1099's for QuickBooks -- W2's for QuickPay Whether you need to send 1099's to your vendors or W2's to your employees, QForm will save you time and ensure 100% accuracy with no reentry of vendor or employee information. You may use standard forms with either a dot©matrix or laser printer. If you do not already have them, you can purchase them from your local office forms supplier. Installing the program from diskette: Place the diskette into your floppy drive. Create a new subdirectory on your hard disk drive, change to that subdirectory, and copy QFORM.EXE into it. For example: md \qform (enter) cd \qform (enter) copy a:qform.exe (enter) You may need to substitute b: for the a: if your program diskette is in drive b:. Installing the program from QF.EXE, a self-extracting archive file: Create a new subdirectory on your hard disk drive, change to that subdirectory, and copy QF.EXE into it. Then execute the file to extract the compressed files. Then print the order form so you can register your program. For example: md \qform (enter) cd \qform (enter) copy \download\qf.exe (enter) qf (enter) copy qbqp.frm lpt1 (enter) Starting the program: Change to the QFORM subdirectory and run the program. For example: cd \qform (enter) qform (enter) NOTE IF YOU HAVE MULTIPLE COMPANIES: Before attempting to print 1099's, you must start QuickBooks and make sure the right company is currently selected. The 1099 program runs QuickBooks for you, but it processes 1099's for whichever is the currently selected company. General Conventions: Throughout the program the Escape key aborts or backs you up. The PageDown key completes an input screen. The arrow keys move you between multiple-choice menus, and in case of emergency, the Alt-C key CRASHES the program back to DOS. Don't use it to routinely stop printing. You can press a key and the program will immediately stop sending data to the printer. However, your printer may continue to run until its data buffer is empty. Entering Company Information: Fill in the correct information for your company. It is especially important that you fill in the federal and state employer I.D. numbers, as these are essential for both 1099's and W2's. You can use the arrow keys to move from field to field, changing information. When you have made all needed changes, press the PageDown key, or press the Enter key while the cursor is at the last field. Selecting A Form: Once you have filled in the company information, you can choose to print 1099 forms, print W2 forms (if you have QuickPay), return to company information to change setup, or quit. Use the arrow keys to move to the choice you want and press the Enter key. Or you can press the first letter of your choice. Printing 1099's: When you ask the program to print 1099's, it actually runs QuickBooks, selects the 1099 report, and prints it to disk as a text file called QB1099.TXT. It then uses the information in that file to print the 1099 forms. NOTE: The program prints 1099 's for each vendor where you specified a Taxpayer I.D. Number in QuickBooks when you set up the vendor. No I.D., no 1099. READ THIS! The program cannot completely control QuickBooks when it prints the 1099 report to disk. It needs your help. The program will pause three times once when it types in the report parameters, once when it has printed the report to the screen, and again after it has spooled it off to a disk file. It needs your help. Whenever QuickBooks pauses, PRESS THE SPACE BAR ONCE. Do NOT press Enter or Escape or anything else. Just a single tap to the space bar each time QuickBooks pauses. When the program has prepared the data and is ready to print, you get a selection screen that lets you control print options like top and left margins. You may need to waste a form or two until you get the proper margin settings for your printer. Note the field that asks if you want to print a TEST or ACTUAL. If you say T for TEST, only one page will print. There is an option that lets you pause printing between each page, as well. That lets you slow down and more completely control the printing process. No problem if you are using a laser printer and need to make several passes, When the program completes the first pass, it returns to the print selection option screen. Just print again and again as many times as you need. However, if you exit the print selection screen, the program will re-run QuickBooks and re-extract the information to assure it is current. When QuickBooks finishes printing 1099's, it shows the total amount of all forms printed. Write the number down. You will need it when you manually complete the appropriate transmittal recap form. Printing W2's: Printing W2's is just like printing 1099's. Be sure to verify the maximum amounts for FICA wages and Medicare wages. The last W2 printed is a sub-total form, with totals for gross pay, withholding, etc.
