VINO:FILE CELLAR MASTER
Version 2.15
DOCUMENTATION UPDATES
October 31st, 1990
Version 2.15 of VINO:FILE fixes several bugs in earlier
versions, adds new features and provides several enhancements.
(Note that Version 2.14 was an internal version which was never
released to the public).
This document provides information on all changes since the
VINO:FILE manual was written.
These documentation updates follow the same order as the users
manual and reference the existing section numbers where
appropriate.
SUMMARY OF CHANGES IN VERSION 2.15:
* A change has been made to prevent a problem with
corrupted wine database and XRef files experienced by
some users. Symptoms included garbage characters on
some screens, lock-ups after adding wines or when
loading the database. This change is 'transparent to the
user' - no documentation updates apply.
* Printing Cross Reference files did not work correctly
with some printers. No documentation updates apply.
* Under some circumstances the wine record pointer was
incorrectly positioned when 'Add Wines' was selected
from the Wine List. No documentation updates apply.
* Fixed a problem where garbage characters were written to
the screen when the last entry in the Cross Reference
file was deleted. No documentation updates apply.
* New IMPORT and EXPORT features have been added. These
functions allow you to transfer data to and from other
file or data management systems.

* New features have been added for the fleet of finger.
Bottles that were marked as drunk in error can now be
'UN-DRUNK' using the 'U' line command on the Bottle
List. Wine and bottle records that were deleted in
error can now be restored by selecting 'RESTORE DELETED
WINES' on the Add Menu.
* NEW SEARCH OPTIONS have been added. A 'Search Type'
field has been included for 'Year' so that you can
search for wines from '>=' or '<=' the search value in
the 'Year' field. In addition, the special search
characters '*' and '#' have been defined for the 'Year
Ready' and 'Drink By' fields.
* Several enhancements have been made to printed reports.
The IBM PROPRINTER family are now fully supported; the
DEFAULT PRINT HEADER can now be set on the Change
Configuration panel; the ability to CANCEL PRINTOUTS by
pressing CTRL_C has been added; and a REPORT SUMMARY is
now printed after each report giving the search criteria
and statistics for that report.
* When SHELL TO DOS is selected from the File menu, a
message is now displayed on the DOS screen informing the
user the type of shell (to EMS, XMS or Disk), the
amount of memory available, and how to return to
VINO:FILE. The program will now use XMS (Extended
Memory managed by HIMEM. SYS or similar memory
managers) when shelling if EMS Expanded memory is not
available.
* The MEMORY USAGE statistics have been expanded and moved
to a separate option on the Summary screen.
* The CURRENCY SYMBOL can now be up to 3 characters long
and the number of decimal places in the currency field
can be adjusted to 0, 1 or 2 to cater for foreign
currencies such as Francs (Fr), Deutsche Marks (DM) or
Swiss Francs (SFr).
* The END key now scrolls to the bottom of all the lists.
* An OVERLAY FILE (WINE.OVR) is now included in the
VINO:FILE package. Overlays reduce the amount of memory
the program needs to run.

SECTION II - GETTING STARTED
Additions to 2.4.1 'SEARCHING AND DISPLAYING WINE LISTS'
A new field has been added - Year Search Type - to allow
searches for wines from later or earlier years than the search
value. Two special search characters for the 'Year Ready' and
'Drink By' fields are defined.
The 'Year Search Type' controls the use of the Year field in a
similar way to the Bottles Search Type. Enter '1985' in the
Year field and press Enter to search. Only wines from the
vintage 1985 will be displayed. Now return to the Search Panel
and enter '>' in the 'Year Search Type' field. Now search again
and all wines from 1985 AND later years will be listed. Entering
'<' will list wines from 1985 and earlier.
Finally, you can use the 'Year Ready' and 'Drink By' search
fields to identify those wines in your cellar that are in their
optimal drinking period. First clear all fields by pressing
PgDn and enter '1989' in the Year Ready field. Press Enter to
display a list of all wines that became ready to drink in 1989.
Clear the Year Ready field and enter '1990' in the Drink By
field. Press Enter to display a list of the wines that should
be drunk by 1990.
There are two special searches in the Year Ready and Drink By
fields - '*' which means 'ready' and '#' which means 'not
ready'. In the Year Ready field, '*' will display all wines
which are ready to drink in the current year or earlier - that
is, all wines which are ready to drink. The '#' character will
list wines which are not yet ready to drink. In the Drink By
field, '*' will display all wines which should be drunk in the
current year or later. The '#' character will list wines which
have passed their Drink By date - that is, wines that are 'over
the hill'.
To list all wines which are currently in their optimum drinking
period enter '*' in both the Year Ready and Drink By search
fields and press Enter. This will display all wines which have
passed their Year Ready date and have NOT passed their Drink By
date - perfect wines for current drinking!

