THE FOLDER SYSTEM
FOR
PCWRITE & PCWRITE LITE
Plus
MAILLIST ADDRESS DATABASE

This program was designed for use on a single user computer with a hard
disk drive. It has not been tested in either a multi-tasking or multi-user
environment. No assurances can be given of its performance under such
conditions.
THE FOLDER SYSTEM requires approximately 110 kBytes of RAM to operate. It
is not memory resident and does not use any memory needed for PcWrite/LITE.
Therefore, if you have sufficient memory to run PcWrite/LITE, you have
sufficient for THE FOLDER SYSTEM.
THE FOLDER SYSTEM is not a public domain product, but rather initially
distributed through Bulletin Boards on the "shareware" concept of "Try it.
If you like it, buy it." No other warranty express or implied is given.
THIS IS THE SHAREWARE VERSION OF THE PROGRAM. IT MAY VE UPLOADED TO
BULLETIN BOARDS, DISTRIBUTED TO YOUR FRIENDS, ETC. INTRODUCTION
One of the most difficult things in DOS, for me at least, has been
remembering DOS file names and what the devil I meant with a file name like
"ZAPGUZUL.ZH2". The making up of the DOS file name was, at the time, a work
of absolute inspired genius - but after a week or so? What was
"ZPAGUZUL.ZH2"?
This is one of a series of front-end programs to solve that problem for
many programs. Should it prove to be of interest, similar "front ends" will
follow.
The basic concept of THE FOLDER SYSTEM is to replicate the filing system
used by human office workers - File cabinets, file drawers, file folders
and, finally, document names that mean something to the user. Figure 1 is a
little, but crude, diagram that might help.
Instead of struggling with obscure DOS file names, THE FOLDER SYSTEM allows
you to pick the file you want to edit from a screen similar to Figure 2.
PROGRAM FILES
THE FOLDER SYSTEM consists of:

MAILLIST.OVR -MAILLIST portion of program
MAILLIST.HLP -Help screen text for MAILLIST
portion.
INSTALLATION OF PROGRAM
These instructions for THE FOLDER SYSTEM assume that PcWrite/LITE has been
installed successfully on a hard disk in accordance with the PcWrite/LITE
installation instructions, i.e. the PcWrite/LITE program is located in
Drive 'C:' in a directory called 'PCW'. If you have installed PcWrite/LITE
differently, additional instructions are given under Special Installation
Instructions. Please read these instructions before installing THE FOLDER
SYSTEM.
Now that that's done, let us start installing THE FOLDER SYSTEM. We should
be in the directory for PcWrite/LITE, most likely 'PCW'. If you are not
certain, enter DIR C:*./W/P, and a directory listing should appear.
Insert THE FOLDER SYSTEM disk in Drive 'A' and make the following entry:
'A:' then 'AUTOINST'.
NOTE: This installation procedure is only valid if the PCWrite/LITE program
files have been installed by the Automatic Installation process of
PcWrite/LITE Special instructions for alternate installations and
customizations are contained under Special Installation Instructions.
STARTING THE FOLDER SYSTEM
Enter 'CD C:\PCW' to change to the PcWrite/LITE directory, then enter
EDSTART.
After a bit of whirring, flashing progress report notices on the screen,
etc, you will be asked:
a) to enter the description of a PcWrite/LITE document to be created. Enter
any description you like, containing any letters you want - the only
restriction is that it must contain at least one Alpha-numeric character (A
through Z or 0 through 9).
b) Next enter the name of the folder in which to place the document. Up to
8 characters are available for the name. Use only alpha-numeric characters.
c) Next you will be asked if you want to "START PcWrite/LITE? [Y]/N".
Should you answer "N", the program will return to the MAIN MENU. The
document you created will be listed on the screen. If you are using either
a mouse with PcWrite/LITE or PCW-LITE, you should answer "N" at this point
to be able to set up your copy of THE FOLDER SYSTEM for PCW-LITE. See
discussion of "SET-UP SCREEN" under SET-UP MAIN MENU section of the manual
below. If you are using PcWrite, answer "Y". PcWrite will be started and
the document you just created loaded into PcWrite.
