Customising the database
TCM provides you with over 100 customisable fields for each type of folder - 100 fields for a Company, 100 fields for a Contact and so on. Fields can be text, numeric, calendar dates, drop-lists and various other types.

The fields are split into 8 pages of 12 fields plus an additional 5 pages of lists. You can rename the pages as well as the fields, plus you can hide pages and fields if you don't want to use them.

By default, all fields are text which means that users can type anything into them.

To change a field so that it produces a pop-up calender, for example, do the following:

• Click File Setup - Administrative - Database
• From the Field / Page drop-list choose field User Defined 1
• Click on (Prompt) and type in Established
• Click on Appearance and choose Calendar
• Scroll down a little, click on Formatting and choose February 2001
• Click OK to save these changes

When you now add or edit a Company and click the Established field, a calendar will appear and you can choose the month and year when the company was established.

As you can see, there are many other formatting options. Here are some of the key ones:

• Use Background colour to highlight key fields
• Use Float-over help to remind users what to put in a field
• Use the drop-list property to standardise field content
• Use numeric fields for monetary values and amounts
• Set Contexts if you want pages to appear depending on the type of Company, Contact etc.
