  18.   This Technical Information Sheet is designed to inform Paradox
  19.   users how they can successfully create a report to generate
  20.   mailing labels from their Paradox tables.  This document
  21.   concentrates mainly on printing labels using a Hewlett Packard
  22.   LaserJet printer or compatible.  It also assumes that you are
  23.   using a stock of printing labels specifically designed for use
  24.   with laser printers.  The examples presented within this document
  25.   illustrate how to set up a standard address mailing label that
  26.   contains the following fields: First Name, Last Name, Address,
  27.   City, State and Zipcode.

  29.   When you are ready to make your report to generate labels, you
  30.   need to create a free-form report.  From the Main menu of Paradox
  31.   choose Report | Design| <TableName> | <Report #> | <Report
  32.   Description> | Free-Form.  What you will have at this point is a
  33.   standard free-form report.  A free-form report is separated into
  34.   five areas; Report Header, Page Header, Form Band, Page Footer,
  35.   and Report Footer, as shown in the example below (the ruler only
  36.   extends to 60 characters for formatting purposes):

  84.   When printing labels, you are only interested in the Form Band.
  85.   All other areas should be completely empty, with no blank lines.
  86.   To remove the lines from these areas, position the cursor on the
  87.   far left side of the line you wish to remove and press [Ctrl-Y].
  88.   The line will then be deleted.  Repeat this process to remove all
  89.   lines from the Report Header, Page Header, Page Footer, and
  90.   Report Footer.  Once you have done this, press [Ctrl-V] to
  91.   activate the vertical ruler on the left side of the report.  Use
  92.   this to match what you have against the following diagram (the
  93.   number of lines in the Form Band may vary).

  108.   The next step is to set the number of lines that appear within
  109.   the Form Band.  This is done to make sure that the labels are
  110.   spaced correctly when you print them.  To figure out how many
  111.   lines are needed, measure your labels, in inches, from the TOP of
  112.   the first row of labels to the TOP of the second row of labels,
  113.   including any blank space between the labels.  Now multiply the
  114.   number of inches by six and that will be the number of lines
  115.   needed in the Form Band.

  117.   NOTICE: If after multiplying by six you do not get a whole number
  118.   of lines, multiply by eight instead, and use the Setup String for
  119.   eight lines per inch listed at the end of this document in
  120.   Appendix B.

  122.   Once you have calculated the proper number of lines, set your
  123.   report up so the number of lines you calculated appears BETWEEN
  124.   the two Form lines.  For example, if you are using a 1 1/3"

  169.   After setting the proper number of lines for the Form Band, you
  170.   now need to set the proper width.  To figure this out, measure
  171.   your labels from the LEFT side of the first column of labels to
  172.   the LEFT side of the second column of labels, including any blank
  173.   space between them.  If you have only a single column of labels,
  174.   simply measure the width of the labels.  Next, multiply the
  175.   number of inches you measured across by ten to determine the
  176.   proper width for your labels.

  178.   NOTICE: If you are planning on using a compressed font for these
  179.   labels, multiply the number of inches by 16.66 instead (some
  180.   rounding may be necessary), and use the compressed font Setup
  181.   String listed at the end of this document in Appendix B.

  183.   Once you have calculated the width, press [F10] and choose
  184.   Setting | PageLayout | Width, and set the width to the number you
  185.   calculated.  For example, if your label is four inches across,
  186.   and you are going to use a standard font (10 characters per
  187.   inch), use 40 as the width.  Once you have entered the width,
  188.   press [Return].  After setting the width you may see the Page
  189.   Width Marker (a vertical line that goes through your report) move
  190.   left to display the width of your labels.

  216.   The next step is to set the proper number of columns of labels
  217.   that you are using.  In Paradox this is done by setting the
  218.   number of Page Widths in your report equal to the number of
  219.   columns of labels on your paper.  To determine how many Page
  220.   Widths are currently set, you will need to look at the Page Width
  221.   indicator on your screen.  In version 4.0, the indicator is in
  222.   the lower left corner of your report window, and is given as two
  223.   numbers with a colon ":" between them.  The first number is the
  224.   current Page Width and the second number is the total Page
  225.   Widths.  In versions of Paradox prior to Paradox 4.0, the
  226.   indicator appears as a fraction in the upper right corner of your
  227.   screen.  The top number indicates your current Page Width, while
  228.   the bottom number gives you the total Page Widths.  You always
  229.   want the current Page Width to be 1, and the total Page Widths to
  230.   equal the number of columns of labels on your paper.

