Version 2.0 New Features Guided Tour
2
SAMPLE
#Introduction
>The purpose of this tutorial is to provide you with a quick "guided tour" of
>the key advanced and new features in ManagePro 2.0. This tutorial will not
>cover basic
>ManagePro features. If you're new to ManagePro, you should select the
>"Guided Tour (Basic) with Sample Database" from the Help/Tutorial menu now. You can
>take this tutorial at a later time. If you're ready to start this tutorial
>now, press the the Fwd/F3 button below or the F3 key. To exit, press the Exit/F9
>button or the F9 key.
=E
#*Running the Tutorial
>This tutorial uses a very simple sample database. To run through this
>tutorial, you can use the buttons below or press the the F2 and F3 keys to
>move back and forth between these tutorial text screens. You can hide and
>show this window by pressing the F4 key. This may be necessary at times in
>order for you to view the whole screen. Also, please note that every 10
>minutes or so, the program will automatically save the database in the
>background and display an hourglass. Okay! Let's begin!
=E
#*Setting the Usage Style
>If you have been using ManagePro previously and changed the Usage Style
>to any but the "Integrated Performance Manager" model, use the Options/
>Usage Style command from the main menu to change back to the "Integrated
>Performance Manager" model. Otherwise, just press F3 or "Fwd/F3" and we'll
>get started.
=E
#Programmable Tool and Message Bars
>ManagePro action buttons (filter, sort, print, configure, etc.) can now be
>removed from each window and placed into a common tool bar at the top, bottom,
>left or right side of the screen. In addition, an optional message bar at the
>bottom of the screen shows button function, date and time. To configure
>these options, choose Options/Display from the main menu. Try different
>settings for the tool and message bars and see the on-screen sample change.
>For the purposes of this tutorial, select View Bar=on, Tool Bar=off and
>Message Bar=on and press OK.
=E
#The Assistant Window
>The new Assistant Window helps you plan your day with a one-screen overview
>of goals, people and action items in your database requiring immediate
>action. If it is not currently displayed, launch this window by pressing
>the third button from the right on the View Bar above (or select View/Assistant
>from the main menu). You'll see the default scan of "Today's to do items",
>"Critical Goals" and "Upcoming People Management Tasks".
=E
#*Navigating Around & Programming the Assistant
>You can "navigate" into your ManagePro database by double-clicking on any
>item on display. It's easy to change the number or type of database items
>that the Assistant presents to you. Simply press the configure (wrench)
>button from the tool bar (or choose Assistant/Configure from the main menu).
>Use Options/Assistant from the main menu to tell ManagePro how often you
>wish to have the Assistant automatically present this information to you.
>Select Window/Close All before moving on to the next section.
=E
#To Do Lists
>ManagePro now has two types of rapid-entry to do list planners. Press the
>first button (with check mark) in the Action Group on the View Bar to open
>the master To Do List. Simply type new to do items directly into this list.
>As with other ManagePro planners, the To Do List supports quick column fill,
>date and choice pickers, and allows you to navigate further into the database.
>A new action button on the Tool Bar allows you to rapidly change views.
=E
#*Goal-Specific To Do List
>ManagePro also supports goal-specific to do lists. Open the Top Level
>Goal Planner. Press the expand button next to the first goal of "Double
>Sales in 3 years". Select (single-click on) the first sub-goal "Increase
>share in existing markets". Press the To Do's button to the left.
>You can now enter as many to do items as you wish for this goal. Each of
>these items will automatically be copied to your Master To Do List (and
>appear in your calendar if you also assign a date). Close this window.
=E
#*Accessing an Existing Goal-Specific To Do List
>If you entered to do items for the goal of "Increase share in existing markets,"
>you will notice a checkmark icon immediately to the left of that goal on the
>Top Level Goal Planner. By clicking on this icon, you can recall this to do
>list on demand.
=E
#Delegating a Goal to More than One Person
>You can now delegate a single goal to more than one person rapidly. There
>are two ways to do this. Wherever you are prompted for someone's name, you
>can double-click to pull up a name selection box and pick multiple names.
>Alternatively, you can add a semicolon after a name and type the second (or
>third, fourth, etc.). ManagePro's quick name fill will complete the name after
>the first few letters (try adding Mark to one of Kathy's goals in the Top
>Level Goal Planner).
=E
#Daily Appointment Calendar
>ManagePro now supports a daily appointment calendar view in addition to year,
>month, and week views. Access this calendar by pressing the Calendar button
>in the Action group of the View Bar. If the day view is not showing, press
>the "Dy" button in the Tool Bar. You'll see a one- or two-day appointment
>calendar. Checkboxes at the bottom of the window allow you to tell ManagePro
>which type of data to display. Items without specific times attached will
>appear at either the top or bottom of each day, based on your preferences.
=E
#*Using & Configuring the Daily Calendar
>The calendar will automatically display any items in your ManagePro database
>that have a date (and optionally time associated with it). You can also
>schedule new items by double-clicking on the desired time. To configure the
>daily calendar to your needs, press the Configure (wrench) button on the Tool
>Bar when the daily calendar is showing.
=E
#DDE(Dynamic Data Exhange)
>ManagePro now lets you automatically exchange and update data with other
>Windows applications that support DDE! Setting up the transfer is easy.
>If you want to capture ManagePro data in another application, simply go
>to the ManagePro planner (set cursor to desired goal/person/event/etc.) or
>form containing the information and select Edit/Copy from the main menu
>(use Edit/Copy Link instead if you want to transfer a specific field only). Then go to the other application
>(e.g. word processor) and use their Edit/Paste Link or Edit/Paste Special command.