Additions to 2.4.3 'DISPLAYING BOTTLE LISTS'
If you mark bottles as having been drunk when they have not been
- or delete bottles in error - you can now reverse those
mistakes.
To the list of actions add:
* U Un-drink bottles which were incorrectly marked as
drunk.
To restore bottles which were deleted from the database choose
'Restore Deleted Wines' from the Add Menu.
Additions to 2.4.5 'DRINKING A BOTTLE OF WINE'
If you have incorrectly marked a particular bottle record as
being drunk - when in fact it has not been - you can now 'Un-
Drink' the record:
* From the Bottle List screen, place the indicator next
to a bottle record which has a drink date, and press
the 'U' key.
* Check that the existing date fields are correct - that
you are un-drinking the correct bottle - and, if so,
press 'Y'. To cancel, press 'N', Esc or F3;
* Enter the number of bottles to restore which must be
less than or equal to the number of bottles currently
represented by this record;
* Enter the cellar location and, if you like, the value
of the bottle. Both these fields are optional.
Additions to 2.4.6 'ADDING WINES TO THE DATABASE'
The number of digits after the decimal point in the Cost and
Value fields can now be changed on the 'Change Configuration'
screen. By default there are two decimal digits - as used in
American, Australian and British currencies, however you can
change this to 0 or 1 for other currencies.

New Section 2.4.x 'RESTORING DELETED WINES'
If you mistakenly delete wines or bottles from the database you
can now restore them - in the same VINO:FILE session only - by
selecting 'Restore Deleted Wines' from the Add menu.
To test this feature, make sure that you have deleted at least
one wine or bottle record, press Alt_A and select that option.
VINO:FILE will display a list of the deleted wines. This list
works in the same way as the main Wine List, however the only
line commands available are:
* S or Enter Display the bottle list;
* R Restore this record plus all its bottles
to the cellar;
* F Find a particular wine in the list;
When you display the bottle list you will be able to select:
* S or Enter Display all fields for this bottle
(browse only);
* R Restore just this bottle record to the
cellar.
Additions to 2.4.9 'SUMMARY SCREENS'
There are now five options on the Summary menu - 'Memory Usage'
has been added.
Some memory usage statistics were included on the Database
Summary screen in Version 2.13. These figures have been
expanded and moved to a new screen.
The Memory Usage screen includes information about the three
types of memory that you may have in your computer - Standard,
Expanded and Extended Memory - and how much of each VINO:FILE is
using.
All of the database and cross reference information is loaded in
Standard memory - the type that comes with your computer when
you purchase it.
Expanded Memory (EMS) is bought separately and requires an
'Expanded Memory Manager'. VINO:FILE will use this memory to
store program and data information when you select 'Shell to
DOS' from the File Menu. VINO:FILE will also store the Overlay
file here if it can.

