ALPHABETICAL LISTINGS (Printing Alphabetical Listings)
First put the cursor on the line to be listed alphabetically.
The line to be listed must have a sunburst symbol to the left
of it. This indicates that the information on this line is
indexed. Indexing is required for alphabetical listings.
Next push ALT-R to display the Reports Menu. Then push ENTER to
display a window in which you can select where you wish to send
the report. In most cases the report will be sent to your printer,
so push the TAB key to move the X to Printer - Continuous Paper
and then push ENTER. Now start the listing by going to the
Search Menu and selecting Alphabetical Listing. (Note: a report
format must be set up before you try to print a report)
MAKE ENTRIES
When the software is started up it will automatically be in the
make new entries mode. Just type the new entry and then push F5 to
save it. New entries can be made anytime there are blank lines
on the screen. (Push F7 to clear the screen and get blank lines).
If you are making several similar entries, the F3 copy feature will
help you save time. To use the copy feature enter the first item in
the series and save it by pushing F5. When the new set of blank
lines appears push F3 to copy the information you just typed.
You can also copy any previous entry by pushing ALT-M and selecting
Copy Any Previous on the Make Entries Menu.
EDITING ENTRIES
Any entry can be edited any time it is displayed on the screen. You
can display an entry by searching for it or by going into the edit
mode to display entries based on their entry number. You can also
browse through your entries. To browse push CTRL-F2 to move backward
and F2 (by itself) to move forward.
To use the Edit Mode push ALT-E for the Edit Menu. Then push ENTER
and type in the entry number you want to display and edit.
You can delete an entry by using the Edit Mode to display that
entry and then pushing F4. If an entry is deleted, a ENTRY DELETED
note will appear in the upper left corner of the screen.
SEARCHES
To conduct a search first type in the information you want to find.
You can enter information on more than one line and the software
will automatically cross reference it. Then push ALT-R and select
whether you want to print the report (the CONTINUOUS and SINGLE
settings), look at entries on the monitor, or save the report using
any one a several types of disk files.
Next go to the Search Menu and select either Sequential Search or
Alphabetical Search. If you select an alphabetical search there
must be search criteria entered on at least one line marked by an
sunburst symbol.
THE INDEXES
A computer index is just like an index in a book. It provides a
quick way for the computer to look up information and it also
provides an alphabetical listing of that information.
When you set up a catalog format you can specify which lines of
information you want indexed. Indexes use space on your disk, so
you only should index important information. When a line has been
selected to be indexed, a star-burst symbol will appear to the
left of the line.
If you are conducting an alphabetical search or listing, and the
results are not what you expected, try using the Rebuild Indexes
function on the Utilities Menu.
FILENAMES
You may create as many different databases and catalogs as you wish
by assigning each one a separate filename. Please note that
filenames can be up to 8 characters long and may contain letters
only. Numbers and spaces may not be included in a filename.
If you are storing your data on a disk drive different than the one
the program is on, include the letter designating the disk drive
followed by a colon as the first two characters of a filename. For
example, to store data on your B drive you might use: B:DATAFILE
To change to a different catalog name push ALT-U, then highlight the
bottom selection on the menu and push ENTER. You can now use the
cursor keys to select the catalog you want to use.
CREATING NEW CATALOG FORMATS
To set up your catalog format - meaning to set up the titles of
lines, the lengths of lines and to mark the lines to be indexed
or totaled - select the Set Up Catalog Format on the Utilities Menu.
When the set-up screen appears it will be set for entering line names
You may have up to 21 line names. Type in line names for the lines
you want to use. (Note: lines do not need to have a name).
The F2 key is used to toggle between the line name mode, the line
length mode and the indexing switch. Push F2 once and you'll be in
the mode that sets the line length. Put the cursor on the line to
be set, enter any number from 2 to 68, and the line length will be
set to that number. PUSH F5 TO SAVE YOUR SETTINGS WHEN DONE.
200 ERROR Messages
- A generic error has been reported by DOS. Your version of DOS may
not support this feature or you may have fragmented files.
- Overflow. The result of a calculation is too large for the soft-
ware to handle. Most likely cause is a damaged or fragmented file.
- Memory problem. All memory and/or buffers are full. Push ESC
to clear memory and start over (also check for TSRs using memory).
- Device timeout. The software is trying to access a disk drive or
printer that is not available (possibly not turned on).
- This error can be caused by not having a FILES=20 (or greater) in
your CONFIG.SYS file or by trying to print with the printer off.
- Out of paper. Please put more paper in your printer and put it
back on line.
- Bad file name. This is most likely caused by entering an
incorrect filename or by fragmented files on your disk.
- Disk full. There is no space available on this disk or there are
more files than DOS can handle.
- Bad file name. The set filename is not a DOS filename. If you
have just entered a new catalog name, the computer can't use it.
- Too many files. DOS can not handle any more files on this floppy
disk or hard disk directory. You will need to erase or move some.
- Device unavailable. The drive or printer the software is trying
to use is not available or is off line.
- The disk is write protected. Please remove the write protection.
(DOS may also give this error with too many files on the disk).
- Disk not ready. Most likely cause is that there is no floppy
disk in the specified disk drive.
- Disk media error. There is something wrong with the disk you are
trying to use.
- Unable to find a file. The filename may be incorrect. It may
also be that the CONFIG.SYS "FILES" line is not set high enough.
- Path not found. The specified path can not be found on the
specified disk drive.