MAIN MENU
Note: Before editing or creating new documents, please check the current
SET-UP of THE FOLDER SYSTEM. See SET-UP screen below.
Referring back to Figure 2, please note the bottom portion of the screen.
The commands listed there are: Edit # C: Create F: Folders R diRectories
Utilities.
Explanation of Commands
F1-HELP Displays the HELP screens.
EDIT-# Entering the document number opens the PcWrite/LITE document
file selected for editing.
CREATE Starts a new document file. During its creation you:
a) Must assign a description to the PcWrite/LITE file of up
to 35 letters in length.
b) Must indicate which folder it is to be filed in. If the
folder does not exist, you will be given an opportunity to
start the folder (See F·FOLDER below for restriction on
starting a new folder);
c) Once you have defined the new document file, you will be
asked if you wish to go directly to PcWrite/LITE or merely
record the new entry for future use.
FOLDER Lists the active folders for the Directory in use. A single
folder or all folders may be selected for display. Enter
either a number or "A" for all.In order to start a new folder
when you create a new document, you must have selected "A" to
display all folders.
List by: List Documents in a Directory or Folder by alphabetical or date
order. Select "L" or press the mouse the in appropriate box to
toggle between Alphabetic or Date. Date order lists the documents
from most recent to oldest by date the document was created.
diRec- Select, Create or Delete DIRECTORIES (Drawers) for your files.

DELETE Delete a document from PcWrite/LITE and from THE FOLDER SYSTEM.
PgDn If more documents exist in the folder, pressing PgDn will
display a continuation of the listing. Esc Terminate "THE FOLDER
SYSTEM" program [Press "Esc" or letter "Q"].
The commands may be activated by pressing the highlighted command letter.
If you must subsequently pick a particular file for renaming, deleting,
etc., enter the appropriate number of the file. If you have a mouse
connected to your computer, a small blinking square will appear in the
lower right corner of your screen. Move the cursor to anywhere within the
text of the command to be given and press the left button. To select a file
subsequently, move the cursor to the line giving the description of the
file and then press the left button.
UTILITY MENU
Press the letter "U", the Utility Menu will appear - see Figure 3. The
following are the utilities available:
Transfer Transfers a document together with its description to another folder.
Appropriate prompts will lead you through the process. You may
not transfer a document into a Folder where there already exists
another document with precisely the same description. Alter the
existing document description, if necessary. The insertion of an
extra space between words in the description will suffice. F3
Prepares a special PCWBAKUP directory preparatory to backing up
the Back-Up document files. Actual backing-up of this special
directory to floppy disks or tape must be done with the back-up
method of your choice. You may add to an existing PCWBAKUP
directory or erase the contents and start anew. The document will
be deleted from THE FOLDER SYSTEM as the document is transferred
to the PCWBAKUP directory. If you have already commenced using
the BACK-UP utility, you will asked if you want to erase the old
"PCWBAKUP" files. ANSWERING "YES" WILL ERASE THE CONTENTS OF THE
SPECIAL DIRECTORY FROM THE HARD DISK. DON'T ANSWER "YES" UNLESS
YOU HAVE TRANSFERRED THE CONTENTS OF THE SPECIAL BACK-UP
DIRECTORY (PCWBAKUP) TO A FLOPPY DISK OR TAPE and are ready to
start a new back-up series. SEE Notes below. F4 Restores a
document file from special PCWBAKUP directory for use by restore
THE FOLDER SYSTEM. Actual restoration of this special directory
from floppy disks or tape to the hard disk must be done with the
back-up method of your choice. F5 If you have turned on the
automatic backup feature of PcWrite/LITE, delete it will create a
file called "{filename}.&??" each time you save your "&??"
document. This "&??" file will contain the previous version of
the Document. Such files, when no longer needed, occupy valuable
disk space. The ERASE utility will delete the "&??" file of the
Document selected by number. Set-up The current set up of FOLDERS
will be displayed. See separate screen explanation for details.
reName Renames the FOLDERS description of an existing
PcWrite/LITE document file name. Use with care if you have
cross-referenced this document in other documents within
PcWrite/LITE since the cross references will not be able to find
a renamed file. F1 Shows HELP screens. Return Returns to MAIN
MENU [Press "Esc" or letter "R"].
