Creating your first database
1
#Introduction
>This tutorial is designed to help you get started in creating your own
>ManagePro database. It will guide you through the basic steps but you
>will be interacting directly with the "live" program and building your
>actual database as we go. Press F9 or the "Exit" button to quit the tutorial at any time. Press the
>"Fwd/F3" button now to continue.
=EN
#*Running the tutorial
>You can press the F2 and F3 function keys to move backward
>and forward through the tutorial screens or the "Back" and "Fwd" buttons
>below. Press F4 to hide and show this window if you want to see
>what is underneath it. Press the exit button to quit the tutorial.
=EN
#Getting started
>To begin creating your own database, select the File New command from
>the main menu bar. If you have already started a new database, skip
>this step. Input the name of your database and press <Enter> or
>the OK button. Specify whether or not others will access this file
>and optionally enter a password.
=EN
#*Getting started
>ManagePro will save the current database, if any,
>and begin creating your database. When the hourglass cursor disappears
>and the name you input appears in the top title bar of the window, you're
>ready to go.
=EN
#Choose a Usage Style
>At this point you may want to read the section of the "Getting Started"
>booklet called "Selecting a Usage Style".
>It explains the several different ways
>you can use ManagePro. As a default, we ship it to you with all of
>its features "on" -- both goal management and people management.
=EN
#*Choose a usage style
>If you would like to turn some features off, select the "Options Usage Style"
>command in the main menu bar and make your selection. NOTE: this version
>of the tutorial cannot detect which style is in use, so it may point out
>features which are not available - just press F3 or the "Fwd" button to continue.
=EN
#Set up the people you work with
>The best place to start with ManagePro is the People/Team Planner. In
>this window you can create a small table with all of the people that you
>manage, teams you work with, and other people inside or outside your
>company.
=EN
#*Opening the People/Team Planner Window
>To get access to the People/Team Planner you can press the first button in
>the People group of buttons at the top of the screen or
>choose the View People/Team Planner
>command from the main menu. Do that now, then press F3 or "Fwd"
>to continue.
=EN
#*Enter people into the database
>You should see a red box and a blinking cursor in the first row of the
>People/Team Planner table. ManagePro is waiting for you to type in the name
>of a new person or team you work with. You can type in a name
>in whatever form you like - full, just first, first initial and last, etc.
>When you have finished typing the name, press <Tab> to move the red cursor
>to the next column.
=EN
#*Getting reminders for people
>The second column in the People/Team Planner is labeled "Reminders?". If you
>would like to have ManagePro automatically remind you
>to periodically get progress data from this person and give them
>feedback, coaching, and performance reviews then type "Y" and
>press <Tab>. ManagePro displays a message box informing you that it is
>setting up some management tasks for this person. If this person is
>someone that you may assign goals to but don't need reminders for
>just press <Tab>.
=EN
#*Define the relationship
>The third column in the People/Team Planner lets you specify this individual's
>relationship to you. To select from the list of options in this column
>you can press '?' when the red cursor is in the column or double click in
>the red cursor box. A scrolling list of options appears. You can select
>one and press OK or you can type a new type of relationship in at
>the top of this form and press Add.
=EN
#*Additional information on people
>There is space for additional information for the people you enter into
>the ManagePro database. Double click on the person's
>name and you will see a small form that has their name, relationship,
>phone number, and four buttons that lead to other forms. All of the
>information on these forms is optional except for the person's name. In
>fact, almost all of the forms in ManagePro are the same way -- just enter
>the information you want to use.
=EN
#*Additional information on people
>This form is an
>example of how you typically enter information into the ManagePro database.
>You can press <Tab> to move the cursor between fields on the form. Nothing
>is updated until you press Return or click on the OK button at the top.
=EN
#*Additional information on people
>When you are done
>with any form, press the OK or Cancel buttons at the top of the form.
>You automatically return to the window you were on when you opened up
>the form. Return now to the People/Team Planner window by pressing OK or
>Cancel.
=EN
#*Entering more people
>Feel free to enter more people into the People/Team Planner now using the same
>approach as your first person. To keep this first session short, you
>may want to enter just a couple that you have frequent contact with and
>then move on. Press F3 when you've got a few people entered, one per line.
=EN
#*Moving into people management
>Okay - now you've set up some of the people that you work with. Now let's
>move on to the People Management side of ManagePro. If you do not
>wish to use the people management database and reminder part of ManagePro,
>you should push the Menu button below and skip down to the section
>called "Create top level goals."
=EN
#The core people management cycle
>Each person you have entered has several tables of people management
>data, available to you through the buttons on the left side of the
>People/Team Planner. The buttons present vary with the Usage Style
>that you have selected; this tutorial describes the buttons that come
>in the People Manager/Developer and Integrated Performance Manager styles.
>Some of the descriptions may not apply if you have selected another style.
=EN
#*The core people management cycle
>The core people management cycle has four steps:
> - Set clear goals - Monitor progress
> - Give feedback and coaching - Evaluate, recognize, and reward
> ManagePro can assist you in organizing your approach to this cycle and
>prompt you along the way - as much or as little as you would like.
=EN
#Enter some goals
>You should see buttons for "Goals", "Progress", and "Reviews" as
>well as one called "Feedback" (for the Integrated model). As an example,
>press on the "Goals" button or press Ctrl-G (hold down Ctrl and press G)
>A new window will open that looks like the People/Team Planner.
>It has four columns labeled "Title", "Due Date", "Priority" and "Status".