  232.   To adjust the total number of Page Widths press [F10] and choose
  233.   Settings | PageLayout and then Insert to increase the number of
  234.   Page Widths by one, or Delete to decrease the number of Page
  235.   Widths by one.

  237.   After setting the number of Page Widths, press [F10] and choose
  238.   Settings | PageLayout | Length.  This should be set to "C" for
  239.   continuous (do not actually type in the quotation marks) and
  240.   press [Return].  Then press [F10] and choose Settings | Labels |
  241.   Yes to set for labels.  Next, pick the proper Setup String from
  242.   the list in Appendix B at the end of this document.  Then press
  243.   [F10] and choose Settings | Setup | Custom, choose your printer
  244.   port, then type in the Setup String, Reset String, and press
  245.   [Return] (if you using version 3.5 or earlier, you will not have
  246.   the Reset String option).

  248.   Now you are ready to arrange your fields in the report the way
  249.   you want them to appear on your labels.  While doing this
  250.   remember the following:

  252.       -  Keep the number of lines within the Form Band constant at
  253.          the number you calculated earlier.

  255.       -  Only work inside the first Page Width.  All other Page
  256.          Widths should be blank.  Also do not allow your label
  257.          design to spill over into the other Page Widths.

  282.       -  You may want to group your labels so they are sorted
  283.          according to particular fields (i.e., Lastname or
  284.          Zipcode).

  286.       -  You may want to use the Line Squeeze and/or Field Squeeze
  287.          features in your report.  If you set up your labels to do
  288.          Line Squeeze, make sure you use the "Fixed" option instead
  289.          of "Variable".

  291.   For additional information on using Groups, Line Squeeze and/or
  292.   Field Squeeze, refer to Chapter 8 of the Paradox User's Guide
  293.   (for version 3.5 or earlier, refer to the Presenting Data
  294.   manual).

  296.   Below is an example of a free-form report for mailing labels that
  297.   are two across and one inch in height.  It illustrates how a
  298.   free-form report could look after re-arranging the fields,
  299.   removing the field titles and performing the procedures that are
  300.   outlined above (the vertical line represents the Page Width
  301.   separator).  The ruler below only extends to 60 characters for
  302.   formatting purposes.

  348.   Once this is all set up, you are ready to print your labels!  You
  349.   may find that on the first few printings that you need to make
  350.   some adjustments to the report to get things just right.  It is
  351.   recommended that before actually printing on the labels that you
  352.   use regular paper to make sure everything looks and lines up all
  353.   right.  At the end of this document is a list of common problems
  354.   people face when printing labels, and suggestions on how to fix
  355.   these problems.  Please refer to this section if you are having

  549.      1.  Q: Why does Paradox appear to be skipping over some of my
  550.          labels?
  551.  
  552.          A: In the design of your labels report you have given
  553.          Paradox more Page Widths than you have columns of labels.
  554.  
  555.      2.  Q: Why does Paradox skip the bottom row of labels on each
  556.          page of labels?
  557.  
  558.          A: This will happen if you don't have the Page Length in
  559.          Paradox set to "C" for continuous.  Make sure you do have
  560.          it set this way and that you are using the appropriate
  561.          Setup String.
  562.  
  563.      3.  Q: Why do I get a blank sheet of paper, or only a few
  564.          lines of print when I use a Range Output to print my
  565.          labels?
  566.  
  567.          A: This is because we have set Page Length to Continuous.
  568.          When you do this in a Paradox report Range Output becomes
  569.          the number of LINES to be printed, not the number of
  570.          pages.  If you wish to specify a subset of labels to
  571.          print, use a query to retrieve the labels to be printed,
  572.          and then copy the report to the Answer table.

  574.      4.  Q: Why doesn't my Setup String work?
  575.  
  576.          A: If the Setup String does not seem to work, it is
  577.          probably entered incorrectly.  A sure way to tell is if
  578.          the Setup String appears on the paper.  If this is the
  579.          case, then the string is incorrect.  Check the report
  580.          against the Setup String listing in Appendix B, and make
  581.          sure it is entered exactly as it appears in this document.