Press "S" for the SetUp menu (Figure 4)
Explanation of Set-Up Commands
Command The default starting command is "ED" or "LITE" for PcWrite/LITE.
If a mouse driver is in use or another "front-end" program is
being used with PcWrite/LITE, the COMMAND should be changed to correspond. SEE Special
Installation Instructions for instructions on customizing other
"front-end" programs to work in conjunction with THE FOLDER
SYSTEM.
Restore Re-sets SET-UPs to the original default settings.
clocK Enables or disables the clock showing date and time on the Main
enable/ Menu screen. If the clock is disabled, the "SLEEPING" function
disable is also disabled. When the program is running under certain
DOS shells, the repetitive updating of the current time and date
may create screen display problems. F1-Help Displays the
appropriate help screen. Return Returns to the Utility Menu
[Presss "Esc" or letter "R"].
DIRECTORY MENU
From the Directory Menu (Figure 5) you may change the directory where you
keep your PcWrite/LITE files. There are as many different directories
possible under THE FOLDER SYSTEM as you need:
Select Selects for use the directory from those listed on the screen.
A selection of a new directory will require that a new folder
selection be made. Create If you wish to start a new directory,
press "C". You will be asked to enter:
a) Disk drive to use - C, D, E, or F are permitted provided they
are installed on your machine.
b) Directory to be used - any eight letter designation may be
used. If the Directory does not already exist on your disk
drive, you will be asked to confirm that you want to start it.
c) Sub-Directory to be used. If none, press ENTER [<┘]. If the
Sub-Directory does not already exist on your disk drive, you
will be asked to confirm that you want to start it.
d) A name for the directory up to 20 characters long. If you
press <<ENTER>>, the new directory will not be given a name.
Upon completion of the creation of a new directory, the program
will automatically return to the DIRECTORY MENU in order to
permit you to select the directory to use. Delete Deletes the
directory entry. This will delete the entry within THE FOLDER
SYSTEM of the directory selectod. It will NOT eliminate from the
hard disk the DOS directory or the contents of that directory.
Therefore, should you wish to re-establish the directory, create
it again and it will appear complete with contents. This feature
may be used to create "hidden" directories available for use
only if the name is known. You must use the Operating System
delete functions to remove the contents of Directory completely
from a hard disk. Name/ Permits naming or renaming of a Rename
directory already created. Up to 20 character long names may be
assigned. F1-Help Shows the appropriate HELP screen. Return
Returns to the Main Menu [Press "Esc" or letter "R"].
FOLDERS MENU
WHAT IS A FOLDER?
Perhaps a little review of Figure 1 can help explain how THE FOLDER SYSTEM
keeps PcWrite/LITE records for you. You may have up to 40 folders in each
drawer (Directory) and as many drawers (Directories) in each file cabinet
(i.e. disk drive) as you need. You may have virtually unlimited numbers of
Documents in each folder.
The folders function keeps track of the folders that you have created in
any one Directory and permits you to select an individual folder to be
displayed Figure 6 shows the FOLDERS MENU.
All Folders - If you want to display all folders at once, press "A". The
folders will be displayed in alphabetic order, first by folder name, then
by description of the documents in the folder.
SELECT Selects a folder by number. Document descriptions in that Folder
only will be displayed on the Main Menu. Note: If there are no
more than 10 folders (0 thru 9), selection of a new folder is made
by entering the numner only. If there are more than 10 folders,
selection is made by entering the number then pressing "ENTER".
ALL Display on the Main Menu all Descriptions of all documents
within the current Directory. Create A new file folder may be
created directly from the FOLDERS SCREEN. Press "C" will prompt
for the document name followed by the folder name. You may select
either an existing folder or create a new one at time point.
F1-Help Displays the appropriate HELP screen. Return Returns to
the Main Menu [Press "Esc" or letter "R"].