=E
#*DDE Continued
>Now whenever you launch the other application, it will capture and display
>the latest ManagePro data (ManagePro must be open or on your program path).
>ManagePro can also automatically import data from your other applications.
>Simply Edit/Copy the desired information from the other application, highlight
>the ManagePro planner rows or form that you want to paste information into, then
>select Edit/Paste Link from ManagePro's main menu.
=E
#Document Attachment
>ManagePro now gives you the ability to "attach" documents created with any
>other software application to any item in the database (e.g. goal, person,
>to do, meeting, people management activity, etc.). Thus you can attach a set
>of spreadsheet financials to a goal, a letter of commendation to a person or
>a presentation to a meeting or to do item. Without leaving ManagePro, you
>can launch and edit these documents!
=E
#*Attaching a Document
>Attaching a document from another application is simple. Let's try attaching
>something to a goal. Open the Top Level Goal Planner and expand the first
>goal. Set the cursor to any subgoal and press the Documents button to the
>left. You'll see a dialog box showing you any previously attached documents.
>To add a document to this list, simply press the button marked "Attach...";
>You can fill in the known directory and file name, or browse through your
>disk drive to select the desired document. Press OK to add the document.
=E
#*Launching an Attached Document
>Press Exit to return to the Goal Planner. You'll see a document icon to the
>immediate left of the goal. To launch your attached document at any time,
>simply click on the document icon and press the Launch button. Easy!
=E
#E-Mail
>With version 2.0, you can quickly capture ManagePro information, add your
>cover notes, and route it through your existing company E-mail system.
>ManagePro supports all VIM and MAPI compliant systems such as Lotus cc:Mail
>and Microsoft Mail. Check with your company information services professionals
>to see if your system is supported.
=E
#*Preparing ManagePro for E-Mail Access
>Before you can send E-mail messages from within ManagePro, you must tell
>ManagePro about your system and the E-mail addresses of the various people
>that you wish to send mail to (if you want ManagePro to auto-address the
>messages). Select Options/Environment from the main menu, click on the
>appropriate E-mail option and press OK. Open the People/Team Planner and
>for each individual, press the Details button and fill in the E-mail address
>exactly as it appears in your standard E-mail directory (see Chapter 7 of the
>Reference Manual for more setup information).
=E
#*Sending an E-mail
>To send an E-mail, open the ManagePro planner or form that you wish to capture
>information from, and press the E-mail (envelope) button in the Tool Bar.
>ManagePro will ask if you wish to auto-address the message to the person(s)
>responsible for the item or if you want to send along any attached documents.
>Select the appropriate options and press OK. Your standard E-mail system
>interface will pop up, giving you a chance to add comments or to edit the
>address(es) and data.
=E
#Multi-user Support
>With version 2.0, Windows, Macintosh and/or Unix users who share a common
>ManagePro database have true simultaneous read/write access. This allows
>you to use ManagePro as a real network-based workgroup productivity tool --
>each member of a department or team can update their own goals and progress,
>and see how they're impacting one another (they will each need a separate and
>valid license to use ManagePro, of course!).
=E
#*Assigning Network Access Privileges
>If you have the master password for this database, you can assign different
>access rights to different people on your team (assuming you told ManagePro
>that you were setting up a shared database when you created it).
>To assign access privileges for each individual, open the People/Team
>Planner, select the individual, press the Details button, and then the
>Access button. Enter a password for that individual's use, choose the
>desired access privileges and close the windows.
=E
#*Setting the Network Options
>You must also designate a common directory that all team users can access
>over the network. Choose Options/Network from the main menu and enter the
>location and name of the directory. While there, you may wish to modify the network
>refresh frequency in the space at the top of the window. This will determine the
>frequency at which ManagePro updates all of your displayed windows with changes
>that other users make. Of course, each time you make a change from your
>computer, ManagePro will automatically check for conflicts with other users!
=E
#Mobile User Database Synchronization
>If you're sharing a ManagePro database with other active users, you'll
>want to make sure that any changes that you make while away from the office
>(e.g. on your portable computer) are properly integrated into the shared
>database upon your return. Select File/Utilities/Extract for Mobile Computing...
>from the main menu. ManagePro will make a copy of the shared database and
>give you the option of immediately using that copy.
=E
#*Synchronizing the Extracted Mobile Database
>When you return, you should use File/Utilities/Synchronize this Mobile
>Data with Base... from the main menu. ManagePro will automatically merge
>your updates with the shared database! If ManagePro finds that you've made
>conflicting changes with other individuals (e.g. different goal status settings
>or due dates), then it will present you with the conflicting data and ask
>you to choose which data to use.
=E
#*Complex Synchronizations
>If you and someone else both add text to an item in the database,
>ManagePro will propose appending both new pieces of text together.
>And should you need more information before resolving a conflict,
>you can put the decision "on hold" and even format it into an E-mail for further
>clarification! You can, of course, ask ManagePro to re-synchronize the
>databases at any later time.
=E
#Other New Features
>There are too many new features to highlight all in this tutorial. You
>may want to check out the new coaching topics, the right mouse button
>menu, or try saving filtered and sorted views of planners to
>keep tabs on important issues. Take a look through the menu choices, explore
>the various buttons and scan through the new Reference Manual. You'll see
>lots of new things. Don't be afraid to explore and be sure to give us your
>suggestions for future releases of ManagePro. And thanks for wanting to be the best!