=EN
#*ManagePro's goals
>This window, which we call a planner, lets you enter goals one per line
>in a table format. The four columns on display here are for the name
>of the goal, its due date, priority, and current status. Type in a field
>then press <Tab> to move to
>the next column. Press Enter to create a new line below the cursor. Before
>entering many goals, you may want to finish taking this tutorial. You will
>learn how to alternatively enter goals from the top level goal planner, thereby
>automatically linking these individual-specific goals with your top level goals.
=EN
#*The Goal Planner
>In the priority and status columns you can cycle through
>your options by pressing the NUMERIC KEYPAD + and - keys, or press '?' or
>double click to get a full listing. As you type in these boxes, ManagePro
>automatically and incrementally matches your typing against the current
>options.
=EN
#The Goal Form
>By double clicking on the goal title or pressing Ctrl-Enter anywhere
>on the row you will see the full Goal Form. This form has several
>important fields that you should consider filling out, including a
>due date for the goal and, through the Measurement button, its measurement
>basis (how will you know if it's successful?).
=EN
#*The Goal Form
>The Reference Manual explains each of these fields in detail.
>For now, feel free to fill in as much as you'd like. You can always come
>back to this goal planner and fill them in later. Remember - pressing
>F4 will hide and show this window so you can see the whole screen. Press
>OK after filling in fields to save this form.
=EN
#*Working with the planner
>The purpose of the goal planner for an individual is to let you see
>what they are working on and what the status of their goal's are. ManagePro
>lets you take different "views" of this information in several ways. First,
>you can pull down the Planner menu from the main menu bar and select the
>"View As" command.
>A small list of alternative views will be displayed. Select another view.
=EN
#*Working with the planner
>Notice that a new set of columns has been displayed. We have built in
>some of the most useful views for each planner, so all you have to do is
>select which one fits your needs - dates, priority, status - it's your
>choice. And ManagePro will remember the last view you chose and restore
>it the next time you open the planner window.
=EN
#*Working with the planner
>There are other ways to change what is displayed in a planner. You have
>probably noticed the Filter and Sort buttons at the top of the window. These
>let you completely control what is included in the planner and how the items
>are sorted. For more details on these advanced features, see the Reference
>Manual.
=EN
#The performance management cycle
>Close down the goal planner for this person by pressing the Exit button.
>You should return to the People/Team Planner. The "Progress", "Feedback"
>and "Reviews" buttons lead to similar tables where you can
>store key performance and tracking data for this individual. As a quick
>example -- pull down the Quick Input menu and choose "Progress data".
=EN
#Quick Input - Progress Data
>A new form appears with three key fields at the top: who is this data for
>(defaults to the person you're looking at); what is the date of the data
>(default today); and a free text area for your comment. To see the whole
>form, you can press F4 repeatedly to hide and show this window.
=EN
#*Progress data
>Progress data
>can be anything at all: a quick summary of a meeting, phone call, or
>observation or part of a report or E-Mail (regular Windows cut and
>paste is available). In addition you can link this data to one of this
>person's goal's for later reporting.
=EN
#*Progress data
>Enter some progress data in the comment field and press the OK button
>in the upper left corner of the form. You are back in the People/Team Planner
>window. Press the "Progress" button. You
>should see one entry in a table -- the data you just input as been filed
>away for this person.
=EN
#*The power of quick input
>You should note that you can Quick Input just about anything
>from anywhere in the program. You don't have to go into these folders
>in order to add new information. Choose Window/Close All from the main menu.
=EN
#Creating and delegating top-level goals and subgoals
>Most ManagePro users like to plan goals from the top-down - that is, planning
>the highest level strategies, goals and objectives, creating supporting
>goals and objectives, and then ultimately delegating out specific responsibilities
>to various individuals and teams. To do this, open up the Top Level Goal
>Planner by pressing the first ("bull's-eye") button in the Goals group of the
>View Bar (or use the View menu).
=E
#*Top-level goal planning
>As with a specific person's goal planner, you can enter new goals directly
>into this planner. If you want to create a sub-goal (i.e. supporting goal)
>simply hit enter to get to the next line and press the demote (right arrow)
>button in the tool bar or at the top of the Goal Planner window. You will
>see a bullet point placed at the beginning of the goal title, indicating
>that this indented goal supports the outdented goal above.
=E
#*Delegating a goal from the Top Level Goal Planner
>Enter the desired goal information as when working from an individual's
>goal planner. When you get to the "Who" field, you can type in someone's
>name(ManagePro will automatically try to complete the name as you incrementally
>type), press the +/- keys on your keyboard to cycle through the list of names
>that you entered on the People/Team Planner, or double-click to pull up a
>list of people and teams to choose from.
=E
#Delegating a Goal to More than One Person
>You can delegate a single goal to more than one person rapidly. There
>are two ways to do this. If you
>double-clicked to pull up a name selection box, just pick multiple names.
>Alternatively, you can add a semicolon after a name in the planner field
>and type the second (or
>third, fourth, etc.).
=E
#Congratulations!
>Well, you've accomplished most of the basic operations in ManagePro.
>You know how to add people to your database and set up their goals. You
>have input some progress data, which will be available to you months
>down the road when you try to remember exactly what happened around this
>time!
=EN
#How to learn more
>The Reference Manual is your best source of information on other forms
>and features in the program. But we encourage you to explore on your
>own and use the on-line help (F1) as well. We hope you enjoy the program!