BACK-UP DIRECTORY
THE FOLDER SYSTEM merely prepares a special directory for you to use with
whatever Back-Up and Restore system you use. This special directory is
located on the disk drive in use. (Line 3 of the screen gives this
information). Separate special back-up directories are created
("C:\PCWBAKUP", "D:\PCWBAKUP ", etc.) for each disk drive (C: through Z:).
Each of these directories will contain two types of files: 1) The special
data base created by THE FOLDER SYSTEM to keep track of the files by
description - these files are "DOCUMENT.DAT" (data base data) and
"DOCUMENT.INX" (the index to the data base); and 2) Individual document
files with file name extensions such as ".000", ."001", etc.
These elements of the back-up folder form an INTEGRAL UNIT and MUST NOT be
separated in the back-up procedure. The contents of the special directory
also MUST NOT be combined with back-ups made at different times. Each time
you back-up, back-up the entire contents to a new disk without other files,
label the disk by subject, date and any other identifying information you
deem appropriate.
Some recommendations:
1) You may add to the special back-up directory as long as you like,
provided you do not erase the existing back-up directory. Answer "N" when
asked if the old back-up should be erased.
2) If the size of the contents of the special directory does not exceed the
capacity of your floppy disk drives, you may use the DOS copy command to
copy the contents onto a floppy disk (e.g. "COPY C:\PCWBAKUP\*.* A:").
Again, do not mix with previously backed-up or any other files.
3) You may use the BACK-UP/RESTORE routine of THE FOLDER SYSTEM to transfer
documents between Directories, provided the Directories are on the same
disk drive. Back-up the document, change directories, then restore the
document.
THE GENERAL CONCEPT
Now that you have reviewed how THE FOLDER SYSTEM is used, let us review how
you should employ it to keep your files of documents. Again, reverting back
to Figure 1, try to visualize how you would normally keep files of paper
documents. You would not, for example, place a large folder in an empty
file cabinet and stuff all your documents into the one folder. In a multi-
drawer filing cabinet, you would not place all your file folders in a
single drawer, but would divide the contents by general subject matter
between the different drawers. With a little forethought the same
principles can be followed in using THE FOLDER SYSTEM, i.e.:
- If you have more than one hard disk drive, say "C:" and "D:", use each
drive as a separate filing cabinet in order to distribute the document
files more evenly between the two drives. Make "C:" the personal filing
cabinet and "D:" the business filing cabinet, for example.
- Create different directories for the broad categories of files you keep.
For example, for a computer in use in the home environment, you might
want to create directories such as WILLIAM, JOHN, ROBERT, ELEANOR,
GENERAL, BUSINESS, SCOUTS, CHURCH, MY_NOVEL, etc. - each drawer
representing either the user or subject matter of the contents. The
length of the drawer identification can be expanded by using sub-
directories; for example, the directories "C:\WILLIAM\HOMEWORK" and
"C:\WILLIAM\LETTERS" could be used. Remember there are up to twenty such
drawers available for each disk drive.
- Avoid the temptation to create general catch-all folders like MISC,
MY_STUFF, etc. Divide your drawer either chronologically or by subject,
e.g.: JAN89, FEB89, etc. or HISTORY, ENGLISH, CLIENTS, etc. By doing so,
you should be able to have folders such as: "C:\BUSINESS\LETTERS\JAN89",
"C:\WILLIAM\HOMEWORK\ENGLISH" or "C:\ROBERT\HISTORY\PRE1776", etc. The
number of folders per drawer is large (40 is the limit), so you should
not feel the need to stuff everything into only a few. Remember the whole
point of THE FOLDER SYSTEM is to assist you in finding files.
IMPORTING EXISTING FILES
You may import existing PcWrite/LITE files into THE FOLDER SYSTEM by using
PcWrite/LITE retrieval capacities. No provision has been made within THE
FOLDER SYSTEM for such importation, since PcWrite/LITE, if not properly
handled, become damaged. Therefore, it was decided that it was best to
leave the transferring of any documents to the routines contained within
PcWrite/LITE itself.
