Problem
You want to set up labels in WordPerfect 5.1 for a laser printer.
Concept
Using the Paper Size/Type feature of WordPerfect, you can set up
labels of varying sizes.
The 05/31/91 interim release of WordPerfect 5.1 includes a macro
called LABELS.WPM. This macro automates label formatting, and it
simplifies many of the steps presented in this document. Refer
to InfoShare document #1222 for instructions on using the labels
macro.
Solution
Set up a Paper Size/Type that will fit your particular labels.
1 Press Format (Shift+F8), then choose Page (2).
2 Choose Paper Size (7).
For this example, we will create a new label paper size.
3 Choose Add (Create) (2), then choose Other (9).
4 Type a descriptive name for your labels, then press Enter.
5 Choose Location (5). Determine whether your labels will be
fed into the printer continuously, through a paper bin, or
manually. Choose the proper location.
6 Choose Prompt to Load (4). If you choose Yes, then you will
be prompted to load a new label each time you send a new
print job to the printer. If you choose No, it will
automatically be sent from WordPerfect.
7 Choose Labels (8), then type Y to define your label size.
You are now in the Format: Labels screen.
8 Choose Label Size (1).
The default settings are for a 3 by 10 sheet of labels (3 across
and 10 down). For this example, we will set up labels that are 2
3/4" by 2 3/4".
9 Type 2.75 for Width and press Enter. Then type 2.75 for
Height and press Enter.
10 Choose Number of Labels (2), then type 3 for Columns and
press Enter. Then type 3 for Rows and press Enter.
Our labels will print 9 to a page: 3 across and 3 down.
11 Choose Top Left Corner (3).
You now need to determine exactly where your label begins.
Measure from the top of your 8 1/2" by 11" page to the top of the
first label. You can enter the measurement in fractions or
decimals. For this example, we will enter one measurement in
fractions and one in decimals so you can see how each works.
12 Type 9/16 for the Top measurement and press Enter. This
represents the fraction 9/16. Notice that it is
automatically converted into a decimal format.
13 Type .125 for the Left measurement and press Enter. The
decimal will remain as you typed it.
Next, you need to determine the measurement between the columns
of labels (left to right) and the measurement between rows of
labels (top to bottom).
14 Choose Distance Between Labels (4).
15 Type 0 for the Column and press Enter. This indicates that
there is no space between the labels.
16 Type .25 for the Row and press Enter. This indicates that
each label is .25" down from the previous one.
17 Choose Label Margins (5).
You can set any margins you want. The text will be printed on
each label according to the margins that you set.
18 Enter the desired Left, Right, Top, and Bottom label
margins, pressing Enter after each selection.
19 Press Exit (F7).
If you set any of the four label margins to zero or any number
smaller than the default margin determined by your printer, the
error message Label margins increased due to printer's minimum
margins will appear. Each printer has a physical limitation on
how close to each edge it can print. Your printer will
automatically set your labels to the smallest default setting.
You may also see the error message Labels will not fit on paper
size, which indicates that any of the measurements you have
entered are too large for the specified paper size. You will
need to remeasure your labels and alter the measurements. The
measurement standards for the Paper Size/Type feature are as
follows:
WordPerfect uses a specific equation to see if the labels will
fit. It multiplies the Height by the Number of Rows, then adds
the Top Left Corner: Top measurement and the Distance Between
Rows to that total. The final total cannot be larger than the
Height of your paper size; in our example, this is 11 inches. It
then multiplies the Width by the Number of Columns, then adds the
Top Left Corner: Left measurement and the Distance Between
Columns to that total. The final total of this equation cannot
be larger than the Width of your paper size; in our example, this
is 8 1/2 inches.
20 If you got the Labels will not fit on paper size error
message, make any necessary corrections to the Format: Edit
Paper Definition screen, then press Exit (F7). If you got
the Label margins increased due to printer's minimum
margins error message, just press Exit (F7).
21 Press Exit (F7) until you return to the Format: Paper
Size/Type screen.
22 Make sure that the label size you have just created is
highlighted, then choose Select (1).
23 Press Exit (F7) to return to the document editing screen.
