Shared Address Book |
The Shared Address Book is used to share addresses amongst users. By using a shared resource, addresses used by all local users can be grouped together, e.g. all a company's local mailbox addresses. This helps maintain the entries, e.g. if an address changes, then only one change will need to be made, rather than having to notify all users to update their Personal Address Books. The FTGate System Administrator maintains this address book.
To display this window either click on To or CC, on the Compose Message window. This displays your Personal Address Book. Your Personal Address Book has a button. Clicking this button changes the Address Book to the Common Address Book.
Enter a name or an email address, or both, then click on the button. The page will reload with the entries that match the criteria listed.

After clicking on the button the page reloads with the list of Address Book entries that match your search criteria.
If you click on the Common Name of an entry then a little window opens showing the details for that entry.
If there are more than ten matches, then only the first ten are listed and two buttons appear below them: . These buttons show either the previous ten entries, or the next ten, respectively. If you are at the start of the list then the first button will be disabled. Similarly, if you are at the end of the list then the second button will be disabled.
Above the list is a field that allows you to list more or fewer matches. To change the number of entries returned, enter the number here and click the button again.
Click on the button to add the email address of an entry to the To or CC line in the Compose Message window.