MAILLIST
a name, address and telephone database designed for merging operations
with PcWrite and other word processing programs
This is the MAILLIST portion of THE FOLDER SYSTEM designed to work with
your PcWrite or other word processing program. It will keep any number of
records (information on individuals or companies) from which you can make
address labels on a dot matrix printer and, indirectly using the merge
function of your word processing program, letters, labels, index cards,
etc. on the individuals in order of name, address, telephone (office or
home), ZIP/PostCode or special mark character. MAILLIST employs a system of
indexing of the records that permits extremely rapid location of individual
records, no matter whether your database is a few hundred long or many
thousands long. As many separate files as may be needed may be created for
different lists - i.e. separate files for clients, suppliers, personal,
club, etc.
Database files created by the Maillist portion of THE FOLDER SYSTEM will be
in a special sub-directory called MAILLIST - for example, if THE FOLDER
SYSTEM is installed in directory C:\PCW, the database files will be in
sub-directory C:\PCW\MAILLIST. These files are (using a database called
PERSONAL MAILING RECORD as an example):
C:\PCW\MAILLIST\PERSONAL.DAT {MAILLIST database
file}
C:\PCW\MAILLIST\PERSONAL.MAX {file mark index file}
C:\PCW\MAILLIST\PERSONAL.NAX {name index file}
C:\PCW\MAILLIST\PERSONAL.OTX {office telephone index
file}
C:\PCW\MAILLIST\PERSONAL.HTX {home telephone index
file}
C:\PCW\MAILLIST\PERSONAL.ZIX ZIP/PostCode index
file}
The program finds these file through the use of a set of small database
files called C:\PCW\NAMEFILE.DTA and its index C:\PCW\NAMEFILE.INX.
Most of the functions of the program are self evident. When the MAILLIST
program is first used, it will automatically create a file called
MAILLIST.DAT (with its appropriate indices) named MAILLIST DEFAULT FILE.
You will be required to make a name entry immediately upon the start up of
the program. At least a last name must be entered before the program will
permit you to go on. Each time you create a new file, you will be required
to make at least one entry. If you don't care to continue the MAILLIST
file, add a new file with the desired name, then delete the MAILLIST
default file.
MAIN MENU
(Figure 8)
While most of the elements controlled from this screen are self evident,
additional explanations may be useful:
Add Commences the process of adding another record to the database.
You must complete at least the Last Name field before stopping
entry of data. 'Esc' stops data entry, after which you will be
prompted to (1) add the record and, if so, whether or not you wish
to add another record. SEE BELOW DETAILED DISCUSSION OF DATA ENTRY
AND THE VARIOUS DATA FIELDS.
Find Brings up the Finder Menu to find an individual or category of
records in the file. SEE BELOW FOR DETAILS ON THE FINDER MENU.
Labels A simple program to print 3 1/2" x 15/16" labels on a dot-matrix
printer. Selection by order (Name, ZIP/PostCode, Office Tel. or
Home Tel.) is possible, and then by specific criteria (a ZIP code,
a telephone area code, etc.). Should work on almost all 9 and 24
pin dot matrix printers. BE SURE YOU HAVE ENOUGH LABELS IN A
CONTINUOUS STRIP - ONCE PRINTING HAS STARTED ANY INTERRUPTION WILL
REQUIRE THAT YOU START ALL OVER.
Merge Creates an ASCII merge file. SEE BELOW FOR DETAILED DISCUSSION OF
MERGE FUNCTIONS. Other Creates/retrieves/deletes new files
(collection of individual records).
reindeX The records maintained by MAILLIST are found by using indexes
rather than by sorting of the records. This greatly accelerates
the finding of individual or a series of records. Indexes
sometimes, but rarely, get corrupted and must be recreated. In
large files, this can take a great deal of time, so use the
utility sparingly. NEVER INTERRUPT SINCE THE INDEXES WILL SURELY
BE CORRUPTED. SHOULD REINDEXATION BE INTERRUPTED, IT IS NECESSARY
TO START ALL OVER AGAIN. THE FILE WILL BE UNUSABLE UNTIL IT IS
REINDEXED - ONLY THE FILE IN CURRENT USE WILL BE AFFECTED.
