From the Item Properties Fields dialog you can see a list of all Custom Fields associated with the selected item, including field type and values entered, and you can add or change the data in those fields.
Note: You must have Editor level access or above in order to change Custom Field values. Creating new Custom Fields and displaying a list of all Custom Fields in the Catalog requires Administrator level access.
Tip: If the Custom Field you are adding data to has a pre-defined list, Portfolio will create a Master Palette for the Custom Field and add it to the Windows menu, Master Palettes submenu. This makes it easy for you to add this data to other records.
Tip: You can edit Custom Fields directly in Record view by displaying the desired field in your Gallery and enabling the Edit in Place option in View > Customize > Record tab.
To display a list of all Custom Fields for the selected item:
In the Gallery, select the item(s) that you want to view Custom Fields for.
From the Item menu, choose Item Properties.
Select the Fields tab.
Custom Fields will be displayed separately for each selected item.
To add or change Custom Field values from the Item Properties window:
Select an item in a Gallery window, then choose Item > Item Properties.
In the Item Properties dialog, click the “Fields” tab to select it.
All custom fields for the catalog are displayed, even if no data is currently entered in a field for the selected item.
Select the field you want to change, then click “Edit...”
The Edit dialog box for the field will be displayed. This dialog differs for the different custom field types.
Type the appropriate value in the text box, then click “OK” to close the edit dialog.

If you enter a value that is incorrect for the field type, clicking “OK” produces no result. (Re-enter the proper value type or click “Cancel.”)
Click “OK” to close the dialog and accept the changes.
Tip: The custom field you are adding items to must be being displayed in your Gallery before the added words can be seen. See Customizing Gallery Views.