Extended Memory (XMS) is also a separate item and requires an
'Extended Memory Manager' - HIMEM.SYS is the most common.
VINO:FILE will use this memory to store program and data
information when shelling to DOS, but only if EMS is not
available.
Additions to 2.4.10 'CHANGE CONFIGURATION'
The Currency Symbol field on the Change Configuration menu can
now be up to 3 characters long to accomodate currencies such as
Deutsch Marks (DM) and Swiss Francs (SFr) where the standard
abbreviation is more than a single character.
There are two new configuration fields:
* Decimals The number of digits after the decimal
point in currency fields. The default
value is two - as used in American
Dollar, Australian Dollar and British
sterling currencies - which means that
all currency values can be set to a
maximum of 999.99. For currencies that
do not usually have two digits after the
decimal point, or where values greater
than 999.99 per bottle are needed, the
number of decimals can be set to 1 or
zero.
* Print Header The default value for the Heading Text
on printed reports. You can still
modify the header for each particular
report when printing.
Additions to 2.4.11 'PRINTED REPORTS'
The IBM Proprinter family of printers is now separately
supported by VINO:FILE. Enter 'IBM' as the printer type on the
Printer Setup screen.
Once a report has started printing you can cancel it by pressing
CTRL_C - that is, hold down the CTRL key while pressing the C
key. You will be asked to confirm that you want to cancel the
report. If you answer 'Y' the report will be cancelled
immediately. Press any other key to resume the printout.
Note that some printers (and software print spoolers) will
buffer data before printing it, so the printer may not stop
printing immediately.

SECTION III - USER REFERENCE
Additions to 3.2.6 'SCROLLABLE LIST PANELS'
To the list of scroll keys add:
* End scroll to the end of the list.
Addition to 3.3.1. 'THE WINE SEARCH PANEL'
DEFAULT VALUES:
YEAR SEARCH TYPE - defaults to = (displays blank). Only
wines which match the Year exactly will be listed.
DATA FIELDS:
YEAR SEARCH TYPE - can take the values '<', '=', or '>'.
This field determines how the Year field is used in the wine
search. If the search type is '=' or blank then only wines
that match the year exactly will be listed. '<' means wines
from the specified year or earlier and '>' means wines from
the specified year or later. The search type has no effect
if the wild card character has been used in the year field
(198*, for example).
YEAR READY - is a 4 character field. In addition to entering
a specific year or a wild card year ('1985' or '198*', for
example) you can use the special characters '*' (ready) and
'#' (not yet ready). '*' will match wines whose Year Ready
dates are less than or equal to the current year. '#' will
match wines whose Year Ready dates are greater than the
current year.
DRINK BY - is a 4 character field. In addition to entering a
specific year or a wild card year ('1985' or '198*', for
example) you can use the special characters '*' (still ready)
and '#' (over the hill). '*' will match wines whose Drink By
dates are greater than or equal to the current year. '#'
will match wines whose Drink By dates are less than than the
current year.

Additions to 3.3.4 'ADD BOTTLES PANEL'
and 3.3.7 'CHANGE BOTTLE PANEL'
The format of the COST and VALUE fields is now determined by the
number of Decimals specified on the Change Configuration panel.
New Section 3.3.x 'UNDRINK BOTTLES PANEL'
FUNCTION:
The Drink Bottle panel allows the user to change a bottle
record to 'not drunk' for bottles of wine which were
incorrectly marked as having been drunk.
DEFAULT VALUES:
NUMBER TO RESTORE - defaults to the number of bottles
represented by this record.
VALUE - defaults to the same as the purchase price.
DATA FIELDS:
NUMBER TO RESTORE - this 3-digit integer field represents the
number of bottles that should be changed to 'not drunk'.
CELLAR LOCATION - an 8 character alphanumeric - forced to
upper case.
VALUE PER BOTTLE - a real number in currency format. The
number of digits after the decimal point is determined by the
'Decimals' field on the Change Configuration screen. The
number of decimal digits can be 0, 1 or 2.
NEXT PANEL:
When all desired field entries have been entered, pressing
CTRL_ENTER (or ENTER in the value field) will accept the
changed values and return you to the Bottle List. Pressing
F3 or ESC at any time will cancel any changes that have been
made and return the user to the Bottle List.