Export Create ASCII disk file on contents. The content of such an ASCII
file will be in the following order: FIRST NAME; LAST NAME; TITLE;
SALUTATION; POSITION; ORGANIZATION; ADDRESS1; ADDRESS2; CITY;
STATE; COUNTRY; ZIP/POSTCODE; OFFICE AREA CODE; OFFICE TELEPHONE
NUMBER; HOME AREA CODE; HOME TELEPHONE NUMBER; FAX AREA CODE; FAX
TELEPHONE NUMBER; OPENDATE [MMDDYYYY FORMAT]; DATE OF LAST USE
[MMDDDYYY FORMAT]; REMARKS; FILE MARK.
Import Brings into this file other records from a matching ASCII file.
The ASCII file must be in the same order as the given for EXPORT
above. Return Returns to THE FOLDER SYSTEM ["R" or 'Esc' may be
used]. F1-Help Shows help screens.
FINDER MENU
(Figure 10)
From this screen you may select a particular search method for the name
records in your file. You select by:
Name - Find/Browse records for a particular record by name order starting,
if you wish, at a particular name by entering full last and first name
information. Leave the Last Name and First Name fields blank to search
company records without associated personal names.
Office Find/Browse - records starting at a particular area code or enter
full Tel. telephone number (area code + number) to find a particular
number.
Home - Same as above but for home telephone numbers.
ZIP Find/Browse - records at a particular ZIP/PostCode number entries with
the same number will be listed alphabetically by name or company name.
Enter ZIP and name information to find a particular record.
FileMark - Find/Browse records starting at designated file mark letter.
F1-Help Shows help screen.
Return Use 'R' or 'Esc' to return to Main Menu.
BROWSE SELECT MENU
(Figure 10)
From this screen you may select the method of browsing or finding a
particular record. The contents of the boxes on the bottom of the screen
will vary by the selection made in the previous step (Finder Screen). If,
for example, you have chosen to search by Name, then the following commands
will appear [Figure 10(a)]:
Esc Press 'Esc' immediately after the screen appears to browse all
records in the order selected (in this example, in Name order).
All Enter the last name or the first portion of the last name to
start the browse, then press Esc. Example: If you enter "Sm" then
press enter, the browse would start with "Smaathers" and proceeded
in alphabetical order from there. Last Enter full information -
i.e. last name, first name , company or organization to start
search with specific name. Once found the browse will continue
alphabetically from that point.
Browse Screen
(Figure 11)
This screen permits you to browse through the records in the database, then
select one for editing or deletion. The functions are:
PgDn The PgDn key on the cursor control pad - shows the next record in
sequence. The sequence is controlled by whatever you selected on
the Finder Menu, i.e. name order, office telephone order, home
telephone order, ZIP/PostCode order, or FileMark order.
PgUp The PgUp key on the cursor control pad - shows the previous record
in sequence. The sequence is controlled by whatever you selected on
the Finder Menu, i.e. name order, office telephone order, home
telephone order, ZIP/Postal Code order, or FileMark order.
Edit Edits any of the information on the screen. Once edited, the
program will return to the first record in the file. Delete Deletes
this one record entry. You will be asked to confirm that you really
wish to delete the entry. F1-Help Shows the help screen.
Return 'R' or 'Esc' to return to Main Menu.
LIMIT MENU
(Figure 12)
When you have selected either the MERGE, the LABEL or Export outputs, you
may limit which records are used to a specific ZIP/PostCode, an office or
home telephone area code or a FileMark. This method of selection, for
example, permits you to select all residents of Maryland (with home
telephone number data) by selecting the home area code of 301, or all
resident of Bedford, PA by selecting ZIP/PostCode 15522. If no limitation
selection is desired, select ALL.
MERGE MENU
A merge file will be created in the ASCII (sometimes called MailMerge or
PcWrite "COMMA") format in a sub-directory called MERGE with the same name
as the data file, i.e C:\PCW\MAILLIST\ PERSONAL.DAT will create a merge
file called C:\PCW\MERGE\PERSONAL.MRG. Each time you update the merge file
a replacement for the C:\PCW\MERGE\PERSONAL.MRG will be written.
Each merge format is a re-compilation of the data entered for each record
for an output in the following style:

Add Adds an entire new series of name records.
