unprioritised tasks show with -- in these fields, and will always be at the bottom of the task list.
Depending on the sorting method chosen (see separate Help item), tasks will be dynamically ordered on screen as they are entered or updated.
If you have selected the option in View Preferences, once the task is within a week, the date will change to the day name, and then 'Today' as the defined Due Date approaches. Overdue tasks are shown with their Due Dates in bold (optionally in italic).
Ctrl+B on a task shows a graphical progress bar representing the 'today' position relative to the entry and due dates.
When completed tasks are struck out, they get moved to the top of the screen. You may need to scroll up to view these.

Provided the time option has been selected in Preferences, various uses of the time column are available.
The Time entry in the New Task and Update Task dialogs can be set as appropriate, and if an entry is highlighted, the time can be reset to the current time using the menu option "Reset time", Ctrl+X, or just X.
However, if Task Duration has been selected, the time can be reset to the current time using the menu option "Start task", Ctrl+X, or just X. When the task is finished, you can evaluate the time by using the "Finish task", Ctrl+V, or just V. (Note this is only for use in short tasks, such as meetings, that last only a few hours)
Task Groups are the top level categorisation. They allow you to store completely unrelated and independent tasks in separate files, and show against the program icon in the chosen document directory. Typically you would have Groups for Work and Personal Todos, but set them up as you require. Use the File menu options to:
Create New Task Groups
Open another Task Group (or use L/R arrows)
Set Passwords for individual Groups
Further functions are available to:
Update Group details to change the title of the Group and any archive link
Delete Groups (when completely finished with)
Move Group to another folder to store the documents.
Rebuild files : like the built-in applications, the program will regularly compress the files to save room. However, this option is provided in case you wish to do it yourself.
Create New Archive files
In addition the Tasks menu has Backup and Restore options. Use these to make a copy of your data elsewhere on the Psion for safety, and then to subsequently reload it if necessary.

'Extended ToDo Manager' allows you to record and monitor various tasks (To-Do's) in a structured way. It comprises 2 screens:
- the main Task Group screen for entry, viewing and scheduling of active tasks,
- a second Archive screen to view the completed task history.
Task Group files can be created to represent separate work, home, hobby or personal areas, with Project and Type categories defined, to allow you to categorise various assignments and activities.
Tasks can be entered with a description, assigned to the categories, and be set with a due date, priority, alarm, repeat, and extended description. Links can also be made to your Agenda and other files.
Several priority schemes, screen options and configurations can be set.
To assist with scheduling and managing your time the date and priority of tasks can easily be changed, they can be sorted in various hierarchies, and filtered to only view tasks that match set criteria.
Completed tasks can then be struckout and either deleted or archived to a separate file as a permanent record.