New Section 3.3.x 'THE DELETED WINES LIST'
FUNCTION:
The Deleted Wines List panel lists wine records which have
been deleted from the database in this session and allows you
to restore them.
DISPLAYED FIELDS:
For each wine record the following fields are displayed:
* COMPANY the name of the winery or shipper;
* OTHER INFORMATION a field to further identify the
particular wine;
* VARIETY the grape variety;
* YEAR the year of vintage, if applicable;
* NUM the number of bottles of the wine in the
cellar.
ACTION KEYS:
The action keys act on the current wine - which is indicated
by the triangular 'pointer' at the left side of the list.
The options are listed on the status line:
* 'S' (or ENTER) selects the current record and displays
the Deleted Bottles List Panel;
* 'R' restore the wine record (and all
associated bottles) to the database. A
confirm window is first displayed - you
must then enter 'Y' for the record to be
restored.
* 'F' finds a particular company name in the
list. The Find Wine Panel is displayed.

New Section 3.3.x 'THE DELETED BOTTLES LIST'
FUNCTION:
The Deleted Bottles List panel lists bottle records which
have been deleted from the database, corresponding to the
wine record which was selected on the Deleted Wines List.
GENERAL KEY FUNCTIONS:
See 'Scrollable List Panels' in the previous section for the
cursor movement keys - up and down arrows, PgUp, PgDn,
HOME and END. In addition the F2 key allows you to browse
the Wine Comments field in full.
DISPLAYED FIELDS:
For each bottle record the following fields are displayed:
* # (Number) number of bottles;
* SIZE size of each bottle in ml;
* BOUGHT the purchase date;
* COST the purchase price, per bottle;
* ORIGIN where the bottles were bought;
* LOCATION the cellar location where these bottles
are stored;
* DRUNK the date when the bottles were consumed
(if applicable);
* POINTS the point rating for wines which have
been drunk.
Note that date fields can be displayed as mm/dd/yy, dd/mm/yy
or yy/mm/dd depending on the Date Format parameter. Cost and
Values are displayed with the chosen Currency Symbol and
number of Decimal digits. Use 'Change Configuration' on the
Summary menu to change these parameters.

ACTION KEYS:
The action keys act on the current bottle record - which is
indicated by the triangular 'pointer' at the left side of the

to view bottle record fields;
* 'R' restore the bottle record to the
database. A confirm window is first

New Section 3.3.x 'THE BROWSE DELETED BOTTLE PANEL'
FUNCTION:
The Browse Deleted Bottle panel allows the user to view the
field values for the bottle record (and associated wine
record) which was selected from the Deleted Bottles List.
None of the field values can be changed on this panel.
MEMO FIELDS:
The memo fields, if present, can be browsed by pressing the
following keys:
* F2 Wine comments field;
* F4 Bottle Occasion field;
* F5 Bottle Tasting Notes field;
NEXT PANEL:
Pressing ENTER, F3 or ESC will return the user to the
Deleted Bottles List.

New Section 3.4.1.x 'IMPORT DATABASE FROM FILE'
To import a new wine database from a text file on disk choose
'Import File' on the Files Menu. The structure of text files
which can be imported is covered in 'IMPORTING & EXPORTING
TEXT FILES' starting on page 17 of this document - please
read that section before using the Import function.
When you select this option, a window will be displayed
showing the current database and asking you to enter the
following fields:
* Load Option Enter 'NEW' (the default) to erase the
database currently in memory and then
import the new database. If you have
made changes to the current database
since it was last saved to disk then you
will be given the option to save it
before loading the new database.
Enter 'MERGE' to keep the current
database in memory and add all wines
from the import file. In this case,
any EXACT duplicates (wines or bottles
with the same key fields) will be
skipped.
* Import File Name The name of the text file to be
imported. You can type in the name
(with or without an extension, .TXT is
assumed). If you press ENTER without
typing anything in the field then a
directory window will be displayed.
Select a file name from the list using
the up and down arrow keys to move the
highlight bar and press ENTER.
The entry "..\" in the directory list
allows you to move up the directory
hierarchy to choose a file from another
directory.