Delete Deletes an existing series
# Selects by number a different one from the one you are currently
using. For example, you may have several different name databases
with different uses such as BOB'S PERSONAL NAME FILE, ELBEE
ENTERPRIZES' CUSTOMERS, CHURCH MEMBERS, BOY SCOUT TROOP NO. 99,
etc. As you create new database files, the numbered list appearing
on your screen in alphabetical order will grow until it reaches
"9".
PgDn If you have more than ten (0 through 9) files, additional file
listings may be obtained by pressing the "PgDn" key. The listing
will cycle through all available database files until the end,
then start recycling through at the next press of "PgDn".
F1-Help Appropriate help screen.
Return 'R' or 'Esc' returns to main menu.
Note: Deletion of a database listing deletes not only the listing from THE
FOLDER SYSTEM, but also the files of individual names and related index
records. Prior to deletion, a screen will appear showing the file to be
deleted and the number of records in the file. You will asked to confirm
your intention to delete at this point. USE WITH CARE.
RULES, SUGGESTIONS AND HINTS
You are strongly urged to study the chapters in your PcWrite manual on the
creation, review and use of merge files and functions. While MAILLIST helps
you in creating a useable PcWrite merge file from an address database, how
you use it can become somewhat difficult. PcWrite provides a very versatile
merge system with many functions, but its management becomes somewhat
difficult. MAILLIST is designed to make one of those functions (address
record keeping and "mailmerging" that data with letters, index card, etc.)
much more convenient and easier. There are, however, rules.
Explanation of use of individual data fields:-
Style: The manner in which you enter the data into the various fields
determines the quality of the output to the merge. If you don't mind having
letters addressed as: mr joseph q jones president left hand widget co pobox
11234 bedford pa 15522 usa then by all means don't capitalize and don't
punctuate the "mr" or the "q". If you want it to appear as a letter
normally should, then use appropriate capitalization and punctuation for
abbreviations.
Last Name: Enter only last names and appropriate, but intimately related,
data. Examples are shown in the lower third of screen. Compound, "Jr." or
Spanish style names should be entered with particular care as shown.
REMEMBER THIS ENTRY DETERMINES ITS ORDER IN THE RECORDS. Be consistent. Do
not enter a compound name such as "Smith-Jones" one time and "Smith Jones"
the next. This will result in the records being separated from each other
during browse. If you are not entering personal data, but only that of an
organization, leave this field blank. Don't forget to punctuate
abbreviations.
First Name: Be consistent - Entering first names as Robert, Bob, Robt. will
result in the name being scattered in the file. The First Name field is the
second element of the indexing system. If you are not entering personal
data, but only that of an organization, leave this field blank. Use this
field for multiple given names like "Paul Xavier", etc. Don't forget to
punctuate abbreviations.
Title: Title is always the formal mode of address of the individual - NOT
THE INFORMAL. This may seem, at first, arcane and a bit silly, but remember
it is the entry here that determines the beginning of the first line of the
merge record, i.e. Professor Joseph Q. Jones. If you are not entering
personal data, but only that of an organization, leave this field blank.
Don't forget to punctuate abbreviations.
Salutation: Here is the place for the formal or informal mode of address of
the individual, i.e. Professor Jones or Joe, for our example above. This is
the entry that determines the "Dear Professor Jones" or "Dear Joe" line of
a merge letter. If you are not entering personal data, but only that of an
organization, leave this field blank.
Position: This field is for the position the person occupies in his
organization. It is the source of "President", for example, in "President,
Left Hand Widget Company". It may be left blank if such information is not
available or not needed. Don't forget to punctuate abbreviations.
Org.: The name of the organization, company, church, etc. If personal data
(Last Name, First Name) are omitted, the organization field must be
complete before a record can be a started. If the information does not
exist or is not pertinent, it may be omitted. Don't forget to punctuate
abbreviations.
Address 1: This field is reserved for secondary information on the address
to appear before the main address such as apartment number, floor number,
etc. Always use a style such as "Apt. 101", or "Suite 999" to make its
meaning clear to the postman. Don't forget to punctuate abbreviations.
