You are well advised to read onward before attempting to unzip the data files themselves. Purpose ------- This database is intended as a "pointer" database. It consists of the names, cemetery name and location of over 35,000 interments in the southern Ontario region. The information it contains is derived from a collection of over two hundred Ontario cemeteries. It has been compiled by Anna Joan Buxton of Victoria, British Columbia, with the assistance of Tom Miller of Oakville, Ontario. The file does not contain transcriptions or dates, but it does tell the reader which county, township and cemetery contains a given name. The collection is by no means complete; in fact only half of the cemeteries in this personal collection have been keyed in. File Names ---------- The files contained in this release include the following . . . README.1ST The file you are reading. CEMLIST.DBF A mini datafile of the cemeteries recorded, their names, locations and reference sources. CEM_A2D.ZIP Names from A to D CEM_E2L.ZIP Names from E to L. CEM_M2R.ZIP Names from M to R. CEM_S2Z.ZIP Names from S to Z. Beware of File Size! ------------------- You will notice immediately that the zip files which contain the data itself consist of embedded zip files. As the names imply, the individual files contain surnames sorted alphabetically in identified ranges of (A to D), (E to L), (M to R), and (S to Z). - 3 - The files, when unzipped, are large DBF files. Don't let the compressed size fool you. When unzipped these individual files grow to over 3.5 mb each! Make sure you have * plenty * of hard drive space before you unzip them and import them into your favourite database program. Thankfully, most database programs take some of the "air" out of the data files as they're imported, so that the consolidated data file is smaller than the DBF files themselves. For example, we use Q&A to manage the database, and with that program the entire 35,000 names occupy a tolerable 5.5 mb of hard disk space. Field Sizes ----------- The following are the field sizes which will allow you to safely import the data without losing any of the field contents: Surname: 30 Given: 40 Cemetery: 50 County: 20 Township: 20 Reference: 10 Soundex: 5 The small DBF file CEMLIST.DBF has a different structure . . . Cemetery: 30 Township: 15 County: 18 Con: 5 Lot: 5 Pub: 15 Vol: 5 Year: 5 Z1c, GSDS note: --------------- It has been found that this .DBF file imports perfectly using the File Express flatfile database program when a Dbase style is specified for the input file. Use the field size exactly as specified above. Reference Number ---------------- The field for reference number in the main database will be of little use or importance to the average user of this database. These numbers refer either to the O.G.S. provincial catalog serial number for that particular cemetery or to a designation assigned by the - 4 - collector. The number becomes useful to collectors when a cemetery changes names or is referred to by more than one name. For example, a cemetery on the Smith property and referred to as the 'Smith Cemetery' often becomes the 'Jones Cemetery' if the property is sold to a new owner. Soundex Field ------------- Thanks to the ingenuity of George Pardue and his program SOUNDEX802, we have been able to include the convenience of Soundex searches as one of the main features and benefits of this information base. As most family historians soon discover, surname spellings have to be taken with a grain of salt and creative flexibility. Electronic database searches on the Soundex code (rather than on a single spelling of a surname) may yield some surprising matches which would otherwise go undetected. Other Notes ----------- If a name (e.g. that of a parent or spouse) is mentioned on a stone, that name is included as an entry in this database. Even though that person mentioned may be buried elsewhere, the name may be essential to making a family connection. If the initials of both parents are mentioned on a stone, the pair of initials are combined as one entry rather than as separate entries. Whither Next? ------------ As mentioned earlier, this information is intended only to get you pointed in the right direction. This is offered as a convenience to all of us 'mail order researchers' who are thousands of miles from the 'old homestead' and its genealogical treasures. Your logical next steps include: a. the acquisition of the actual cemetery transcriptions (available from the applicable branch of the Ontario Genealogical Society); - 5 - Logical steps (continued) . . . b. a search of census records for a particular township (available on interlibrary loan or from the resources of the LDS Family History Centres); and c. the acquisition of township maps to pinpoint the cemetery locations and (if you get lucky) the property location itself (maps are available from the Ontario Ministry of Transport and Communication, or from county atlases available in most libraries). (Ontario & Durham Box 174 Counties) Whitby, ON L1N 5S1 Township Maps ------------- The Ontario Ministry of Transportation and Communications offers a superb series of monochrome maps in the scale of 1:100,000. (Two maps are normally required to cover an entire county.) The value of these maps is that they show the township boundaries and individual lot and concession numbers. The Ministry's address is: Map Office, Ministry of Transportation and Communications, 1201 Wilson Avenue, Downsview, Ontario, M3M 1J8. The maps mentioned above are up-to-date, modern maps which reflect current municipalities, boundaries, highways, etc. If you do need to consult something older try for the reprinted county atlases of 1878, available in most large libraries. No Queries Please! ----------------- While this collection is useful, and while the 'collector' is pleased to share the name index as a finding aid, neither she nor our society are able to offer an inquiry service for the detailed cemetery transcriptions. We encourage you to take advantage of - 9 - the resources and services of the various branches of the Ontario Genealogical Society. Since one of the major undertakings of the O.G.S. is to transcribe ALL cemeteries in Ontario, the branches will have the most up-to-date collection for their respective areas of interest and responsibility. Can I Contribute? ---------------- Absolutely! The Victoria Genealogical Society has an active and enthusiastic group of Ontario researchers, but we're far from Ontario. As a result we've had to hunt for, collect and build our own information sources. We would be most appreciative of additions to our Society Library holdings.