* Field Termination Character / Record Termination Character
In the import file, VINO:FILE is
expecting to see a number of wine and
bottle records - each record consisting
of multiple fields. You need to tell
the program what characters are going to
separate the fields and records.
The defaults (and the most commonly
used) are Commas to separate fields and
New Lines (Carriage Return + Line Feed)
to separate records. You can also use
Tabs or Semi-colons (;) as separator
characters. You must use the same
characters importing to VINO:FILE as you
did when you created the text file.
* Use and Update XRef File
When VINO:FILE reads the new wine
records from the text file it can use
its Cross Reference file to provide
geographical information about the wines
- if that information is not in the text
file. Similarly, if the information is
in the file it can add those wineries to
the cross reference for future use.
Please read the Importing & Exporting
Text Files section carefully as the
rules for how the Cross Reference is
used during import are detailed there.

New Section 3.4.1.x 'EXPORT DATABASE TO FILE'
To export the wine database to a text file on disk choose
'Export File' on the Files Menu. The structure of the text
file created is the same as for import files, covered
beginning on page 17.
When you select this option, a window will be displayed
showing the current database and asking you to enter the
following fields:
* Export File Name The name of the text file to be created.
You can type in the name (without an
extension, .TXT is assumed). If a file
of that name already exists you will be
asked whether to overwrite it.
* Field Termination Character / Record Termination Character
VINO:FILE creates a number of wine and
bottle records in the text file with
each record consisting of multiple
fields. You need to tell the program
what characters are going to separate
fields and records.
The defaults (and the most commonly
used) are Commas to separate fields and
New Lines (Carriage Return + Line Feed)
to separate records. You can also use
Tabs or Semi-colons (;) as separator
characters. If you later import this
file, you must use the same characters.

Additions to 3.4.1.6 'SHELL TO DOS'
If EMS (Expanded Memory) is not available, VINO:FILE can now use
XMS Extended Memory to swap itself out when shelling to DOS.
Note that only XMS as supplied by an extended memory manager
like HIMEM.SYS can be used - unmanaged extended memory can not
be used.
If VINO:FILE cannot allocated EMS or XMS, it will shell to disk.
A floppy diskette cannot be used - if you are running VINO:FILE
from a floppy disk and you have a hard disk on your computer you
should use Change Configuration to set the Temporary Files
Directory to a directory on the hard disk.
Additions to 3.4.2 'THE ADD MENU'
There are now two options on the Add Menu - 'Add Wines' and
'Restore Deleted Wines'.
Both are covered in detail elsewhere in the documentation.
Additions to 3.4.3.1 'DATABASE SUMMARY SCREEN'
Memory Usage figures are no longer on this panel.
New Section 3.4.3.x 'MEMORY USAGE SCREEN'
The memory usage screen gives you information about the system
memory that VINO:FILE is using.
Firstly, the amount of Standard DOS memory used to hold the
various VINO:FILE data structures is listed. If you are running
short of free standard memory you may need to remove some TSR's
or break your database into multiple smaller files.
After that the availability of additional memory is listed.
Expanded Memory (EMS) can be used by VINO:FILE to load the
Overlay file into, and when shelling to DOS.
Extended Memory (XMS) can be used by VINO:FILE when shelling to
DOS if EMS is not available. Note that only the XMS memory
provided by HIMEM.SYS or similar memory managers can be used by
VINO:FILE.