Address 2: This field is reserved for primary address information such as
999 S. Josephine Blvd. or P.O. Box 1991, etc. Don't forget to punctuate
abbreviations.
City: City, village, town etc. only - do not include other information of
county, state, region, etc. Don't forget to punctuate abbreviations.
State/Prov. Field reserved for geographic sub- division. Country: This is
the place for the nation-state entry, i.e. "Switzerland", "Canada", "USA",
etc.
ZIP Enter the ZIP/PostCode in a consistent manner, i.e. "15522- 1234"or
"TR1-11H" one time and "15522 1234" or "TR1 11H" the next. The indexing of
the files by ZIP/PostCode is based on these entries and inconsistencies
will result in odd orders and missed records when searches are conducted.
Telephones: The same comments apply to all telephone entries - be
consistence. 1-814, 814 are different to a stupid computer - always omit
the "1" prefix. 623-0001, 6230001 and 623 0001 are different numbers to a
computer and will be placed in different places in the index. Never place
the area code in parenthesis ['(800)']. The program will add the
parenthesis where and when needed. Remarks: No rules apply here except be
consistent in its use.
FileMark: A file mark character may be any letter or number. If the field
is left blank when the record is first started, an "N" (for new) will be
inserted automatically. This single letter can be a most useful device for
separating names in a file for different purposes. Let us assume, for
example, that you are keeping records for a charitable organization and you
need to separate: B = Board Members, P = Patrons, C = Clients, S =
Suppliers, I = casual Inquiries, etc. By use of the Find then Edit
functions, these File Marks can be changed as the need to change the
description of the individual changes. Once established, if you have need
to send a letter to all board members, but no one else, restricting the
output to File Mark "B" will make a merge file of board members only.
SPECIAL INSTALLATION INSTRUCTIONS
HOW THE FOLDER SYSTEM WORKS
A little explanation of how THE FOLDER SYSTEM works will, perhaps, help you
customize the program to your particular needs. PcWrite, like many other
programs, allows you to place "parameters" after the file name. For
example:
- The command to start PcWrite is ED. - The command to start LITE is LITE.
- The command to start PcWrite and load a file called MYFILE.DOC found in
directory C:\PCW\LETTERS for editing is ED C:\PCW\LETTERS\MYFILE.DOC.
Good enough. If you could remember all this stuff every time you start your
PcWrite program, and remember what the contents of MYFILE.DOC were, you
could go directly to editing the file you want. THE FOLDER SYSTEM does all
this for you, but it needs a little help from Operating System "batch
files". If you are not familiar with what a DOS batch file is, you should
look it up in your operating system manual. A batch file is a file that
always has the file extension ".BAT" and when invoked, executes the
contents as if they were entered from the keyboard.
THE FOLDER SYSTEM starts with a batch file called EDSTART.BAT. The contents
of this batch file are:

Delete CONTINUE.BAT if it exists.
FOLDERS Start the program called FOLDERS.EXE.
CONTINUE When FOLDERS.EXE finished, execute CONTINUE.BAT.
There would seem to be a problem here - we deleted the batch file called
CONTINUE.BAT, then we tell the computer to execute CONTINUE.BAT after it
executes FOLDERS.EXE. One of the basic purposes of FOLDERS.EXE is write the
batch file called CONTINUE.BAT. A typical content of CONTINUE.BAT would be:

Execute PcWrite, load the document APPENDIX .000 to
be found in directory D:\WORDPERF and in Folder

SYSTEM.
When you quit THE FOLDER SYSTEM, the CONTINUE.BAT will read:

If you are not using any "front-end" program in conjunction with PcWrite,
the Figure 7 is a diagram of how the various programs and batch files
inter-connect.
Modifying to Exit to Another Program
Let us assume you are using a menu program on your computer and you want
THE FOLDER SYSTEM to exit to that program when you are finished with
PcWrite. Let us also assume that the menu program is located in the root
directory of drive "C:" (C:\) and that the command to invoke the menu
program is "AUTO". You must add the following lines to EDSTOP.BAT to cause
it not to return to C:\WP50.