Additions to 3.4.3.3 'CHANGE CONFIGURATION'
* Currency Symbol can now be up to three characters to
better suit international currencies
like Deutsch Marks (DM), Francs (Fr) or
Swiss Francs (SFr).
* Decimals The number of digits after the decimal
point in currency fields can be varied
from 0 to 2. The default is 2. This is
also for better compatibility with
foreign currencies - some of which may
also require values greater than 999.99
per bottle.
* Print Header The default Heading Text for printed
reports. You will get the opportunity
to change the heading text for each
particular report when you print it.
Additions to 3.4.4.1 'PRINT THE DATABASE'
Once a report has started printing you can cancel it by pressing
CTRL_C - that is, hold down the CTRL key while pressing the C
key. You will be asked to confirm that you want to cancel the
report. If you answer 'Y' the report will be cancelled
immediately. Press any other key to resume the printout.
Note that some printers (and software print spoolers) will
buffer data before printing it, so the printer may not stop
printing immediately.
At the end of the printout a Report Summary is now printed.
This shows the search criteria for the report, and the
applicable statistics.
Additions to 3.4.4.3 'PRINTER SETUP'
The IBM Proprinter can now be selected by entering IBM as the
Printer Type.

New Section 3.6 IMPORTING & EXPORTING TEXT FILES
When importing text files, the format of the file is very
important. If you do not follow this format exactly, VINO:FILE
will not understand the file when it tries to import it.
In some situations, VINO:FILE may even hang when trying to
import a file, although normally an error message will be
displayed showing you the cause of the error.
The import file consists of a number of wine records and bottle
records:
WINE RECORD 1
BOTTLE RECORD 1
BOTTLE RECORD 2
WINE RECORD 2
BOTTLE RECORD 3 etc
Each bottle record 'belongs' to the wine record which precedes
it. So bottle records 1 and 2 both represent bottles of Wine 1
in the example above. Like the bottle records in VINO:FILE
databases, each bottle record can represent a number (1-999) of
actual bottles.
The records must be separated by a particular character - the
'Record Termination Character'. We recommend that ASCII
carriage return/linefeed (actually 2 characters) be used to
separate records.
The valid record termination characters are:
* CR/LF ASCII 13 (X'0D') followed by ASCII 10
(X'0A');
* COMMA ',' - ASCII 44 (X'2D');
* SEMI COLON ';' - ASCII 59 (X'3B');
* TAB ASCII 9 (X'09').
Each record, wine or bottle, consists of many fields. Fields
must also be separated by a particular character - we recommend
that a Comma be used. The valid 'Field Termination Characters'
are the same as above. The field terminator MUST be a different
character to the Record Termination character.

GENERAL FIELD RULES:
Each field may be enclosed in quotes (single or double) at the
user's option. A field MUST be enclosed in quotes if it
contains either of the termination characters - field or record
terminators - or quote characters themselves.
To place quote characters inside a quoted string you must use
double quote characters. For example: "Robert Parker says
""Excellent value""." . The following is also valid: "Robert
Parker says 'Excellent value'." because the single quote is not
being used to enclose the string in this case.
Fields generally have a stated maximum length. If a longer
value is provided, all characters after the maximum has been
reached will be ignored (truncated). Values less than the
indicated length are acceptable.
Date fields are controlled by the Date Format that you have set
in 'Change Configuration'. That determines whether dates are in
mm/dd/yy, dd/mm/yy or yy/mm/dd format. Invalid dates will be
trapped and an error message displayed.
Many fields have default values which apply if no value is
supplied.
Fields can be omitted at the END of the record. If a record
ends before all field values have been found then those fields
are assumed to be empty and the defaults used, if any.

Example:
Here's an example of a valid import text file using Comma as the
Field Terminator and <CR><LF> as the Record Terminator
(indicated by <CRLF>) and using the mm/dd/yy date format.
W, ACACIA, , PINOT NOIR, 1985, NAPA VALLEY, CALIFORNIA, USA, DR, , ,
, <CRLF>

If the 'Use and Update XRef' option is selected then the Cross
Reference file will be used to provide District, State and
Country field defaults. In addition, if District, State and
Country fields are provided in the text file then they will be
added to the XRef file.
